I have been going through a similar process of periodically giving them a matching Display Name. The downside is that this needs someone to do it regularly and it still populates our database with information I have no interest in and needs to be excluded when doing any data processing. The ideal situation would be a method to identify systems at the Q/R stage and simply not import them. It would be a bit more efficient and prevent messy data. I know that the Orthanc Store configuration can be configured to do this but it's a more involved process and is not something I would ask colleagues unfamiliar with the OpenREM configuration to do, nor something I would want to do regularly myself. By comparison, adjusting Display Names is quite quick and intuitive.
The process that I've pictured would be similar to the Display Name configuration but instead of updating a Display Name you would select a system and then flag the field to be added to an exclusion list. That could be an Institution name, Station Name, Model Name or Serial number. A nice addition would be a prompt to delete existing records for the system you are adding to the list. Any future queries would skip importing anything on the exclusion list. The less ideal solution would be a configuration to automatically delete records from the specified (field) after it had been imported.
The reason I single out Institution Name is that it is one of the only fields where there is some repetition that could safely be excluded where a match is found. Looking at our system I have apparently accumulated over 700 unique records as Imported within the Display Names configuration window but that represents ~350 unique Institution Names. In practice it would simply reduce the amount of systems I need to flag as Imported by noting the matching Institution Name.
