The HR and Operations Assistant is an integral part of the HR/Operations team, but will find themselves working across all departments; whether it’s helping to coordinate travel, ordering catering for team events, or collating information for the monthly newsletter, they can expect to wear more than one hat. The right candidate will have a strong sense of responsibility and the ability to see the bigger picture. They will develop solid business relationships and manage many moving parts with ease. They will create a positive first impression when interacting with clients whether in person, via phone, or through email. They will help ensure that the DC office runs as smoothly and efficiently as possible, tackling problems as they arise.

 

Responsibilities

  • Office and Staff Support:
    • Ensure common areas are organized and guests are greeted at the door
    • Manage office supplies
    • Coordinate travel arrangements
    • Fix/build/move objects such as desks, filing cabinets, etc.
    • Maintain Staff Site
    • Write the Internal Monthly Newsletter
  • Event coordination such as monthly staff events, annual holiday parties, and other activities as needed
  • Recruitment and Human Resources Support
    • Post jobs as needed in different departments
    • Help with phone screens, reference checks, and interview scheduling as needed
    • Support the Onboarding process for new employees
  • Bring the "heart" to the office by planning monthly birthday celebrations, managing the office snack service, and dreaming up fun staff events
  • Other requests as needed

 

Required Knowledge and Abilities

  • Interest in fostering progressive and inclusive work environment
  • Proven ability to organize, prioritize, and complete multiple types of administrative tasks; strong attention to detail and accuracy; persistent follow‐through and communication skills
  • Proven track record of handling sensitive information
  • Must be able to take initiative and work independently with guidance, but limited supervision; willing to think out‐of‐the‐box and contribute ideas to assist in process improvement
  • Confidence in communicating across a broad spectrum of departments
  • Strong computer/Internet skills with proficiency in Microsoft Office including Outlook, Word and Excel.
  • Ability to lift 30lbs.
