Hi Mike, Aaron & Myles, (CC'd Nancy & Amy),

I come to you from a loving place and wish to unite and align the community, and perhaps help mitigate some concerns of residents before it's become a frustration on the side of the BOD, Social Committee, other committees, facebook efforts, etc.

Over the past few days, there's been a LOT going on that we're all aware of, and it has come to my attention through murmurings that have prompted me to reach out with a couple of considerations; if not for nothing, then something to discuss at the next Board meeting.


1) Messaging that goes out to the whole community from the Board should be approved by all three Board members.

  • This is the approach I took with the newsletter, and then again within GMAC, as a safety precaution to make sure I was checking all the boxes and not confusing anything for anyone. 
  • This step promotes alignment and buy-in from others, and it gave me the confidence to blast content.

2) Posts on the Facebook group should not be deleted. 

  • When things get out of hand or appear uncontrolled/heated/emotional/bashing/whatever, the ability to comment on the thread should simply be shut down. 
  • This is what happened with the gas station threads, and what's out there is out there. Censorship sends the wrong message.
  • Facebook posts are not *urgent* business for the BOD. Let people vent. They're used to venting online and it shouldn't be nececessary to respond to every single comment/complaint on there. This is training people to use facebook as a method of control vs. them actually reaching out to the BOD with their genuine concerns via proper channels which takes time, thought, consideration, etc. Most people will not go that far.

3) Consider having a member of the BOD update the Facebook page with official information (pool closure, landscaping issues, etc).

  • In my experience, official HOA announcements appear more credible when made by a board member.  Perhaps a BOD Facebook profile could be created so that your personal Facebook accounts and profiles are not exposed or overwhelmed.
  • We have new homeowners moving in and joining the community every day, and some of them may not know who you are, let alone the roles of Amy, Nancy, and Patsy.
  • Though if you go with the below route perhaps, official information can be delegated to a communication committee/director.

4) Finally, a Communications or PR Committee is a wonderful idea.

  • With experience doing the newsletter, it was more than a one-person job (not to downplay all the efforts that go into managing the fb group).
  • Perhaps a good HOA management company would help us in this arena, but until then, there may be a few volunteers who would rally.
  • I don't think this should fall on the Social Committee as we are supposed to bring the good and fun news, whereas BOD business is not always good news, but more business at hand.
I hope I didn't step on toes or offend anyone for anything, this is simply a compliation of ideas with the hopes of making our community the great place that we know it is to live.

Love all the suggestions and I concur.  Residents might need to be reminded that anything posted on the Facebook group will not be acted upon by the board and to direct all inquiries, statements, suggestions, complaints to Sara.  That is the correct route, right?

FYI I added the role of Board Member on the Facebook page.  Both Myles and Mike now have that role.  I guess Aaron is not on Facebook.  I can remove if you disapprove.
