sorting subtasks

Apologize if this has been covered before, but is there a way to auto-sort sub tasks in outline view (i.e. by due date)??  I don't think you can, but just want to make sure i'm not missing this...

Hm.... There is an autosort by title.  I don't recall if by date was an option.

Hey!  You can do by date!

1. Right-click on any level of the hierarchy (whichever one you want the sub-tasks to sort)
   
2. Select "Advanced"
3. Select "Sort Subtasks"
4. You get a three-level sorting (much like in Excel)

Do realize that it won't be "auto-sort" to go into advanced options. There is a good reason for this -- the outline is the permanent home of your tasks and the views show you all kinds of different ways to see the same data. Certainly, sometimes you want your tasks ordered a certain way permanently, but having it auto sort would be like asking Windows to re-order the files on your disk each time rather than showing you different views of them.

 

I'm not explaining this well at all, brain isn't functioning 100% today...but my point is, there is a good reason for not having constant/auto sorting in the outline, and it proves very powerful in the larger model.

Excellent point, Lisa.  These sorts are a one-time decision.  One that you can make more than once, if needed.

There is an optional "recursively to all subtasks" option at the bottom of the dialog box. This is under "Advanced – –>Sort subtasks".

Hmmmm...sorry, can you explain in details? I am trying to find it in Outline -> Group & Sort area -> Sort... - in the Sorting dialog - no checkbox. In Advanced area - also. Checked the help, and even upgraded from 4.2.1 to 4.2.2 =)

The steps to sort are:

1. Right-click on the top level of your sort
2. Select Advanced > Sort Sub-Tasks
3. Enter your sort criteria
4. If you want it to apply as Lisa mentioned, click the box for "Recursively to all subtasks" at the bottom of the screen
5. Click OK

Thanks, Elizabeth! Now I see where it is. But "Sort subtasks..." is disabled - I have checked for several tasks with subtasks, folders with subfolders \ subtasks. Any ideas?

I do not specifically know, but my guess would be that it is a professional product level feature and you may be running the free or standard version.  Do you know which version of the product you are using?  We can then check with the developers.

Check your view. I found you can only sort subtasks in a view when you can see all tasks. For example, It will not work if you are looking at a filtered view of all tasks not completed.

Elizabeth, edition is Professional, this should be fine, 4.2.2.

Stephen, I have tried Outline, no filters, no grouping, no sorting, closed are shown - but still it is disabled.

Any other ideas :) ?

Hi, Yury. I experimented a little and I found that "sort subtasks" is grayed out in every view except for "all tasks." In fact, I saved an exact copy of "all tasks" and named it "test1" and the option was grayed out in test1 but not in AllTasks. So my suggestion would be: go the the actual, original "all tasks" view and use it to rearrange your subtasks.

So, it does it only once...Seemingly, there is no option for permanent rule? E. g. sorted by Caption task starting from "Z" always goes to the bottom.

Yury, I believe I’m repeating what someone else has said, but it bears repeating. You have the ability to create views of your tasks that present them in a rich variety of ways. This includes for example the ability to present the tasks in alphabetical order by caption. This is a different thing from actually re-ordering the outline to put the tasks into (for example) alphabetical order. Actually re-ordering the outline can have unexpected and unwelcomed consequences, such as destroying task sequencing where “complete tasks in order” is enabled. Recommendation: try doing your resequencing in a view.

MLO organizes tasks differently from many other task systems, which is often confusing to new users. Before you decide how to organize your tasks, you need to understand the difference between the outline (your task tree) and

views.

In MLO, tasks have a static position in a tree structure, called the outline. The outline is where your tasks reside, similar to files in a file system on your computer. Your tasks will maintain their position in the outline until you choose to move them, even when you change other properties such as status, due date, etc. You can restructure your outline and move tasks around whenever you like, or ask MyLifeOrganized to go through parts of your outline and sort the tasks for you. But by design, there is no dynamic sorting of your task outline - that is what views are for.

An MLO view takes your task outline and filters it to a subset, sorts and groups this subset, and presents it to you in a list (or tree) of tasks that is specific and relevant to your current activity. You can think of a view as similar to a saved search which is updated as your tasks evolve. The software comes with a set of pre-defined views, and you can also customize these or write your own. For example, here is a sampling of a few of the built-in views. "

Active Actions by Flag" collects all of the tasks from the Outline that can be worked on immediately, and groups them by the Flag they have been assigned. "Due next 7 days" shows you only the tasks that have a due date prior to seven days from now. The hierarchical "Projects" view displays all projects and the subtrees underneath them.

Many combinations of properties can be used to define the filter and sort criteria of views, to show you only those tasks you want in the view. Views can be hierarchical, meaning that they show you a subset or filtered view of your outline. However, a key point to understand is that views don't change the location of the task in the outline.

Hello, Lisa!

Do you mean that MLO can sort OUTLINE view tasks in their folder only when a user right-clicks on folder/Advanced/Sort_subtasks ? 

So if we add a new task to this folder (or to any other folder), the new task will NOT be sorted by MLO automatically. (MLO can add a new task only to the top or bottom position in any folder. Other options are not valid for outline view). 

Moreover, when we click focus on any folder, then define a filter and add the task, this task usually will be in the middle of the task list. But after that when we go back to the outline view, this task always appears on the top or bottom position of our folder, not in the middle!  

Please, correct me if I'm wrong!
