EOYA: HGSS columns not populating for exited stud.

I had mentioned this in an email a few weeks back in another state reporting email thread (before confirming it) and brought it up in our monthly Kansas call this morning, but wanted to share here that I had found that this is a problem that everyone might need to check out, to verify that any exited students don’t have History Government Social Studies Kansas assessment scores dated after their enrollment end date.

 

Issue: If a student’s HGSS 01, 02, or 03 assessment results are dated AFTER their enrollment end date, those fields are not currently getting included in the EOYA extract columns 78, 79, 80/BZ, CA, CB, but are getting filled in as “00”. KSDE confirmed they do want current information for a student “as of the last day the student was in membership at your school”, which would include the HGSS results if available, of students who left before school year was over.

 

If you are having teacher enter these scores using teacher graded assessment option, the teacher DOES NOT see or have ability to add the date of the assessment score. Assessment date is auto filled with date that result is being entered and saved. So, if teacher isn’t filling out results until after a student has exited, there is no way for the teacher to put in the assessment scores for that student in a way that they’ll get included in the EOYA.

 

The current work-around is for someone to manually go edit the test score date under IC > Student Information > General > Assessment (or and editing and saving a date of results under KAP>HGSS>01, 02, and 03 to something <= student’s exit date. Or if you had someone with SQL ability, I’m sure you could find any current year results for HGSS 01, 02, and 03 where assessment results date > current enrollment record end date and programmatically set those assessment dates to = enrollment end date. I’ve confirmed that test result date can equal enrollment end date (just not after).

 

My open ticket is case 1951805, but don’t have an SIS yet, as last question that escalations had asked is why was test results date > enrollment end date and I just got back to Kim today for her to send it back to escalation. I’m not guessing their will be a fix before we want to submit EOYA, so I just manually edited test result date to be enrollment end date for the student I had found this applied to at Troy. (I need to check Riverside and D-West data still!)

FYI, I got an update from Kim on this issue this afternoon.

The problem has been written up as SIS-199512 "KS Collection Extract - EOYA History/Gov columns not populating correctly for exited student". Currently status of the SIS is "In Review" with priority of "Low". 

Reminder for anyone that happens to find this issue, the work-around is to manually edit the assessment date to be <= students enrollment end date for all three of the HGSS test results.

I just pulled an EOYA and I do not have this issue. Is that strange? Is there anyone else that is not having this problem?

Durden, are you sure you have HGSS test results that are dated after a student's exit date? I'd guess that is not an overly common occurrence? You very well may not have any students in that situation?

Yes, I looked. The scores were entered in May and the student exited in April.

That is VERY strange Durden that we’re seeing different behavior between your extract logic and mine???? I’ll leave it up to IC to untangle I guess? Be thankful that yours isn’t giving the trouble?!?! They were able to replicate the issue in our sandbox, so it wasn’t just me, but somehow we must have something different between your setup and our at Troy???

I've had something similar that you may need to keep an eye on.  I have a case created, but nothing has been determined yet.

The required Dyslexia screenings fields are pulling last year's data on a few students and I haven't figured out why.  I wondered if it was an EXIT thing, but that doesn't seem to be the case.

We had a similar issue: some dyslexia records lacked an end date, so students had 2 active dyslexia records. Once I cleaned that up, it reported properly.

Well, now that I'm looking at it again, it does look like any of our students who have a Dyslexia screening record from the year before, it is reporting last year's data.  How convenient!  Makes no sense that we have to go in and end-date screening data.  It should just report the current year's record. UGH!

The thing about the dyslexia records is that it's not connected to a year so the start and end dates are important.

So I have a different issue with Dyslexia that I think I came up with a decent way to handle.

For the screeners I put them in with a start date of the whatever the test was and an end date of June 30th. So that should prevent them from showing up for the next year. 

For dyslexia indicator I did not have an end date entered. I was running with the idea that if they have dyslexia that doesn't go away so they will always need to be reported as dyslexic. However, since it's the same location the screeners go I think that process needs to change. I figured out that having 2 active records does not work. 

So I think the best process, at least for us, is to put an end date on all records of June 30th or whatever you consider the end of your school year. Then when you enter screener data you either insert a new record or update the indicator record.

Eg. Student identified with Dyslexia in the 25-26 school year will have a start date of whatever their identification date is and an end date of 06/30/2026. Then a new record will be created with a start date of 07/01/2026 and an end date of 06/30/2027 for the 26-27 school year and so on. Then any year they have a screener it will be restricted to that year.

Does that make sense?
