Position Description:
The Institutional Advancement Coordinator plays a critical role on the Institutional Advancement (IA) Team by anchoring the team’s projects and ensuring a smooth flow of its general operations. S/he will directly support the department’s Directors and staff the Board Fundraising and Resources Innovation Committee; coordinate event logistics; manage the team’s administrative needs, and support strong data management practices. The position reports to the Deputy Director of Institutional Advancement.
The ideal candidate possesses superior time management, organization, attention-to-detail, and interpersonal skills. S/he will be able to learn quickly, work collaboratively, and drive projects independently in a fast-paced environment. S/he will be comfortable with a shared leadership structure and committed to working in diverse and cross-functional teams.
Principal Responsibilities:
- Key support responsibilities include:
- Managing the Directors’ calendars, coordinating with CCC/A Executive Team’s staff to schedule both internal and external meetings.
- Serving as point person for handling all meeting coordination (scheduling, agenda, note taking, food/room/location reservations, etc.) for: team meetings, retreats, Board fundraising committee meetings, funder site visits, and other such large onsite and offsite meetings.
- Providing administrative support to the Board Fundraising and Resource Innovation Committee.
- Key event responsibilities include:
- Coordinating the logistics for various meetings/briefing calls/events including funder briefings, individual donor cultivation events, and small special event fundraisers. This includes, but is not limited to: tracking RSVPs, coordinating and ordering event supplies, coordinating with event vendors, etc.
- Providing primary administrative support for CCC/A’s annual fundraising event — the Community Change Champions Awards. This includes responsibilities mentioned above as well as arranging travel for honorees and special guests, coordinating event volunteers, and managing event mailings and correspondence.
- Key administrative responsibilities include:
- Managing the processing and distribution of mass communications to donors including year-end mailing, holiday cards, annual report, and more.
- Facilitating internal approval processing and filing for the IA Team including all foundation grant agreements.
- Tracking and processing all department invoices and contracts as well as settling department credit cards.
- Ordering supplies and materials for the IA Team and managing department subscriptions.
Supporting the Donor Database Manager in data entry, cleaning up records, executing basic queries, and gift processing as necessary; cross-trained to serve as a back-up when coverage is needed. - Creating and maintaining process documentation for the IA Team; identifying areas for process improvement and collaborating across the team to adjust as needed.
- Other duties:
- Provides administrative support to any programmatic assignments and/or special projects of the Institutional Advancement Team.
Qualifications
- Minimum of 3-5 years relevant work experience required. Hands-on executive assistant and scheduling experience preferred. Knowledge of the practices and principles of fundraising and/or prior experience with/understanding of foundation and major gifts fundraising a plus.
- Strong comfort level working with Board members and Executive-level staff.
- Excellent organizational skills and demonstrated ability to prioritize tasks, meet deadlines, multi-task and work quickly and effectively under pressure. Ability to perform detail-oriented work with accuracy/timeliness/completeness.
- Project management and critical thinking skills necessary to effectively problem solve and be able to lead projects to conclusion.
- Demonstrated computer skills with a minimum of two years direct experience with Raiser’s Edge and Microsoft Office (Outlook, Word, PowerPoint, Excel).
- Excellent interpersonal, verbal and written communications skills.
- Passion for social justice and a commitment to work in solidarity with the people most directly impacted by injustice; understanding of CCC/A’s partner organizations
This position reports to: Deputy Director of Institutional Advancement
The Center for Community Change recognizes a staff bargaining unit affiliated with IFPTE Local 70, a union for non-profit workers. This position is included in the CCC bargaining unit and covered under the terms of the collective bargaining agreement.
Travel Requirements: Minimal travel required; 2-3 days per year.
Salary & benefits: $50,000 to $55,000 annual salary. CCC also offers an excellent benefits package, which includes 4 weeks of annual paid vacation; additional paid holiday leave between December 24 and January 1; 8% employer contribution to retirement account after six months of employment (and 3% employer contribution for the first 6 months); and a choice of generous health insurance plans.
This position is located in Washington, DC.
