Hi Ute and Ice Skating Volunteers,

Here is a draft collection for the ice skating party (qr code as attached):

It includes the waiver form, a skater information form and asks parents to sign before checking out.

Are we going to use Parent Square for volunteer signing up? Shall I add a link or some words in the description? Please let me know if I missed anything. Any suggestions or advice would be appreciated.

Hi Ute,

Could you please make a standalone ice staking party news this week. Here is the context.

"ICE SKATING PARTY

TK-2th Grades - Wednesday January 17  5:30-7:30pm

TK-2nd Grades - Wednesday January 31   5:30-7:30pm

• Purchase the tickets here for stakers. Cash or check payable to Fairmeadow PTA available at the door.

• FREE pizza dinner provided by the PTA (includes 2 slices pizza, hot chocolate and dessert). Please bring your own water bottle. Please bring a salad/fruit plate to share with the community.

• Winter Lodge recommends the usage of gloves and helmets for all skaters.

• Parent volunteers needed. We rely on our wonderful volunteer community  to make these events happen!

And Here is the volunteer positions to sign up for each parties. We need to make separate entries for TK - 2 and 3-5:

5-6pm Check In 3 people

5:30-6pm Food Table Set Up 3 people

6-6:30pm Check In 3 people

6-6:30pm Serving Pizza 2 people

6-6:30pm Hot Chocolate Station 1 people

6:30-7pm Check In 3 people

6:30-7pm Serving Pizza 2 people

6:30-7pm Hot Chocolate Station 1 people

7-7:45pm Clean Up 4 people

Kaori/Ana, are you able to get the pizza? I think two of us should be able cover the check-in from 5-5:30.

Hi Kaori, 

Just reaching out to confirm your event for Fairmeadow, on Wednesday, January, from 5:30pm - 7:30pm.

You may check in and begin setting up at 5:00, however only those participating in setting up will be allowed inside the facility at this time. We will have a table and chairs out front for you to use to check guests in. We will open the doors for your guests at 5:30.

Please provide us with an updated head count so we can staff accordingly.  The maximum number of skaters is 300 and the minimum is 100. We will provide you with tickets for skaters (if you are using your own please let us know). All guests who will be skating will need a ticket, even if they have their own skates. We will settle up based on the number of tickets turned in.

We will have a hot water urn ready for you. If you run low on water, please let the staff know so they can refill the urn. You are welcome to bring in any food, however please nothing messy such as popcorn, party poppers, silly string, confetti/glitter. As always, there is no alcohol allowed at Winter Lodge. Please have all food service and clean up completed by 7:30.

- If so, you may also consider preparing a safe box during the event.

- If not, please send out a reminder to parents to let them know that cash/checks are not accepted at the check-in table.

Do we have a deadline to prepay for the party tomorrow? If not, how can we access the latest information?

If we have a deadline, can you provide two copies of the latest name list for prepaid people before the party tomorrow? We will check people based on the list. If you have any better way to check in, please let us know.
