As discussed during our last AGM, Mr. Ranjan Dasgupta (A-3A) will be leading the election process for the upcoming SSAOA board. We sincerely thank Mr. Pijush Chakraborty (E-4H) for stepping forward to assist Mr. Dasgupta in jointly conducting the election at the earliest.

Dear Mr. President and Mr. Secretary,

Thank you very much for appointing us (Mr. Pijush Ranjan Chakraborty and myself)  as election officers for conducting the election for 2025.

We are ready with our election announcement materials which we are planning to publish tomorrow (July 01, 2025) and try to conduct the election within a two weeks' time gap. This planning is being done considering multiple requests and discussions with both of you and also considering our availability.  However, we are yet to receive the revised list of eligible candidates (cleared all dues of FY2024) as mentioned earlier. This list is also to be published together. 

Under the circumstances, we are requesting you to do the needful so that we can proceed as per the plan mentioned above.

Dear Mr. Pal,

Thank you very much for your fast response.

The list you provided a few days back is updated up to 31st December 2024 which is pretty old for conducting elections during July 2025 and appears to us as irrational even if it follows byelaws. In this regard, I would further like to mention that as Election Officer along with Mr. Sanjoy Dasgupta for earlier a few cases several such modifications had been implemented following the then modifications - one such case as I (Ranjan Dasgupta) can recollect now is "change over from two years tenure (biennial) to three years tenure". In all such cases, we have received undisputed support and co-operation from all members including all ad hoc office bearers and applied the changes without much debate.   

In a nutshell the logic for considering the FY 2024, ending on March 31, 2025, as the cutoff are -

1. The association should elect the office bearers on a current list of eligible members
2. As the election has been deferred by around three months the eligibility list should also the updated accordingly
3. All laws and byelaws are framed for the benefits of the society as a whole and option should be provided for more members to participate in the election process
4. It is rather encouraged (page 40, bye laws 2022) to vote after clearing all his/her arrears of the last financial year - no cut off dates are mentioned there eventually, which we have also tried to follow

However, it would be nice if you reconsider the issue (without any personal issue, ego and/or otherwise, if any) and take the opinion of all members of the board (ad hoc), we shall definitely follow the decision. As this may take a few more days considering the busy schedule of all the board members, we shall publish the election announcement pending the attachment of list of eligible candidates which might be published later once finalized.

Dear Ranjan da,

As per the guidelines suggested by you (EC), only those members who do not have any outstanding dues (Maintenance, Corpus, Building Repair Fund, or Roof Repair Fund) for the period up to March 31, 2025, will be eligible to submit the nomination form.

For this purpose, the list of eligible members as of the record date, i.e., end of day (EOD) July 04, 2025, will be considered.

We will accordingly share the list with you by EOD July 06, 2025, for your necessary action.
