The Information Technology and Innovation Foundation (ITIF) seeks a highly motivated and detail-oriented team player to plan and execute the logistics of its regular program of on-site and off-site events and meetings, and to play an important supporting role on a variety of other projects that are critical to the organization’s performance as a leading science and technology think tank.
ITIF’s regular event program includes panel discussions, debates, roundtables, and conferences, both on-site in our Washington, DC, office, off-site at locations such as Capitol Hill, and internationally (requiring remote logistical support, not foreign travel). In addition to coordinating an average of four events a month (and as many as six or eight in peak periods), this position will assist ITIF’s chief operating officer, director of development and outreach, special assistant, and policy team on a range of other projects and tasks as needed.
The ideal candidate will be a recent college graduate with one to three years of professional experience (which may include summer internships), experience with video production and editing, and the ability to adapt to changing circumstances. He or she will manage both short-term and long-term deadlines, and will take responsibility for getting things done with an eye for professional quality and detail.
Event coordinator responsibilities (75 percent):
  • Schedule, plan, and coordinate the logistics for ITIF’s regular program of public events in Washington, DC (both on-site and off-site) and in Brussels, including:
    • Book venues, order food, set up and break down event sites, etc.;
    • Coordinate outreach and logistics for speakers and VIPs;
    • Promote events through email, social media, day books, and other means; and
    • Prepare materials such as agendas, handouts, and signage.
  • Manage audiovisual needs before, during, and after events, including:
    • Set up and operate camera, microphones, and live stream; 
    • Manage computer-based presentations and remote panelists;
    • Troubleshoot audiovisual equipment and computers; and
    • Produce event videos for the web.
  • Grow the audience for ITIF public events by finding new places to publicize them, tracking attendance, and assisting with database management.
  • Organize private breakfasts, happy hours, and other meetings.
  • Continuously evaluate and improve the quality of ITIF events.
Staff assistant responsibilities (25 percent):
  • Provide administrative support for ITIF staff, including:
    • Manage the organization’s contact database;
    • Answer incoming phone calls; and
    • Support the special assistant on office management projects.
  • Assist with other projects as needed.
Qualifications:
  • Bachelor’s degree.
  • Previous experience with event coordination and marketing.
  • Outstanding organizational skills and attention to detail, with an ability to meet and anticipate deadlines, use time effectively, and thrive in periods of intense activity.
  • Proficiency with audiovisual technology and basic video editing.
  • Proficiency with office software such as Word, PowerPoint, and Excel.
  • Clear and concise communication skills, both written and oral.
  • Mature, professional demeanor.
  • Willingness to work irregular hours, on occasion, such as early mornings and weekends.
  • Photography skills.
  • An interest in technology and innovation policy preferred.
