Meeting Minuets: Community Village September 2025
Growers Market

Introductions


Kimberly: Usually with intentional communities. Shadows on council but they’re not doing that any more.


Tim: I do the website and a lot of other things, usually minutes but not today! I have a beverage and phone left in car, so gonna go get it. I’ll miss all of your names! Already used to know them, but remembering names… I was a mail man for 32 years and the part of my brain that holds names is full.


Chaone: Been with the green each booth. Been with CV for 25 years.  I lead a eco feminism workshop earth year.


Fred: Intentional Communities. Booth coordinator.


Sara: I’m one of your council folk. Happy to support again this year.


Cordy: Health and healing


Bodey: With Cordy, health and healing.


Omo: On council.

John: Registration. Given list of who is on final list, and I assemble it.

Jane: Great Sara signed us up for next few months. We don’t know where we’re meeting in January?


Sara: Not yet. Haven’t checked in with the Church. Will talk to them before the next meeting. We’re solid for the next 3 months. We determined in September last year what meetings were on-site and which were hybrids. Unitarian church more expensive than used to be. Hybrid is a lot more, due to needing to pay a person. Our budget hasn’t changed. We could do a couple meetings in person there. 3 or more gets expensive. They may be willing to accommodate our budget a bit better.



Fair announcements

Elder status. 20 years. Goes up 1 year every 2 years until it gets up to 60.


Chaone: What if you’ve had multiple coordinators and some gap years?


Sue: You’ve gotta find someone who knows.


Chaone: What of some years if someone got a pass outside the village?


Jane: Elders will send out a form. In the case of a deceased coordinator, they will usually try to get someone from the booth at that time.


Chaone: There is a database of people’s age?


John: No. You have to initiate that form process

David: Just a matter of documenting. Preferably as you start, just keep a record. Maybe a list of names, who can verify.

Jane: The site is closed. We’re not supposed to go out there until the 19th while the site crew tides up from the summer events.


David: Cross-country regional high school event.w


Invitation to Council - 5

Tim: October is when we stand for council. Hope is things go smoothly and in November we can have council members ready to go. Council doesn’t have too many people, so okay for new people. I turn 75 in a few days. Room for things to do. You’re all invited to consider standing next month.


All current present council stated intention to stand again.


Kim: I am going to stand as well.


David: When on shift, responsible to answer questions, wear the shirt. But even when not on shift, you are available to answer questions. Other responsibilities, like the website. Takes a minimum of 8-10 people to do this smoothly. Getting up to 14th gets a bit much. There are perks. No cost shirt. No cost pass. Get to eat a main camp kitchen. Main camp kitchen pre-fair.


Karla: Council is fair staff, so we have to conduct ourselves appropriately. Go to coordinator meetings.


David: Extra restrictions and guidelines.


Omo: Important part about council for me is that council represents the people of the village. And represents the infrastructure as staff. It’s really the booths that are the strength of the village, and we often have to differ to that. It’s called booth empowerment.


Facilitation training update - 10

Kim: There is an email list group, CV Meetings (I think). The people on the list are Lorena(Possibly moved), John, Sue, Sam, Myself (Kim). We don’t have enough facilitators. Putting a call out for more. Only 4 people came up to give contact info. Later, a 5th person did it. Sam and I got together and he did an outline and I did a PowerPoint. Wondering if this could count as work party. We’ve counted subcommittees as work parties before. People had interest, so with or without work party, still doing the training.


Erin For work party credit, being a part of the committees remotely?


Kim: We don’t have that right now.


Omo: Spirit booth, booth empowerment, some times have let booth do work parties


Chaone: Did I get dropped from CV Meetings list?


Kim: No. Might not be part of the new list.


— Missed context, what is this facilitation?


Kim: Facilitating these meetings. They are really small in the fall, but come January, usually need 2. Keep stack. Time keeping. Someone sets intention. Vibes watcher. Agenda before meeting. Consensus fundamentals. How to facilitate proposals. How to build agendas. Logistics. 90 minute training. Questions about facilitation training?


Sue: It’s fun. If you are interested, take the training


David: Society thinks consensus can take too long. But since everyone deals with everything ahead of time, once the thing goes operational, usually runs smoother and shorter than a vote.


Adrian: So how does one express interest now?


Kim: Contact me and we’ll get you added to the group. Look me up at intentional booth coordinator booth listing on site, or message 541-743-3913


Restaurant update

Karla: We don’t have any information yet as food committee hasn’t yet met. Will in the next few months to gather some choices. I’ll be talking to Sue more about that, and maybe will have more information by next meeting


Sue: Now is a good time to talk to people to gather interest


Karla: Have to go through the process. Morning glory is on radar. Park street.


John: I agree that now is the time to recruit.


TODO: Find a link to fair process on this


Karla: Absolutely, but still need to go through fair process. Will talk with Sue to get info on exactly what’s going on.


Chaone: What does the village get from the restaurant. Proceeds? Traffic?


John: Just traffic. Food committee made it clear we can’t ask for proceeds.


Jane: When it was Holy Cow, they had a commitment to get work for village teens


Karla: that was ~25 years ago


Kim: If you identify as staff they may give you a free drink


Karla: Some times in the past, Mundo used to give coffee in the morning to villagers. Stuff like that. Some restaurants do little things like that for the village.


Sara: Elegant Elephant, little bit of a walk, but for all people that are staff you get a free drink. By the blue moon stage


Kim: So does Get Fried Rice


David: For newbies, some times just showing up to booth vouchers will get a discount. Hospitality places like main camp and if you are staff you can get fed there. Question: All this sounds good, but reservations because of what happened last year. We were looking for a food both, but fair did not send out feelers.


Tim: We didn’t know for sure Cafe Mundo wasn’t showing until Jan/Feb, so wasn’t time


Erin: Do we know when they start the process for vetting food booths?


Karla: Probably in the next month or so. They are really dedicated to making sure they can give us names of people we can choose. They are going with a call for food vendors to come in. Just need to find out when they are going to start doing that. Will get ahold of Sue. Know that people have to go through the fair’s process. Sam and I are going to work with the food committee to make sure all this happens.


Jane: Fair announcement: One of the folks running for the board says worked for Cafe Mundo. Don’t forget candidates form. Any question for candidates. 4pm, Sunday the 28th. Lots more info on .net site. As well as candidate statements. I also zoom into board meetings. 


Fair Grant ideas - Tim

Tim: Supposed to be submitted by the end of September. Nothing has been submitted yet from the village. So, the idea that I had is we do a theatrical performance. Maybe 60 minutes long during a break between the music, where someone would create art as a backdrop. Someone walks up on the stage and looks at something that’s on the art “Isn’t it great that we were able to help make this thing happen?” People in the future. Talks bout how we worked as activists. Someone else comes up, “hey I rememberer you from back in 2026.” They talk, more folks come up and talk about the successes as if it really happened. Then at the end, a thunder clap of some kind, they all fall to the ground, and as they get up they realize it was all just a dream. Part of the money would be spent making the art. The other part is that it might be fun and draw people in if we had a celebrity MC. Only guy I can think of is Sam Elliot. Maybe a long shot. could be a segment every day. Or maybe only on Saturday. Suspect there are people in the village who are at least a minor celebrity. Some of the money would be to pay the celebrity.


Jane: Kelsey Juliana, Alice Dimcili. Been working audiences at the fair for decades.


Jane: I think the plays are a great idea. My concern is that we’re not going to have the critical mass of villagers to help. The celebrity doesn’t do anything for me.


Kim: Couple things. Patch Adams talked about how we should build intentional communities. I can see how a couple booths would have something to say. This idea was pitched last year. I feel if there was momentum to do it people would have spoken up. Not a fan of last minute things.


Omo: Had a flash, it doesn’t have to be a performance. The concept is to lift up the image. We’re thinking about putting up new sails for shade. What if we put up a phase that we’re hoping will change the future positively?


Chaone: Question for Omo and Tim: I know a comity was formed last time, meeting at reality bakery. Wasn’t able to make that meeting. Did that meeting happen?


Omo: There were two meetings. Not going anywhere. If someone was hosting meetings about it, that would be good


Chaone: If this is due in September, his is September 11th, deciding by consensus, is there a smaller subcommittee 


Kim: We would have to be volunteering other booths that aren’t here to speak for themselves. I feel like we don’t have enough people here to speak about participating. So we can’t say we’re doing it. We don’t have a proposal.


Erin: Understand cant volunteer to do things. Are there ways for me to consult with individuals for a proposal?


Chaone: Don’t remember the submission format, but I do remember this is not supposed to be for individuals to promote their own thing.


Sara: One, we do have one other meeting this month, a council meeting. We could bring something to that meeting for a final vote.e Two: It sounds like there are a couple viable ideas, could have consensus with this group if we want to move forward with like a play, or a physical tool with the shade in the village. There are a couple workable concepts that if people are willing to progressively work towards something we could come up with something before the end of the month.


Tim: Couple things: Why don’t we concentrate on submitting this proposal, limited to one day? Would take maybe an hour to make it submittable. Then if it got granted, we could tell the boothies we have a bunch of money to do this. Caveat, if someone comes to the council meeting with something that seems better, could authorize the council to do that instead. Other option, we do nothing and see if archeology or other comes up with a good idea.


Corby: Going to suggest on consensing to let Erin talk to people to see if their idea can move forward. 


Erin: I’m thinking of people creating more physical art, their own intentions to do that. I do not have a firm idea in the same way that Tim does.


Jane: I don’t feel like it’s money that’s holding us back. It’s village energy that’s holding us back. I don’t know how many villagers that would say “Oh yeah, I’ll get involved with this if I get $$$” or maybe it does support time away from day job.


Sue: My concern is if we get the grant, and don’t do it, we’re going to look really bad. I don’t think we should apply if we’re not clear on if we’re going to do it.


Sara: I like Tim’s second idea. Opportunity to brainstorm things and vote next week. I also feel it could be onus of Tim if it ends up being the play, it’s on the council to make the play happen.


Chaone: Is this a no strings attached grant? We could literally pay a celebrity, individual actors? Whoever writes the script? Or is the grant supposed to go back to the non-profit mission?


Tim: quotes website: “The board will fund innovations in the education programs that include energy park, community village, craft ___ etc etc.  Each of the areas may submit and idea for a project that would be educational, innovative, and participatory…”


Cordey: Is this different than when council had us do puzzle pieces? Booth members may get excited about this, doesn’t seem so different. But up to $5,000.


Erin: Other question, is it an option to submit more than one idea for this?


Tim: “Each of these areas (CV) may submit an idea


Karla: Educational, art… Educational to me is like have someone come in and teach something that is profound to maybe right now, be somebody that is known. Art installations are art installations, they talk to what’s going on right now in life and teach people things, interactive.


Tim: Educational, this is what my activist group is working on, this is the goal. Could be pretty educational. Reason to have a celebrity would be that people could come and pay attention


Kim: Does not feel ripe for consensus. Not sure what calling to question


John: Was a proposal to give council authority to make a decision


Tim: “We here by give council the authority to submit or not submit a grant proposal to the fair”


Kim: I don’t think there is enough momentum for this. A big thing we would need a lot of boothies, at least 5, to be a nice educational performance.


John: When I suggest putting this to council, not with the idea that council will try to get together a proposal so we get the money. Hope is that if something happens to come together in the next week council is empowered to move forward with that.


Omo: Question, does this group trust the council? That’s the question before the table. 


Erin: Concern reflecting what you had to say Kim, making sure everyone who we vouinteer to participate is giving their full consent.


Sara: Not determining it will be Tim’s idea. If we have a grant to propose, we are empowered to do so.


Chaone: Would want to make sure we put a call for proposals to CV drum. “Last change, time for proposal.” Put OCF wording so they understand the requirements are. Not just minutes, but making a separate announcement some how.


John: Made the proposal not with the idea that it was specifically Tim’s proposal. What Tim is putting forward is a call to put together a vision for the next few decades. We need this! But big ask. If you have something workable, thoughtful of implications, that’s most of the work. If you’ve done that, all you have to do that is spread the information. If we come up with it after the next 3 weeks, nothing is stopping us. We don’t need money.


Lots of stand asides. Didn’t have enough consensus.

Fair Debrief - 45

Jane: I had a great time


Bodey: I missed Cordy


Cordy: I had my gall bladder out


David: Pre-fair, Friday, showed greeters paper prefair camping past thing. Gave recess peanut butter cups.  “This stuff is legal amphetamine as a bribe to sneak into the fair.” Next day, backup manager says Kristin gave both peanut butter cups. They were delicious. David, you can now say you bought off a bum


Omo: One: I love being Fat Jesus! Two: I took a beautiful picture of Matt and Kelsey, as they were the only two by the camp fire


Kim: I had a great time. Thought intentional communities booth went really well.. Lot of public engagement. Maybe everyone showed up for their shifts. I will say that I was really squished out about a person taking pictures in the sauna. I had just gone to the shower that day and I was like “should I pay for private shower or just go into the main shower” Go the private shower but almost didn’t, and the feeling stayed with me for like a day.


Jane: Henry and Simon staffed village info for quite a while wed and thurs, they had an actual peach pit, “This is our peach put, we only have one, yo can look at it but you can’t take it”


Sara: Favorite thing about fair this year, this was the first year my kids didn’t need me at all. Fully independent. Off with friends. Such a fair kid. Other thing, I was at the Rits. I dunno. Someone could have taken a picture I don’t know what they’re going to do with it. I got the rainbow girls! It was such a lovely show. First felt super self conscious, Then I thought there is nothing more vulnerable and beautiful standing with a bunch of strangers with nothing to guard you, just enjoying space with other people. 


Chaone: I want to give a shout out to all the 4A all over fair, especially and including the village. Was temporarily alter-abled this year because broke foot. Had surgery last December. Needed alter-abled, didn’t realize about the golf carts, etc. Gave me realization of what it is alter-abled face. 4A people all over fair were all over it. Could always to go village and have resting place. Feel like our infrastructure is pretty good.


David: My understanding is 4A crew is for the public, and not for crew.


Chaone: 4A really helped, dragon, walkies. 


Tim: I was able, something I really enjoy, was able to find $20 worth of quarters one at a time from kid’s ears. Vibe in the village was pretty nice. Not so much scowling. Some dissatisfaction with how camping host handled camping. Some concern and sadness how Moon Lodge didn’t happen this year. Otherwise, was quite lovely.


Sue: About the Moon Lodge. Person, Autumn something or another, said if someone reached out might have been able to do it


Sara: Direct response: council got request for support to empower Moon Lodge with more people


Sue: Such a hot fair. But we all made the best of it

Sue: We sued to do this sooner. Before the picnic. 


Erin: Some feedback I got, a little heartbreaking, perhaps we wanted to have a little more commemoration for Frog. I know I didn’t put forth big ideas on this, but also heard other volunteers tasked for more memorializing. Just wanted to express a little bit of sadness for that.


David: Speaking of Frog, yesterday/day before Register Guard brought out old photographs, one was Frog on the street selling his book. If you are interested in Frog, they did this spread with photographs.


Omo: I had great sadness as well at the closure of the moon lodge. Got some feedback from some folks that said they missed the opportunity to have that sacred space that really hasn’t been at the fair in that space since the Kalapuya left. In passing I mentioned to Oblio who was a caretaker for a long time, and they said wished you had told me sooner, I know people who would love to do this. So, we may have a different vision for the moon lodge.


Kim: This is something that council is going to talk about next week, right?


Answer: Yes


Sara: I ran into Oblio a few days ago and asked them if they wanted to participate again, and they said maybe for a meeting for an activist report or some other level of involvement., It would be cool if they could follow up on that.


Omo: Got to play Ukulele with Simon


Storage 

David: We store a lot of stuff, tables chairs other, in the Conex(sp?) up by Doug’s green. Fair has these 18 wheels box/connexes. We couldn’t find someone of our stuff. Our conex had been moved without us being told. Site manager said we have all this stuff is it yours? Dianne was posting that some of that happened to be the Elder’s living room stuff. So it’s all a mish-mash. 


Tim: I went out there to meet with those guys, and find out what the stuff was that they said was us. They said “we didn’t move any of your stuff, it’s all here.” I looked and I couldn’t see anything because it’s back in there. I took a picture, got the name of the guy who they said we could ask help for. Sitting out in law in front of the thing was a wooden box about yay big. Padlock. None of them knew what it was. It wasn’t us at all. Diane heard from someone recently who say the picture, who’s aid it belongs to the living room. They are in the process if building covered storage areas over there, and that’s why stuff got moved. Was told not to worry, your stuff is all here, just call Colin Yurt. Call him on first work party day. We want to get the stage floor down a couple weeks before fair so tapestry and rugs can be placed earlier in the process. Need to know if we need to make new chairs. Only saw one table. Hopefully other tables are back in the thing.


Kim: Would it help if Song and Rick connected? Or Song and Dianne?

Hi all!

Thanks for the minutes. Sorry I couldn't be there but can't drive in the dark anymore. I think that Growers has zoom capability.  Then I could attend.

Yes, that large rolling box belongs to Elders and was stored with Elders stuff. But someone moved it after it  was stored.
