The figures for this year are summarised below

Dear Kevin,

unfortunnately, the notification letter lacks information on the kind of
presentation for which the paper has been accepted.

Last year this created major complaints by the authors.

Apparently, we are saying: "Wait until early March to know how your paper
has to be presented".
This is not acceptable.

I guess tomorrow most authors will start asking us about the presentation
as happened last year.

We need to send a clear notification as soon as possible.

Dear Stefano,

I agree with you that it would be better to make it clear at this stage but this decision came from the species board.

I agree authors should be clear before committing to improve their Camera ready submissions.

If we expect at least one author to register by February the 9th then they certainly need to know in advance of that.

Hi all

There has been consideration discussion over the years on long papers, short papers, long talk and short talks, posters, interactive presentations and a range of other things which can confuse authors and mean different things to different people.  There are absolute limits available for programming a large number of papers between four conferences and we cannot advise authors these details right now, and things may change over the coming weeks.

The SPECIES board believes the decision on accepted PAPERS should be separate from the decision on the PRESENTATION of papers.  For now, authors need to know whether their PAPER has been accepted, and they need to get it into camera-ready for the proceedings.  They need to confirm their registration and ensure their organisation agrees they can attend.  Each year we lose a few authors who pull out for this reason.  All papers are treated the same in the proceedings, all have the same number of pages and they will be seen equally as an EvoStar conference publication.

The decision of how the papers will be presented at Parma, is something separate and depends on lots of other factors.  We cannot undertake detailed programming right now to advise authors these details.  Moreover, some papers may be withdrawn, and the chairs will want to decide how to use their limited conference time slots to optimal effect.  At the moment, authors are not preparing their presentation, they should be preparing their paper to Springer guidelines and let’s let them concentrate on this, and not confuse them with presentation details.

So the clear way forward is to advise authors now that their paper is accepted, and then later when we have a programme organised, let them know how much time they have for their talk.

I think we should make clear that ALL authors will have at least a short time slot for an oral presentation: that is the main barrier for most institutions.
Apologies for my intervention, but I seemed to remember that most complaints regarding last year were about the delay with which authors got to know how their papers would be presented and that it was almost a hunanimous feeling that we should avoid that this year.

to be honest I would also pull my paper out for the same reason. I think it would be fair to declare the type of presentation from the start.

Hi Iñaki,

 

The first I heard of the idea of Late Breaking Abstracts for APPS was the email that Stefano sent following the call for LBA’s sent by EvoCOP.

 

So far I have only seen one reply to Stefano’s proposal / questions.
