Hey everyone,

Had our quarterly call with Maria from the Alumni Assoc. They are not changing the requirements for gold status this year...so we will need to host 8 events (one in each category) like we have done in the past. The main changes are virtual events count and we can get pretty creative with those. She is going to send me some details of events other clubs have had.

If you have any ideas for events or want to host one please let us know!!

Some ideas we had:
  • Virtual fall colors hike - we pick a date/range of dates and people go on their own hike and share photos to the event page
  • Presentation/QnA on election security - one of our local alumni reached out to us in the past on presenting about this since they are on the board of elections. This would make for a great zoom style event
  • Purdue Alumni mask sales - this is hopefully getting set up by the alumni assoc for us to sell masks that benefit the scholarship

In person events - we can host in person events and some clubs are doing this. If you have an idea of a way we could do some in person things please let us know. The Alumni Assoc will have to approve us. Events need to track all attendee names and be kept under 50. If they go over 50 they need approval from the Provost.

The only idea I had for in person was some sort of patio happy hour maybe. The Icehouse does have a large patio. Additionally something in a park or hiking could also be in person and safe.

Thanks Roy and hi everyone,

 

Are we interested in continuing the Euchre quarterly events at the breweries? All have patio or inside distancing set up, masks until you are seated and we could meet that limit of under 50. I know Factotum would gladly welcome us back but not sure if you think this is not “safe enough”? I’m part of many groups that are getting creative with virtual events so let me think on that. I like the virtual fall colors hike/upload pics idea. I’d add one thing to that and ask that they have something Purdue on to help brand in the photos.

 

Let me know and if you are interested in continuing with brewery euchre. I’ll be at Factotum tomorrow and can put it out there.

Thanks Danella for thinking on virtual ideas..ive been drawing up blanks on what to do!! I really like the Euchre events as an option for right now since they stay fairly small so I think that could be pretty safe/low risk.

I dont think we have had any events this year yet (since June) so by the end of June next year we need to have 8 events. One in each of the categories below. If we can shoot to do one even a month that will get us more than covered.

To cover the service item on the list we could work with Icehouse to set up a clothing drive week at the bar where people can just come in at any time and drop off clothes we can then donate to a shelter.

I actually just emailed with Laura and she is open and excited to try and make it work. It’s a whole new world though when it comes to hosting an event so we have to think a bit about how we could do this.

 

  • We usually rotate during play and we wouldn’t be able to do that. No “mingling” is allowed right now. People have to stay seated unless they are using the bathroom. Can we work out a way to still pay, change partners, not change partners, etc. without moving from table to table? You euchre people will have to answer that.
  • I believe we were trying to stick with Saturday’s so asked about September 26th or October 3rd to give us a bit of time to market it. She’s fine with those dates but we can go further into October too based on your colors chart; I’m sure she wouldn’t have any conflicts.

 

So, if you can figure out a way to play and keep the same four people at a table, we can do it and get it on the calendar to start marketing. I don’t know how people are feeling right now about “in person socializing” but there a lot of safety measures in place that we should mention in the marketing to help people feel comfortable.

First of all, the virtual fall-hike is an amazing idea. It seems easy enough wrap a campaign around (cough cough Danella cough – not a CV19 cough) and really cool to come back and share the photos while encouraging people to get outside.

 

Euchre-person here – it’s going to be tough to orchestrate without mingling and the rules Danella spoke to below… to the point that I’d say don’t do it. I’m sure there are some computer/mobile app options that allow some group play possibilities, but I think a euchre/networking experience would be extremely difficult rollout to our alumni network. Open tables at the brewery would be needed to fill up with new partners – and for that there would need to be a group of “clearing house” tables while other games took place. Unless everyone was instructed to sit at their tables until all corresponding games that started when they started were finished and we could all delicately change teams. Those events, to me, are fun because of all the things that CV19 takes away… I’m not saying it’s impossible, and so if Jim wants to try it…..rock and roll…but I’m not trying to figure that one out.

 

Speaking of “intent” I think the goal this year should just be to retain the gold-status by checking off the boxes and not overthink digital events.

 

  • I like the idea of getting an assembly of speakers that would be willing to present to a group of Zoom participants about different topics.
  • I like the idea of the IHT clothes drive.

 

Other ideas:

  • Broncos watch party (games start in <2wks)?
  • Join a virtual concert together?
    • Find a free concert. Maybe a Colorado band
    • Cool band? Tell people to login and “WaTcH wItH sOmE bOiLeRmAkErS

A thought….

Poker is more of a “sit and stay” card game…..

 

I’m not sure what the rules of that road would be (law wise) but if donations from attendees > could translate into poker chips >which translate into raffle tickets > which translate into prizes?

 

That might be more conducive to a Factotum experience and that draws in a crowd interested in winning something and contributing to something…

 

I just don’t know the legal red-tape in marketing a Poker Event….

I like the sound of that since it needs less moving around! Not sure on the legal stuff...I think the raffles are already in a grey area thats not really enforced anyways so I dont see much of a problem doing it...especially they way you mentioned where winning is via prizes and not money.

Broncos party could work too...I saw something that big10 football will happen in oct? I thought it was all cancelled! So we could have a patio watch party with an attendee cap and also host a zoom as well in conjunction with it.

Heard back from the Alumni assoc on the mask thing...they arent going to be able to help clubs with setting up sales on this (they just made some big cuts there - see attached).

Would someone (or multiple people) on the board like to take on selling masks for the club?? Would need to price out a few vendors and manage the orders. The club would front the money..if someone is a whiz with google sheets we can likely set up an easy to use ordering page too.

So I still have my hands full with a 6mo old and 3yr old but I can help create the ordering page using Microsoft Forms and get a vendor workstream going.

Are we just gauging interest at the moment? The site allows for online ordering and designing but I can probably get a much better deal. Just need to know the order amount.

Cool it works now.

I was debating internally how to handle this...open to feedback from others. Here are the two routes I see:
  • Gauge interest via form to get a rough number, and then order around that number and maybe some extra in bulk....create a proper selling form after to handle payment/etc
  • Create full order form now to get more a real commitment from people, earlier payment, and exact numbers...could still order some extras as well

I kind of like the second route since its overall more efficient...but knowing our alumni base I am unsure of the real interest in this or how many we could actually sell. So it may be best to see how much interest there is first.

It doesn’t hurt to gauge interest and just buy off those numbers. I’m sure if we bulk buy some people would end up buying them or we give them out at events.

 

Are we allowed to use some vintage Purdue Pete images? Or perhaps use the traditional griffin?

 

Purdue has a rich history of different seals. If we could get approval to use one, would make the masks super unique. I’d buy a few for family for Holiday gifts. They’re PU grads as well.

Justin - could you update that form you set up so its a mask interest form? I can get that send out to our email list tonight or tomorrow and also create a facebook event for it. Thinking the following on it:
  • Name
  • Email
  • Number of masks interested in
  • Some kind of design idea examples (just a simple image of the logos) multiple checkboxes to see what people want the most with the griffin logo, motion P, alumni logo, Purdue Pete, and boilermaker train
Then depending on the numbers interested/designs we may be able to hit minimums on a couple styles.

Sorry I didnt get back to you sooner...cut out for a quick bike ride. Thats awesome with the design options!! Well Done!

In the sub-header at the top could we tweak it to say something like: We are currently gauging interest in making a bulk mask order to benefit our scholarship! Once we determine how many people are interested and design preferences we will place a bulk order and send out an official order form.

The rough costs in section 4 - I assume thats the final cost estimate and not our club bulk cost right?

Correct that those prices are what we would charge, not the club price.

 

The cheaper options, e.g. 1 and 2, are $5.00 per mask through my contacts estimated. Option 3 is $14 per if we  get to $100. But those are VistaPrint. I know no one at VistaPrint…

 

I’m all for option #2. I’m sure we can go higher in cost and go higher end if we do their custom embroidery. Turn them into something super special but I don’t think that’s what we’re after. Since they’re local, it might go up or down based on design.

 

I’m in for 10.

Ok everyone I have the facebook event for this set up and also the evite/newsletter sending out in a little bit. Please share them with anyone in your network. We can ship these easily as well so feel free to share this (either the direct form link or facebook event) with Purdue friends and family in other cities as well. If you plan on buying a mask please fill out the form. I will set the interest survey deadline for next week wednesday 9/23 at 9pm. Once we close that and get the results we will then build out the order and communicate the details.

See attached for the facemask results’ raw data.

 

Total count is 204 masks.

 

Seems Option 2 via Ouray Sportswear is the winner. “The Tultex face mask is reusable 3ply cotton construction with filter pocket and all around binding closed ear loops for perfect fit.”

 

Out of the mask designs, the scores ranged from 2.4 to 2.8 with 55 responses. The one that scored 4.25, the clear outlier was the below. So this design would apply to the Option 2 mask type (as shown its option 3).

FYI, here are the free text comments.

 

There was interest in doing a single block P on the side with Purdue Pete on it. Boilermaker special too.

 

But seems to be the black facemask with some sort of P on it.

 

Alternatively, we could also create two separate designs for orders of 125/run.

 

Once we have an idea, I’ll reach out to my guy at Ouray and see what we can do for awesome pricing. Might be able to score them at $3-5/ea.

Awesome results!

I’d be in favor of doing 250..I would think it will be easy to sell the extras. Does anyone else have thoughts or know of family/friends that would buy more? 

I think that one design makes the most sense, we can ask if there would be a price difference to do two designs. If it’s the same or insignificant we can consider two types..otherwise one is fine.

Out of the mask designs, the scores ranged from 2.4 to 2.8 with 55 responses. The one that scored 4.25, the clear outlier was the below. So this design would apply to the Option 2 mask type (as shown its option 3).

Excellent. I put in the inquiry with my friend. Asked about a second option too if it keeps the costs down.

 

I’m hoping I can get a great hookup on pricing.

 

Does anyone have the official hi-res images I can pass on? They may also ask for proof that we can use the logo. Might be able to get past that red tape but would like to try to be proactive.

Had our quarterly call with Maria from the Alumni Assoc. They are not changing the requirements for gold status this year.so we will need to host 8 events (one in each category) like we have done in the past. The main changes are virtual events count and we can get pretty creative with those. She is going to send me some details of events other clubs have had.

According to the club site https://www.purduealumni.org/alumni-leaders/marketing/ we have to get things from officially licensed vendors. Im sure its a huge PITA to get a license and expensive. In the past we havent done this for things like magnets/biz cards...as well as shirts with school logos for the flag football competition. I really dont think its going to be an issue since this is just a small sale only to our alumni. If it was something we were selling for a while on some sort of online store anyone could access that might be something to worry about though.

Interestingly enough, they used Purdue as their sample college for the first 6 pages of their 2020 collegiate lineup.

 

They make a lot of the officially registered gear now so they have a lot of the graphics on file in high res and already programmed for screen printing and embroidery.

 

As long as we can get authorization to use images, they’re thinking they might be able to get access to the official library…

 

That would make the facemasks about as ‘official’ Purdue gear as we could get…

Aside from the previous link I could find this - https://www.purdue.edu/trademarks-licensing/ seems like the process would be time consuming...

I can email our alumni association contact and see what she says...but I’m hesitant to open a can of worms on this and cause delays or big price increases 🤔🤔

Is there a way to get someone from MS to authorize the licensing of Purdue logos? Or maybe one that we can use in ‘non-licensed’ gear that is PU approved?

 

Probably should stay legally compliant.

 

We can also go a different route, say through VistaPrint, where they may not care or check.

I should be able to get an approved design! Hopefully today.

The alumni assoc is looking to get some other clubs in on this order - could you ask them if we do a huge order can they ship to different locations? For example lets say we order 1000 masks and need to ship to like 4-5 different people. Can they do that and would there be any additional cost? Also, if they have price estimates for quantities that would be great too.

The price changes based on qty, but I think we can get them printed sub-$3 a mask.

They should have no problem sending to multiple locations. And they should be able to handle the volume without a problem.

Update on licensing - Ouray Sportswear would have to become officially licensed by Purdue. There is unfortunately no exceptions on this...the process looks to be time consuming and cost money for them as well. I totally understand if they dont want to do this.

I am having the alumni association find out who made the protect Purdue masks that are very popular on campus and very similar design to what we want. Hopefully we can leverage that and get a very good price.

It seems that the alumni assoc wants to take this over now since almost every club wants to order masks...funny because this is what I wanted from the start. They seem to want to push a P Alumni logo design though that is very plain. I voiced my opposition to that as many of our alumni voted for a more fun design with the motion P logo and the alumni logo got very very little votes.

I will keep updating everyone as this progresses....

Agreed - am not happy about this and voiced that to them. They should have handled this from the start because I KNEW every other club would want this. We are still looking to get the masks at a cost of around $3/mask so the clubs can raise a good amount of money.

On the good news side of this I dont think we will have to deal with collecting payment/shipping to individuals/pickup/etc...so thats nice at least. Well see how long this takes though!! I keep telling them to just use the very cool Protect Purdue mask design with the motion P all over it...was the most popular choice in our survey! Hopefully they go with it.

Individuals should be able to pick what club they want to benefit when purchasing so we should still be able to raise funds for our scholarship. Hopefully in the end our efforts end up helping out other clubs a bunch too :)

Finally got info back from Purdue on how the mask thing will work. It sounds like they have an ordering platform for us...but I am not sure if they can ship direct. I asked if they could...since I do not want to deal with local pickup.


Also....as you will see they did not go with our design even though it scored much higher on the survey than the alumni logo....oh well.

Confirmed with Purdue they will not be able to ship direct to each person. They come in bulk to us and then we have to distribute.

I asked about SW MI and they did officially licensed ones and then had them all shipped to one person and the club shipped them out from there...I wanted to avoid doing that but it seems like there isnt really an option with the alumni association.

I would think you would just install a pickup.  Having the board ship them out/drive them doesn't really seem plausible.  Also, I don't think people would like for their addresses to be out there.

I was able to get the alumni assoc to print the shipping labels for us, so all we would have to do it put the mask in the envelope and mail it. Thats much easier to handle.

Hopefully will get the ordering system live asap and an event set up/emails sent.

I am in the process of setting up an eventbrite to collect money for the masks. I figure this is probably the easiest. I want to get this out asap today since its giving tuesday.

Thinking $12 per mask, includes shipping (these should fit in a normal envelope and be able to use one stamp to easily ship). If you think we can charge more like $15 I could try...but I figure $12 might get more sales.

Please let me know thoughts ASAP so I can get these out via FB, email, etc today.

whoops....fixed it. Today is not my day...im really pissed at how purdue handled this and didnt listen to us about the design. I already got multiple messages from friends complaining about the dumb design. I suspect we will not sell nearly as many.

Confirmed that its fixed now.

 

I think it has a strong vibe like something the alumni association sends out to spur donations or a thank you for renewing memberships. Like those bumper stickers and drink coasters.

We sold 117 masks and raised over $1600 for the scholarship!

We have to order in quantities of 50 so we will be getting 150 and can give away or sell the rest in the future. I will be having Purdue take the mask payment from our dues sharing funds so we maximize the amount of that $1600 that goes to the scholarship. Once the money transfers to our account we can deal with getting it to Purdue into the scholarship. I forget where this puts us in terms of turning the account into an endowment....but probably not close enough...will double check later.
