The weekends of 7/18 or 7/25 are clear for Hermosa to host. I am agnostic to the date. Via the Shoaf’s “Yes! Selfish preference for 7/18 because Aiden has a baseball tournament the 7/25 weekend and we’d love to be able to come!”

That doesn’t need to be the defining factor if an extra weeks notice gives the community extra time to plan and get a better turn out. That said, it’s a busy travel season, so we’re never going to cater to everyone. 

Weekend of 7/18 is my official vote to accommodate a host family if we need to formalize this.

That being the case, we need notification asap.  A flyer to circulate to say the least.  A banner for the fence?  Based on last year, the logistics of the event seemed less stressful than prior years.  That said, it was still a lot of work to set up and take down so manpower will be important. .  Kat and our team are in the mist of open house season with a number of listings coming on line with premiere open houses during the month of July, so I may not be able to participate.  .

Chis - Do we still have last year’s Costco order as amended following the event to eliminate some of the of the excess?

Denise - might you be able to produce a flyer that I can print and get it in circulation mode?  If you can order a banner (Fastsigns?) that I can pick up and hang that would great.  Last year I believe the hours were 3-5pm, which seemed to be appreciated by the attendees.

I will be gone the month of July …. Last year we had the BBQ in Sept when everyone was back from summer vacations. 

I don’t see the group pulling things together that quickly to hold and event mid July. 

Bob replied he is busy in July and I’m gone also. I’m happy to order a banner and create a flyer but if July is the date I can’t participate past that.

Denise - Thanks for weighing in with your voice of reason.  

All - Just perhaps we need a rethink on the picnic date.  AS I vividly recall, last year, Denis, Lindy (no longer available) and I did the majority of the setup and DEnise (& John), Jeff, and I did the majority of the teardown.  It was a long day, a lot of work lasting till near dark.  With.Denise gone the month of July and my schedule not looking favorable, wended to go into this eyes wide open manpower wise.  I don’t consider my attendance at the picnic as a deal breaker and I’m sure Denise feels the same way.  However, that puts the remains 5 of 7 board members at a manpower disadvantage for the start.  As previously committed, I can help with the upfront promotional efforts.  The question is can David, Lexi, Chris,Joe, and Jeff commit to the full day (setup/teardown) of efforts necessary to ensure a a successful event.  If so, Denise has agreed to create a flyer for us to print and distribute and create a banner for me to hang on the fence and away we go.  

David, Joe, Lexi, Chris, ^& Jeff, please let us all know you are up for the task at hand and Denise and I can do our respective action items.  Thanks - Bob.

Hi All,

I will be in town on July 18th and am available on that day to help with the set-up and take down the picnic. However, due to my current work schedule it is really difficult for me to take care of board tasks during the weekdays unfortunately, so I would not be able to help much with the early planning and shopping, etc. I agree that it might be tricky to pull it off in a few weeks, but I can be there on the day for the setup/cleanup if we preceed. I was out of town last year, so I think Denise or Lindy took care of all the shopping for the picnic last year.

Lexi - Thanks for the confirmation.  Hopefully we will hear from Joe & David soon.  Understand your pre-event limited availability.  Just being available the day of will be fine.  Last year, Lindy and I handled the registration desk so I know you will do a much better job at that than we did.  As for the food order, if Chris can again order it from Costco as he did last year (don’;t  recall what credit card was used) you can reimburse him the day of the event./. Jeff will champion the cook station..  Last year we ordered from Recology three extra bins (one of each) dedicated to the event.  We also had a porta-potty there.  Don’t recall who ordered those but  that’s a detail.   Thanks again - B

With Lexi available on the weekend of the 18^th only, it is feeling light handed on the prep and takedown. People are going to be on the move with the holiday weekend on tap, so I don’t think we’ll be able to spread the word quick enough to get a good turnout. Apologies that one of the residents took a few nudges to chime in on dates but I needed a consensus. I think we drop it and put some thought into an intermediary event. The ice cream social is still on yes? We could always get a Mr. Softee truck up here, or something like kind, provided by the board in July or August which needs little to no work.
