Dear Members,

We hereby notify you that the Annual General Body Meeting of our Association will be held on Sunday, December 7, 2025, at 11:00 AM in the community hall.

Arrangements have also been made for virtual attendance via an online platform, the access details will be shared shortly. Additionally, members’ opinions and votes for AGM matters will be accepted through circulation and electronic mail.

Agenda:

• Report by Outgoing Committee: Presentation of highlights and key activities conducted by the outgoing committee.
• Annual Report Adoption: Discussion and adoption of the Board’s Annual Report for the fiscal year 2024-25.
• Financial Statement Approval: Consideration and adoption of the Audited Financial Statement of Accounts for the year 2024-25, audited by M/S Subir Mallik & Co.
• Welcome and Thanks: A vote of thanks to the outgoing board and an official welcome to the newly elected Board Members for the 2025-28 term of SSAOA.
• Other Business: Transaction of any other business with the permission of the Board or as deemed fit by the AGM.
• Miscellaneous: Any other matters, subject to the chairperson’s approval.

We cordially invite all members to participate in this important meeting. Please find attached the audited report for the year 2024-25 for your review.

Dear All  Members, 

As you are aware that the Annual General Body Meeting of our Association will be held on Sunday, December 7, 2025, at 11:00 AM in the community hall.

The agenda for the meeting will include the following important items for discussion and decision:

1. Appointment of New Auditor for the financial year 2025-26 along with the defined scope of work.

2. Decision regarding the filing of Income Tax returns of the society from the financial year 2025-26 & filing the Audited Financial Statements with the Registrar of Societies.

5. Matters related to TDS deduction on Annual Maintenance Contract (AMC) and vendor payments.

5.  Decision on the Continuation of the Corpus Fund.

6. CAPEX draft plan of the society for next 3 years.

7. Fine-tuning the criteria for the selection of tenants.

8. Allow POA holders to contest for society elections & required amendment of Bylaws complying society rules. (Spouse, Immediately blood relationship & residing in the society)

The new Board seeks your participation which  is crucial for the smooth functioning of the society.

Dear Friends,

Warm greetings to everyone!

As my tenure as Secretary of the outgoing committee comes to an end, I wanted to share a heartfelt note with all of you. It has truly been a wonderful journey, and I feel grateful for the trust, support, and cooperation you have shown throughout this period.

I would also like to extend a big thank you to all the committee members. Their constant support, teamwork, and dedication made everything smoother and helped us achieve so much together. It’s been a pleasure working side by side with such a committed group.

We are sharing the AGM presentation deck for your reference. The Minutes of the Meeting will be circulated by our current Secretary, Suman Dasgupta.

Although the committee term ends here, our connection as neighbours and friends continues. I will always remain an active part of our society and will be happy to support the new committee in any way possible.

Dear  Members & Residents,

Please find attached the minutes of the Annual General Meeting held on 7th December 2025.

The AGM was concluded in 2 subsequent sessions. First session was presided by the Outgoing Board and  second session was presided by the New Board. All key points that has been discussed is part of this minute.

Once again my sincere thanks to the outgoing Board for their outstanding contribution that they have done for the society.
