Executive Assistant/Secretary Needed For Newly Elected Mayor

Newly sworn-in mayor in the Greater Boston Area is seeking a Personal Secretary/Executive Assistant to support the work of our office and our mission. Primary job duties will include responsibility for some or all of the following tasks:

  • Word processing – correspondence, memoranda, and other documents
  • Making travel arrangements for the mayor, manage daily calendar
  • Answering phones, greeting office visitors, and referring to appropriate staffers
  • Taking messages and placing calls for the mayor
  • Making copies, scanning, faxing, receiving, labeling, collecting, stamping and posting mail, sorting, filing
  • Providing other supportive clerical services as needed
  • Working as part of a team on office-wide projects as needed
  • If bilingual, translation/interpretation for constituents

Secondary job duties may include:

  • Initial screening of constituents
  • Providing information and referrals to phone callers and office visitors
  • Willingness to occasionally staff the Mayor at evening or weekend events (this is a shared responsibility among the staff)

The successful candidate must be a conscientious self-starter able to manage a large number of tasks simultaneously, and work effectively under pressure of deadlines. Excellent communication and organizational skills are essential. Must have the ability to work well with others and a willingness to assist others. Bilingual ability in English and Spanish or Haitian-Creole is strongly preferred. The normal schedule for this position is Monday 8:30 am – 8 pm, Tuesday – Thursday 8:30 am – 5 pm, and Friday, 8:30 am – 12 pm.
