Title: Operations Manager Grade: MGT B - Annual
Pay: $74,300
Location:
Washington, D.C.
Purpose:
This position
is responsible for a broad range of administrative and operational
support functions for the SEIU Benefit Funds. The SEIU Benefit
Funds administers multiple benefit funds in a fast-paced
environment.
Primary
Responsibilities: Perform a wide range of duties,
including but not limited to the following:
- Manages
facilities for the SEIU Benefit Funds including renovations, repair
and maintenance of office equipment.
- Orders and
maintains all inventory of equipment and supplies for the SEIU
Benefit Funds
- Coordinates
distribution and disposal of office furniture and equipment such as
computers, printers, copiers, cell phones, etc.
- Facilitates
all Fund mailings to ensure timely processing
- Coordinates
temporary staffing needs of the SEIU Benefit Funds and acts as
liaison between SEIU Benefit Funds and staffing
agencies.
- Handles
inquiries and negotiates prices with certain vendors.
- Maintains,
tracks and monitors database of vendor agreements.
- Administers
security system and is main point of contact for outside security
contractor
- Analyzes
reports and implements change to increase efficiencies of
operations.
- Reviews,
revises and implements processes to increase efficiencies of
department operations
- Acts as
liaison for between building manager and SEIU Benefit Funds
staff.
- Ensures that
requests for actions or information are directed to appropriate
staff as required; ensures that information requests are handled in
a timely manner.
- Schedules and
coordinates all Board of Trustees' meetings, including but not
limited to securing the meeting space, securing trustee lodging,
coordinating trustee travel arrangements, and organizing food
delivery.
- Drafts minutes
of Board Meetings and disseminates for review.
- Maintains
organization chart and employee directory.
- Performs
administrative functions including budgets, leave reports, supply
orders, etc
- Assists in the
negotiations related to the collective bargaining agreement
covering Fund staff.
- Performs other
duties as required to support the mission of the SEIU Benefit
Funds.
Direction
and Decision Making:
This position
reports to Deputy Director and Associate Counsel and works
independently.
Education
and Experience:
Bachelor's
degree in business or other related field, six (6) years of
administrative experience and three (4) years of management
experience preferably in a union environment or a combination of
education and experience that would provide for the following
knowledge, skills and abilities:
- Thorough
knowledge of benefit funds and their operations.
- Through
knowledge of administrative operations.
- Ability to
handle, maintain and control confidential information.
- Ability to
identify, analyze and solve problems independently.
- Ability to
handle emergency situations and prepare for such
situations.
- Ability to
analyze reports and implement change to increase efficiencies of
operations.
- Ability to
review, revise and implement processes to increase efficiencies of
operations.
- Well developed
interpersonal and communications skills including the ability to
communicate effectively, both orally and in writing.
- Demonstrated
leadership skills.
- Ability to
multi-task and track the progress of numerous assignments,
mailings, projects, reports, etc
- Ability to
think critically and produce sound, logical
conclusions.
- Strong
organizational skills.
- Ability to
produce work accurately and thoroughly.
- Ability to
maintain flexible attitude and approach toward assignments while
actively participating and supporting a team
environment.
- Ability to
design and implement short- and long-term tasks and
goals.

diplomatic, discretionary and problem-solving skills.
- Must maintain
ethical conduct.
- Advanced
skills in the use of personal computers using database,
spreadsheets and word processing software or other SEIU Benefit
Funds software, including Microsoft Office Suite.
Physical
Requirements:
Work is
generally performed in an office setting but may be required to
work in other settings conducive to performing the tasks required
to complete assignments.
Travel may be
required (up to 25%).
