SUMMARY
Democracy Corps is an
independent, non-profit organization dedicated to making the government of the
United States more responsive to the American people. It was founded in 1999 by
James Carville and Stanley Greenberg. Democracy Corps provides free public opinion
research and strategic advice to those dedicated to a more responsive Congress
and Presidency.
We are seeking a qualified
administrative professional to oversee the administrative duties and day-to-day
functions of Democracy Corps and its sister organization, Citizen
Opinion.
DUTIES & RESPONSIBILITIES
- Act as an officer and
account signatory for a 501(c)4 organization and its sister 501(c)3 organization
- Standard accounting
duties, including issuing invoices for research and travel, tracking
expenses, and ensuring timely payment of invoices. Coordination with third
party responsible for tax preparation. Familiarity with Quickbooks or
other accounting software preferred.
- Act as point of contact
for insurance, payroll, and licensing entities. Receive and document
vendor invoices and terms of service, ensure timely payment of invoices,
and complete paperwork for routine audits, renewals, and registrations
required by these entities.
- Execute dissemination of
the organization’s new research, including:
- Managing the
organization’s website and adding new posts to release new research.
- Update and modernize the
website
- Maintaining the
organization’s Mailchimp account and lists of VIP friends and media
contacts; Sending press briefing invitations to media contacts; Sending
e-alerts to notify organization’s email list, VIP friends, and media of
new releases.
- Managing the
organization’s Twitter and Facebook accounts to disseminate new research
through social media vehicles
- Oversee launch of
research results and network to progressive allies.
- Coordinate with legal
advisor as needed to ensure compliance with 501(c)4 and 501(c)3 rules.
- Coordinate with Greenberg
Research on on-going projects and Democracy Corps clients.
- Responsible for the
administrator’s email account, receiving physical mail, and maintaining
organized digital and physical records.
SKILLS & EXPERIENCE
- Required: highly
organized, strong attention to detail and problem-solving skills; able to
work quickly during designated releases of new information; able to
travel to deposit payments; professionalism and keen sense of discretion.
- Prior experience in an
administrative capacity highly encouraged
- Preferred: familiarity
with basic accounting practices and QuickBooks; media savvy and familiar
with mail merge, Mailchimp, and social media platforms; general knowledge
of 501c4/c3 distinction and rules.
- The
ideal candidate will share an interest in progressive causes and public
affairs.
