MAYORAL AIDE
OFFICE OF THE MAYOR
Position Purpose:
Carries out directives on behalf of the Mayor, provide informational, ombudsman, and referral services to constituents, requiring initiative and independent judgment. Performs all other related work as required.
Essential Functions:

Speaks on behalf of the Mayor and represents the Mayor in working with all departments on various projects.
Works as the primary point person representing the Mayor on special projects with departments, committees, boards, and community organizations.
Meets with various departments in relation to employment issues and policies.
Researches and prepares the Mayor for meetings, public appearances, events, and any other
activities related to the Mayor’s role.
Answers phone calls from constituents with a variety of needs and concerns; responds by
furnishing a variety of routine information and assistance, resolving minor problems and complaints. Provides informational and referral services to constituents, public officials and any other City employees regarding a variety of topics.
Meets with constituents to ascertain needs or concerns; performs research to answer in-depth questions and responds to detailed requests for information and complaints. Provides ombudsman services to constituents involving other City departments or local agencies as needed.
Provides a visible link between elected officials and the public, acts as a representative in dealing with constituents, City departments and committees.
Composes correspondence dealing with issues and subject matters in ways that sometimes requires sensitivity and discretion.
Attends City Council meetings.
Reviews local media on a daily basis and refers matters of importance to the Mayor.
Provides a wide variety of professional support to the Mayor.
Represents the Mayor at meetings when required and appropriate.
Performs similar or related work as required, directed, or as situation dictates.
Recommended Minimum Qualifications:
Education, Training and Experience:
Bachelor’s Degree in Business Administration, Urban studies or related field; and experience working with the public and municipal experience preferred; or any equivalent combination of education and experience. Possession of a valid Driver’s License.
Knowledge, Ability and Skill:
Knowledge: Thorough knowledge of office procedures, practices and terminology. Complete knowledge of the use of office and data processing equipment, business arithmetic, American business English and spelling. General knowledge of local government and its operations helpful. Familiarity with pertinent state and local laws relating to departmental operations preferred.

Ability: Ability to organize time, work independently and accomplish tasks despite frequent interruptions, deals effectively and tactfully with the public, communicates effectively with the public, co-workers, other employees, departments, officials, and outside agencies.
Skill: Superior communication skills, Expertise and skill in utilizing personal computers and MS Office, Excellent customer service skills, Skill in all of the above listed tools and equipment.

This position is frequently required to sit and talk or hear; occasionally required to walk, use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms. The employee must occasionally lift and/or move up to 10 pounds. This position requires the ability to operate a keyboard and calculator at efficient speed. The employee must be able to hear normal sounds, distinguish sound as voice patterns and communicate both verbal and written.
Supervision:
Supervision Scope: Performs varied and responsible duties requiring a thorough knowledge of departmental and city operations and the exercise of considerable judgment and initiative to independently complete tasks, particularly in situations not clearly defined by precedent or established procedures.
Supervision Received: Works under the general direction of the Mayor.
Supervision Given: Supervise interns, senior workers, and temporary employees, and have the
authority to sign off on time sheets.
Job Environment:
Work is performed in an office environment. Majority of work is performed in a moderately noisy work environment, with constant interruptions. Frequently subjected to the stress of other individuals and the volume and/or rapidity with which tasks must be accomplished
Operates computer, printer, video display terminal, typewriter, calculator, telephone, copier, facsimile machine, and all other standard office equipment.
Makes very frequent contact with constituents; makes frequent contact with other municipal departments, the news media community agencies and organizations; contacts are primarily in person and by telephone, requiring considerable patience and courtesy. Handles complicated customer service requests.
Most information is subject to public disclosure, but must be appropriately presented for the audience and communicated factually. Has access to confidential information and requires the application of appropriate judgment, discretion and professional office protocols.
Errors could result in considerable adverse public relations for the City and possible legal and/or financial repercussions.
