Thanks for the notice but have you ever considered doing a Zoom-based meeting in light of this pandemic? I highly doubt that Covid will be resolved by Nov that will allow for mass in-person gathering.

I agree with Jun that the meeting be held on Zoom or some other secure remote meeting application. This can be done securely and each persons identity can be verified before joining the meeting
