Advice on Setup

I am assisting the timing for the age group crit state champs this weekend.  I am a bit confused on order of precedence for categories and bibs for races.
In only one race will we have riders of different cats riding together. 
So when setting this up I initially created 7 races (one for each category racing).  But when setting up the RFID info I need to know categories attached to bibs, correct?  The problem is that I won't have access to that info util the last minute so we are probably just going to hand enter bib numbers in the race excel sheet.  Since they are not sequential it seems to me that the best option is to not have categories when creating the races.  Just open.  Possible bib numbers 1-500.
Then just befofe the race hand enter the bib numbers of the riders participating in that excel and go.  Category is irrelevant since each race is essentially stand alone.

Does this make sense or am I missing something obvious.  Next year we will use RaceDB I think ... but this year that was not possible.  

I just don't understand how the race file compares to the category tab regarding bib numbers.  Which one trumps which.

I'm sort of curious why you wouldn't know their category until the last minute - is that because there's no pre-registration data?  It's all same day signup? 

I've done the splits in all sorts of whacky ways.  Usually, for age groups, I would put them all in one category and run the race (assuming they all start at the same time).  I'd put a single category in the Event Category field.  Then, based on date of birth or age, I'd use the Custom Category fields to split them up into their age groups.  I'd have the formulas ready to go so that I could populate them really quickly before the race, or just after.  Linking the Excel sheet should update those whenever you make the changes, just don't open that linked sheet during the race.

I have my solution.  Thanks to Mark and Jon.  This is a great group.
I fumbled my request and it was a unique situation.  The key for my solution is the use of the EventCategory column in Excel.  That answers all my questions.
