Student Graduation Portfolio Transfer to Personal Account

Hey!

As we are getting closer to the end of our school year, our teachers are asking if there is a good way to transfer student graduation portfolio documents from their district-owned student account to a personal google account. What are other districts using to transfer files to students when they graduate? Is there something that could select only particular folders/files?

Hello,

I just finished putting together this document about transferring items from their school Google account for future usage.  We used to use Google Takeout, but they pretty drastically changed some pieces around who can use it and some of their permissions pieces, so it is no longer a viable option for us.

FYI - There is a new Admin Console Chrome User Setting called "Content transfer tool" where you can schedule a date for the Google Takeout transfer tool to pin a graduation hat icon to the student's Chromebook shelf. It's super cool and might catch more students' eyes. It's using the same Google Takeout tool as what is already there. Transfer Content Setting Support Page.

Note: Remember consumer accounts have storage limits so students need to ensure they clean up and don't run into issues when transferring. (This is a reason to set storage limits on students).
Note #2: There's a Google Takeout Audit Log in the admin console if you need transparency into that action this spring to troubleshoot.

Hi all,

Thank you for these resources. Paul - could you specify what hurdles you've ran into with changes made to Google Takeout? We've used that for graduating seniors as well and were planning on doing so again this year. I ran through it with one of our test accounts and everything seemed to work as expected. 

In the event they're useful for anyone, here are the two sets of directions we share w/ graduating seniors via email:
  • Click here if you have a Google account other than your Holy Family account
  • Click here if you do NOT have another Google account

Hi,

Google changed their terms of service for many "additional services" within Workspace, including Takeout. They used to be 13+ years and are now 18+ years. Students cannot access without explicit written parental consent. This is causing districts to block access to many of these additional services.
