encrypted docs

Hi all,
Just a quick question: How should I go about sending sensitive files
via email? We use Google Workspace but have not enabled the client
encryption yet as it looks very confusing!
Any advice would be hugely appreciated!

Hi Aine,

I presume you are looking at sharing with people outside your organisation. (If within the organisation, you don’t need to email it… just share it with them. Only they will be able to view/comment/edit the document)

If the document is highly sensitive - you should download as a PDF (from within Google Docs/Sheets, etc.)

Then upload to: https://www.adobe.com/ie/acrobat/online/password-protect-pdf.html

This will allow you to password protect the PDF. Download again from there and email.

Share the password verbally with the person you are sending it to and they can open it. (Don’t include in the email!)

Thanks so much for your reply.

Yes the recepient is outside of our organisation. Dropbox password protected on a free trial was recommended- do you feel this is appropriate?

Otherwise I will go with Adobe.

If the document needs to remain editable (not a PDF) then simply share it with that person and make it private. Only they will have the ability to edit it. (even if they are not in your organisation - but will need a Google account)

Alternatively, you could use a service like Proton Mail (https://proton.me/mail)

Also - came across this interesting site recently if people are worried about sending passwords, files, etc… (https://eu.pwpush.com/)

Hi Aine,

No problem. Yes, the same things would apply using Dropbox / Google Drive / OneDrive / WeTransfer, etc.

You can password protect that and verbally give the password. All the same caveats apply however… once the password is out in the open (even to a trusted source) - it has to be presumed that it could be passed on.

The  (https://eu.pwpush.com/) option is interesting as it allows for a single use case… eg: once it is used once, it is no longer available.

If the document is just “for your eyes only” - Dropbox (or any alternative service) would be sufficient.
