Description
Reporting to the Chief of Staff, and serving the community of the 182nd
Legislative District, the Constituent Services Advisor is the lead staff member
in the areas of constituent services delivery and correspondence administration
in Representative Brian Sims' District Office. The Constituent Services Advisor
is responsible for executing constituent services and engagement for the
purpose of providing an exemplary and seamless constituent-service experience
between Harrisburg, the District office and with the State Representative. The
ideal candidate is passionate about helping constituents to solve problems and
driven by their commitment to public service, entrepreneurial spirit and can-do
attitude.

Essential Duties & Responsibilities
Responsibilities
· Welcome visitors to the District Office by greeting them, in person or on the telephone
· Perform constituent relations tasks including completing constituent intake, answering casework correspondence, and meeting with constituents until resolution
· Answer or refer inquires and requests and resolve issues through investigation, intervention, arbitration and facilitation
· Serve as a liaison with federal, district, and local agencies to solve problems on behalf of constituents
· With the direction of the Chief of Staff, communicate verbally and in writing to answer inquires and provide information on behalf of the Member and the office
· Responsible for logging all incoming and outgoing mail and telephone calls relating to constituent casework into database system
· Responsible for logging all legislative inquiries and ensuring the appropriate response is issued in timely manner as directed by the Chief of Staff
· Prepare periodic reports for the Chief of Staff on district casework activity
· Process appropriate state agency forms for constituents and review / verify information prior to delivering forms to appropriate agencies for final processing
· Maintain accurate computer tracking log of casework and constituent information (name, address, telephone #, type of request(s) and output desired, timelines for completion)
· Maintain personal and/or telephone contact with constituents until resolution(s) achieved
· Explain overview of forms and procedures required to obtain state agency documents to constituents and Caucus staff
· Stay current with changes and updates in state agency forms, procedures and regulations
· Perform clerical duties as needed, such as typing, faxing, filing, and photocopying
· Research state agency problems as requested by Member/staff or constituents
· Maintain up-to-date files on all cases, programs, and other information of importance to the office including inventory of constituent files
· Other duties as assigned
Minimum Qualifications
Competencies, Knowledge and Skills
· Excellent interpersonal communication skills (both written and verbal) and ability to communicate effectively with constituents, caucus staff and various groups in a tactful, pleasant, and professional manner
· Strong computer skills in Microsoft: Outlook, Word, Excel, PowerPoint and database management
· Strong writing skills and the ability to read and write, comprehend correspondence and memos
· Ability to review, comprehend and interpret information from agency forms, websites, documents and applications
· Ability to effectively present information in one-on-one and small group situations
· Ability to liaise with multiple offices and agencies
· Ability stay current with changes and updates in forms, procedures, policies, regulations and Statues
· Familiarity with state, city, and local programs and services related to the 182nd District
· Highly detail oriented
· Able to resolve problems autonomously with little direction
· Ability to work in a face-paced, multi-faceted environment with many challenges and opportunities
· Team player with positive all hands-on deck attitude
Qualifications
· High school diploma or GED required
· 1-3 years of applicable experience
· Bachelor's degree in political science, government affairs, public administration or transferable education/ training preferred
