OTR aid stations

Hi all, I just saw Phyllis’s post about OTR sponsoring an aid station at Bigfoot. I think that’s the kind of thing that should be approved by the board. Especially since we are now “hosting” aid stations at multiple events this summer, in addition to our own, and I am worried about starting to have volunteer fatigue. Not to mention making sure we agree with supporting a specific race. Thoughts?

I agree 1000%.   We have a string of like 5 weekends in a row to support other races. Which is great. But I think we need to make sure we are all talking about this and reaching consensus if the group’s name is attached.

And….. if doing that aid station gains her an entry to Bigfoot it’s a bit of a weird dynamic for us to also sponsor it in my opinion.   Vs staffing it but it being supplied by destination.  That could be my misunderstanding of what is meant by us ‘sponsoring’.  I read that to mean we have financial obligation to supply.

Good call on seeing that post. I think it is fair to say OTR is not sponsoring an aid station.  It is Phylis who is looking for volunteers to help out with an aid station she is choosing to be the captain for.

This race is definitely profit over people. The volunteers do not receive perks like most races such as a discount or extra ticket (Cascade Crest). Plus its awkward to know that the captain gets a very expensive race entry. 

I support a request for that to be reframed. 

With that said, what if she asks OTR for supplies? I don't remember how it works with Bigfoot? I feel when it is a community benefit it is different to loan supplies than when a personal benefit.

Phyllis asked me about this last year. Specifically she asked about using our equipment. I told her I didn’t see a problem with her borrowing the stuff since Amy did the same thing last year at Johnston Ridge AS. I also clarified that she’d be responsible for all of it, including organizing volunteers to help her since she’s the one who’s getting the free entry for being the AS captain.  I understood that conversation to mean that this was her thing and not necessarily a club thing.  

I did mention it at a few of our meetings over the past months when we were talking about our other aid stations we’re going to take on, specifically meadow mountain at Cascade Crest and Devils Gulch.  White river is still up in the air I think according to my last conversation with Herb. 

I didn’t hesitate to say yes to Phyllis when she asked since Amy had literally done the same the previous year at the same event. 

I personally like that we’re hosting aid stations. We definitely have the equipment for it and it’s always a fun time. Plus the volunteers always seem to enjoy it. They also get something out of it, like lottery tickets or free entries which makes it feel a little less obligatory. If it turns out that it feels like too much, then I feel fine about doing less next year. 

I definitely agree that volunteer fatigue is something we need to be careful to avoid and that our focus should always be on our own events first.

I agree. It might be nice to provide a calendar of some sort. I'm sure Phyllis' post prompted Jodi to just reach out to her crew (which includes me). It should be more coordinated so our base knows there are choices.

I originally secured the Johnston aid station for an entry in Tahoe 200. I did use some of our stuff and rented a UHaul. I offered the aid station to Amy the following year so she could get an entry. My feeling is that it’s great we have an opportunity for members to earn a free entry by rotating captains each year there. Good subject for our next board meeting.

Ya sorry if I seemed crass at all. I definitely agree that it’s awesome we can support other races through captaining aid stations and we certainly have all the gear. It’s super fun also.

I just more think the idea of talking about it and making sure we are on same page with a schedule of events like Andrea suggested is a good idea.

Everyone made really great points and didn’t really have anything to add to the conversation. 

I agree with everyone. I think that if there’s an aid station that will be “hosted by OTR” then it should be approved by us so there’s no confusion.
