Founded in 2016, For Our Future Action Fund and For Our Future run the largest, permanent progressive field program across key states. In 2018, we made over 10 million door knocks and held 1.5 million face-to-face conversations with voters in 7 states. Our turnout operation and innovative program helped restore voting rights to 1.4 million Floridians, expand Medicaid coverage to 400,000 in Virginia, and resulted in sizable electoral progress at the state and federal level, including the pickup of 3 Governor mansions, 1 Senate seat, 13 Congressional seats, and 22 state legislative seats.
For Our Future will continue to grow and win through 2020, building power across issue fights and elections. Headquartered in Washington, DC, our current state programs include Florida, Michigan, Nevada, Ohio, Pennsylvania, Virginia, and Wisconsin.
For Our Future (“FOF”) and For Our Future Action Fund (“FOFAF”) are allied organizations together seeking an Operations Director to support our statewide organizing work. The Operations Director will work closely with the State Director/Deputy State Director on managing the budget, payroll, and compliance needs. You will also provide logistical support to the field and digital teams and their programs. Operations Director will report to the State Director/Deputy State Director.
This is a full-time position through at least November 6, 2020 and may require some night and weekend availability. Salary is $65,000 + benefits.
Responsibilities
● Oversee the day-to-day-financial, compliance, staffing, and logistical needs of the HQ team.
● Work with the national Operations team to ensure the smooth processing of accounting and compliance documents
● Work with State Director and Deputy State Director to manage and track the budget
● Ensure timesheet compliance for all in-state employees
● Manage and track all expenses and contracts related to field offices: lease agreements, internet contracts, and other contracts
● Work with State Director and Deputy State Director to assist with in-state hiring and tracking through HRIS software
● Work with the Human Resources Generalist to ensure compliance with employment law, payroll best practices, trainings, and resolving staff issues in a professional and timely manner.
● Order, store, and organize all office supplies and equipment
● Collect reimbursement paperwork
● Record retention for all state expenses (receipts and payment records as needed)
● Update internal operation procedures document as needed
● Coordinate with State Director and Deputy State Director to schedule meetings and to provide follow-ups
● Support State Director and Deputy State Director in managing and resolving operational issues
● Store, file, and retrieve corporate documents and reports as and when needed
● Manage incoming and outgoing letters and packages
● Perform general office administrative and clerical duties
● Manage all office orders on a regular basis
● Maintain logs and spreadsheets for all office activities
● Track and approve outgoing disbursements including, but not limited to, invoices from vendors and contractors, check and wire requests and credit card payments for expenses.
Qualifications
● Extraordinary attention to detail
● Familiarity with administering databases, payroll, and benefits preferred
● Familiarity with using and maintaining spreadsheets
● Experience managing staff and/or interns
● Ability to travel within the state and work long hours
● Exercise good judgment in high-pressure situations. Flexibility and a willingness to take on new tasks as the responsibilities of the position evolve
● Experience working on projects and making decisions in a fast-paced environment
● Experience with political campaigns or interest in politics preferred
● Strong verbal communications and interpersonal skills
● Ability to maintain enthusiasm and calm demeanor in stressful situations
● Prior operations/administrative experience a plus
● Ability to work in a team
WORK ENVIRONMENT & PHYSICAL DEMANDS
● Because of COVID-19, state and local government stay at home orders, phased reopening orders, and other factors limit For Our Future’s canvassing program. When these limits apply, your work environment will likely be your domicile (teleworking) or a socially-distanced office. Door-to-door canvassing is considered an essential function of this job. When it is possible to safely and appropriately resume door-to-door canvassing, it will be a high priority. Employees may be required to work in extreme weather conditions, including rain, heat, and cold. This position is expected to interact regularly face-to-face with voters, volunteers or community partners.
EXPECTED HOURS OF WORK
● Employees may be required to work outside of normal business hours including weekends, holidays, and nights.
● Employees may be required to abide by certain blackout dates during a campaign cycle, and generally not allowed to take more than 2-3 days off consecutively during blackout periods. Emergencies will not be affected by this policy.
