Enterprise Licenses?

Have any libraries had luck as of recent purchasing discounted Enterprise licenses? 

I tried going through Tech Soup for NPO licenses but was denied, as Public Libraries do not qualify for Google for NonProfit. 

I've also been in contact with Google Sales Rep Tom Muir, who had been mentioned in this group previously as being able to help. Tom says that Public Libraries without 501c3 status have not qualified for NPO since 2018. Additionally, he says they cannot qualify for Education licenses because, "The Google Workspace for Education requirements state: Organizations that get academic or operational funding from national or local government, such as military academies and public libraries, do not qualify for Google Workspace for Education."

Tom did say he could help us leverage the ECF program, but that only applies for new devices and wouldn't cover the licenses I need for the 40 Chromebooks we already have. Also, according to ALA, the application window for that program has already closed anyways. 

I'm not sure where to go from here. We already have 40 Chromebooks on hand, and were looking into purchasing 30 more. 

$150 per license per device per year is too steep for us. I'm kind of at a stand still.

The other option, I guess, would be to run the Chromebooks without Enterprise and just have staff power wash them on return. I really didn't want to go this route, as I wanted to be able to provide pre-installed apps, ease of login, management, etc.

Any thoughts/insight appreciated!

I'm new to my library, but it looks like my predecessor got chrome management console perpetual licenses (sku A7611039) for about $120 from Dell in 2020 (part of a purchase of loaner chromebooks). Is that the going rate now?

Libraries can qualify for GNP if they use their Friends or Foundation 501c3.  Google knows and is totally OK with this.  But GNP is not required for perpetual licenses.

I get all my discounted one-time licenses through CDW-G, and I don’t have to “prove” or otherwise show education or non-profit status.  It has been so long since we set that up I can’t remember if we needed anything special to start, we already get “education” pricing on their site as a public library.  Before we set up GNP I was managing everything through a single-license Google for Business account, but we still got the education pricing on licenses from CDW-G, like $25-$30 each.  Someone else on here mentioned another vendor they use.  You might check the group archived messages and see if it is listed.

Hi Taylor,

If you can't get the Enterprise Licenses upon purchase of the Chromebooks, you can purchase licenses through a reseller.  I worked with Cumulus ~8 years ago when we did not know we needed to purchase licenses.

Also the guy who runs the Chromebooks in Cambridge is really really smart.  You might try reaching out to ren...@minlib.net directly...

Public Library in Oregon here. We went through a bunch of companies (who basically wouldn't deal with us because we were asking for too few licenses) before we finally got help from Five Star Technologies, LLC. They were able to sell us perpetual licenses at a very reasonable rate, and they were super pleasant to work with.


I had to get our Chromebook fleet (only 10 so far) prepped for circulation and in-library use with only minimal assistance from IT, and may be able to help if you run into any snags along the way.

Thank you everyone for the tips. I was able to get Education licenses from CDW-G! 

I'm confused on how to set up the Management Console for this though. Do I just need another Education license for myself? Or is this an additional cost? Do we need to set up a domain to manage? 

Also, Matt Amory -- Cambridge is in my library consortium (MLN) and I have been in contact with Reinhart at Cambridge, but unfortunately, he retired some time ago.

Hi Taylor, 

Setting up the management console and a login for google.com/admin is reasonably simple IF your library has its own domain. 
 
We did have a domain in Wayland (also an MLN library just a little West) when I set up Chromebooks there.  
However, here in Canton the library  just has a piece of the town domain, so OCLN had to do some work to get us (and every other consortium member) set up.  
Liza and Phil at MLN can probably help if you get stuck.

Hey Michelle,

We don't have a way to qualify for GNPO. You didn't run into any issues enrolling the Education device licenses under the regular Google for Business/Enterprise account?

Nope.  In fact I transferred licenses from the business domain I created just for Chrome management to our library domain when we Google-fied our staff email and files, and I didn’t think they would transfer.  When you purchase your device license you have to tell them the domain it is going to and then give them an off-domain email address for some kind of verification or something.

Hello Group,

I am also trying to figure out how to get the Enterprise Console licenses for a fleet of Chromebooks we are going to be purchasing soon.

I have been in a loop with Google and CDW. Google is telling me that I need to apply for Google for Non-profits before we can qualify as a Non-Profit and buy the license from CDW.

Like some others have mentioned, we are a public library, considered a government entity, so we don't qualify for Google for Non-profits but we have a Friends Foundation (501c3) that raises money for the library and also make some technology purchases for us. They have a Tech Soup account. It gets complicated though because I would need to apply for Google for Non-profits with a library email that ends in "burlingtonvt.gov" which is going to get flagged by Google. So I am trying to avoid signing up for Google for Non-Profits. We don't have a Google Workspace or Google Education. We only want to use Google for Chromebook Management.

It sounds like some of you just went straight to CDW and bought the licenses and didn't bother with Google for NonProfits. Is this a possibility?

I was able to secure Education licenses (not NPO licenses) directly through CDW. You will still need to set up a Workspace/Enterprise account to manage the Chromebooks. Michelle Mears said that even the regular Workspace/Enterprise account will work (since Google will deny Libraries from both NPO and Education accounts). 

If you want to go the Friends route and secure NPO licenses and Google Workspace for NPO that way, could you just create a different domain/email first? Do you have to apply through the burlingtonvt.gov domain? 

You can buy a domain name from Google for like $10 a year: https://domains.google/ , set up an email address with that domain, and apply to Google Workspace for NPO that way, I believe.

Hi Taylor,

Yes, I think what we should try to do is have our Friends set up an email with their domain. They have a domain but they only use it for their website and then I think if we use their Domain and their new email account attached to their domain Google probably won't have any problem letting us have non-profit status for these licenses.
