Hello

Is there any way to set up a hotkey to change the Importance of a task?

Background
I had a minor epiphany, on a walk today.

I need to just do the extremely important tasks. (e.g. Importance = "Max")

And then, once they are done, then I can move to the fairly important tasks  (e.g. Importance = "A lot")
And then, only if time permits to take on the task of lesser importance... etc etc.

What has happened to me personally, is that over time too much crud has built up in my system most of which isn't all that important. The crude tool of making tasks either active or "someday-maybe", is also too blunt an instrument, as one ends up with an unfeasibly large number of tasks which one doesn't want to delete just yet, and yet which are too time-consuming to review in their entirety on a regular basis. Using the Start Date to kick less important stuff down the road doesn't solve the problem either... Here's the thing: I just don't want to even SEE tasks until I am in the mode that is ready to even think about taking them on.

The problem is that allocating actual values to the Importance field seems cumbersome using the mouse. Reluctantly I concede that I could try setting up some new, dedicated Context tags, but this too feels cumbersome as I already have rather too many contexts for comfort(!). Also turning off one Context and turning on another feels fiddly. Another suggestion would be to use Flags but I already use Flags for other purposes... And in any case my setup does already use Importance for it's intended purpose for certain views...

Any suggestions?

J

No shortcut key that I can find, John. However, how about including the "importance" column in one of your views? You can then select multiple tasks, right-click on the importance column and select one of 7 preset levels of importance. If you're editing multiple tasks at the same time, it becomes almost as quick as a shortcut key.

Now I've tried it, I might even start using the "importance" parameter myself.

What if you use star (ctrl+shift+s) as importance marker?

My take on this is to use Context + shortcut key.

Create any level of context u need (100, 80, 60, 40, 20, 10...etc)

Assign each context using the NUM (ctrl+1 for "10", ctrl+2 for"20"...ctrl+0 for "100")

Then, create VIEWS for all the different CONTEXT and assign shortcut to them (Alt+1 to show task with "10" importance...etc)

After all is set, you can prioritize task and navigate using shortcuts. hope this is helpful.

Yes I already use the Importance column. Yes I use multi-line selections. Yes, I find it useful.
The problem is that in general I need to evaluate the importance of each task separately.

No. I am already using Star for "attempt to do today".
Also it is binary (on-off), whereas I want to have degrees of importance, so that when I have more time on my hands I can start clearing the technically "less important" tasks.

Using Contexts to manage my real-world importance of my tasks is messy, as it will cluttering up my Contexts.

However your suggestion also raises a deeper problem with MLO. The thing is that I am already using a large number of views - one for each real-work "context".
And now it sounds like you are saying I need say ten versions of each context view!? Total nightmare!

OK so maybe I should revert to creating my own views manually "on the fly" by leaving the Properties open (on the left of the screen) and only having say 2 or 3 views.

Worth a try I suppose. Is this what you do? Manage importance to you the user by using Contexts?

Either way, the inability to use the Importance field for my real-world importance feels like another (annoying)  "workaround" that MLO is forcing upon us.  [Grrrr]

I agree here.
That's the reason why my use of Importance/Urgency is very limited in MLO - it's too complicated to change it quickly.

hahaha.  I totally understands how you feel John. That is just my suggestion on how to fulfill your request. You may need to modify/adapt it to your daily use.

Nope. I don't use 'importance' for my tasks. My usage in MLO is very simple.
To make MLO as simple as possible. I use:
01. Task Note, General, Timing/Reminder + schedule/repeating task.
02. Starred to indicate tasks i want to get it done today/asap/very important
03. FLAGS to indicate what kind of tasks such as projects, waiting for, actions...etc
04. CONTEXTS to categorize the tasks.
05. All my views are customize to filter by criteria and flags.

notes on CONTEXTS:
01. [week01], [12wy...] etc, are my experimental contexts on 12 Week year.
02. Contexts that starts with "A. xxx" are Agenda with people / meeting.
03. the rest are pretty much straight forward.
04. I will do spring cleaning from time to time to get rid of contexts that no longer relevant.

Let me show you some screenshot. :-)

that is a ton of steps...

what's exactly are the main benefits or good points of doing that exactly?

I agree with you, Domas. People have systems with varying complexity. My goal is to use as few parameters as possible, to minimize the time I spend clicking an editing tasks and to maximize the time I have for actually doing those tasks. (Having said that, I do spend a lot of time writing a lot of date-stamped notes, so that I can look back and see how a project or task developed.)

As a side note the Android app suffers a lot from this problem (too many clicks to complete things).
As an example, when I'm using Inbox (Google's email app) I can delay tasks with two clicks:
  1. slide the item to the side
  2. select the desired time.
In MLO I'm using Start Date to indicate that task should be started working on.
To delay the MLO task:
  1. slide to the left to see the options
  2. click anywhere to start edit mode
  3. click Start Date to start dates editing mode
  4. click Start Date to display calendar
  5. select the date (very inconvenient, no possibility to have predefined dates/times)
  6. click Ok
  7. click Save
  8. click Done
  9. click Back
Amazing. If I would like to select the time, it's even more clicks.
This completely undermines the use of this functionality within the app.

Though MLO does have the problem of a lot of taps to do some frequent adjustments, there's often more than one way to do things. For your example (in iOS, so I guess it's similar for Android), you don't have to swipe left. Instead, you can tap and hold on a task, which brings up a menu of frequently edited parameters, including a quicker link to edit the dates. The advantage is it takes you straight into edit mode, rather than having to view and then tap edit.

Hope that's helpful, if you didn't already know about the tap-and-hold menu.

Yes, hold menu does give some useful shortcuts (I'm particularly using it to add Contexts and to Delete tasks). However its Date button means "Due date", which I'm not using very much. There's now way of setting it up to launch "Start date". Maybe that's slightly different on Android, I'm not sure.
Thanks anyway!

Dear Domas,

In MLO android, Settings>General Settings>Quick Date selections

Change due date → start date

If you frequently set bort start & due date, then choose "Do Not Open any date"

Hope this is helpful :-)

Yes, that definitely is!
I'll take this also as a reminder to go through all the app options again :)
Thank you!
