We are pleased to invite you to our next meeting on Wednesday, May 6. 2026, at 9:00 a.m. Our May Meeting will be a presentation by the City of Minneapolis of their Records Retention Tool. Please invite others from your organization that might be interested also.

SUBJECT: City of Minneapolis Records Retention Tool

The City of Minneapolis will be demonstrating a new records retention application built in SharePoint with a streamlined PowerApp interface.

PRESENTERS:

·         Charles (Records Management) – Overview of the records component, design approach, and user experience.

·         Jeff (IT) – Technical overview of the system architecture and build process.

We are in the early stages of implementation, and Charles felt this would be valuable to share with other government entities who may be facing similar records management challenges. Essentially how to show the retention schedule?

ABOUT THE TOOL

The goal of the PowerApp is to bring order to the complexity of records across the city.

• Built to work with a single retention schedule, but adaptable for multi-schedule environments.
• Provides employees with a tailored “view” of the retention schedule
• Includes light file-planning features.
• Offers an expanded toolkit for Records staff for administration and support

Sharing projects like this aligns with one of MN-GRIN’s major goals: helping Minnesota government entities learn from each other. If your organization has software or systems, you believe others could benefit from, we would love to highlight them in future sessions.
