Dear Khulisa Journal Editors/Managers,
Showcasing Khulisa Journals
We are looking forward to showcasing your journals tomorrow during the presentation mentioned below. You are most welcome to register and join. I hope to highlight something special about the majority of the hosted journals, so other journals globally can benefit
and learn from us.
25 March at 11:00 SAST: OJS best practices and use cases webinar will present the OJS-based Khulisa Journals platform and focus on the use of OJS in Lithuanian journals.
Push towards democratisation of African journals and publishing of indigenous knowledge
There is growing momentum toward the democratisation of African journals and the inclusion of indigenous knowledge in scholarly publishing, driven by open-access initiatives, multilingual publishing, and the decolonisation of research evaluation. A key aspect
of this shift is the push for Diamond Open Access publishing, which ensures that neither authors nor readers bear financial barriers, fostering greater equity in knowledge dissemination.
If the above applies to your journal, please indicate it as such as part of the
About and/or Focus and Scope section. I would also like to encourage you to add the Diamond Open Access logo to your website if applicable.
Lastly, if your journal is a South African journal, please clearly indicate under
About and/or Focus and Scope why it is regarded as such.
The above is completely optional, and not required.
JATS tool to convert pdf articles to xml format
Converting articles from PDF to XML enhances accessibility, discoverability, and long-term usability in academic publishing. XML enables machine-readable, structured content, making articles easier to index in search engines, repositories, and citation databases
like DOAJ and CrossRef. It also facilitates text and data mining (TDM), supports interoperability across platforms using JATS XML, and allows for multi-format publishing (e.g., HTML, ePub). Additionally, XML ensures long-term digital preservation, prevents
format obsolescence, and enables automatic citation linking and cross-referencing. By adopting XML, journals can improve visibility, accessibility, and scholarly impact.
The PKP OJS developers are working on making this JATS XML conversion functionality available through the software and as part of the e-workflow.
In the meantime,
EduGAIN - SAFIRE member institutions have access to https://jats.srce.hr/.
Please consult with your IT to find out whether you have access. This way, you will be able to make your published articles available in both pdf and xml (pdf is always required, but xml optional).
ChatGPT and biographies
Specific tools such as Zotero, EndNote, Mendeley and more are excellent with formatting references/citations, and tailor made for this purpose - always your first choice. I am however wondering if any of you have ever tried copying and pasting, cleaning up
and fixing long lists of references, using ChatGPT. What was/is your experience? Please share with us.
Quoting ChatGPT: "Using ChatGPT for bibliographies can streamline the process of formatting, organizing, and verifying references in academic writing. It can quickly generate citations in various styles (APA, MLA, Chicago, Harvard, etc.) and help ensure consistency
across all references. ChatGPT can also assist in checking for missing information, correcting formatting errors, and even suggesting additional relevant sources based on the content of a paper. While it is essential to cross-check citations for accuracy,
ChatGPT serves as a valuable tool for speeding up bibliography management and reducing manual errors in research and scholarly writing."
Always be critical of ChatGPT, verify the outcome, and do not regard it as the expert. Ethical use of ChatGPT and other Generative AI/Large Language Models is key.
Utilise your PKP OJS website as a proper website
Journals on the Khulisa Journals platform are encouraged to fully utilise their PKP Open Journal Systems (OJS) websites beyond just manuscript submission and publishing. Like any professional website, an OJS journal site can serve as a hub for marketing,
engagement, and community building. By regularly updating the site with news, announcements, training resources, and discipline-specific developments, journals can enhance their visibility, attract more submissions, and foster a stronger connection with their
readership. Featuring editorial updates, calls for papers, author guidelines, and multimedia content (such as webinars or interviews) can also support training and awareness-raising efforts, positioning the journal as a key resource in its field.
Digital Object Identifiers (DOIs)
Incorrect DOIs do not reflect well in a trusted scholarly journal environment. Crossref tries to identify faulty DOIs, and then notifies ASSAf. During the past month, we've been working hard on resolving conflicts and other errors. When publishing a new article
or issue, please always test that the DOIs resolve correctly. Ideally, only the
Registered tab should contain items. The rest of the categories should be empty, once everything has been published and are correct:
Depositing journal metadata with DOAJ
When depositing all your article metadata to DOAJ, it means all article metadata is also harvested/indexed by
openAlex. Please use the OJS plugin to upload all article/issue metadata to DOAJ, so that it can be made even more visible and accessible for others. It can also be done retrospectively.
-
If registered/included on DOAJ,
login and obtain the
DOAJ API key for your journal. Copy this key.
-
In OJS, go to Dashboard >> Tools >> Import/Export. Click on:

-
Paste the
DOAJ API key in the text box, and
tick the checkbox where it says "OJS will deposit ....". Then
Save the settings.

-
To retrospectively/manually upload all articles to DOAJ, click on the
Articles tab. Select all you want to deposit with DOAJ, and click on
Register at the bottom. The status of the articles will then change to
Registered. And that is it.

Invoices for April 2025 to March 2026
The ASSAf finance office is in the process of planning to issue the Khulisa Journal invoices, and we will be in touch with each of you.
Thank you colleagues. This all from me for now. But please do get in touch should you have any questions or experience any challenges.
With kind regards,
Ina
