We have verified the spares as per the Purchase Order (PO) and will revert to you once we confirm the status. As per our previous discussion, you are solely responsible for repairing the engine and had assured us that it would be restored to its original condition within a week after receiving the advance payment. However, the work remains incomplete, and it's disappointing that you're now requesting an additional ₹90,000 for further materials. This raises concerns about your commitment to fulfilling your obligations.

As per the terms and conditions, you are solely responsible for making the engine operational and handing it over to us. We expect you to honor your commitments. We had agreed to the additional ₹90,000 for extra costs, but the condition was clear payment would be made once the engine is restored to a running condition.

We've tried reaching out to you via calls and WhatsApp messages for discussions, but unfortunately, we haven't received a response. We expect better communication, especially from a reputed company like yours. We've brought this to JLL's attention, and we hope to resolve this matter amicably.

Looking forward to your prompt response and resolution to restore Fire Engine ASAP.

We are the one who can take action against you as we are at loss side and we have not received any PO and PAYMENT against parts and service which was already Provided and for getting some in-operative talk and threatening mails from your end.

How could we pickup your calls when your team talk in-operative way to us?

It's better to communicate over mail .

Also note that we are not responsible for any parts missing or repairs in future if this scenario takes long time.

Hi Team,

I am writing to bring to your attention the sequence of events and challenges faced by our team during the ongoing project at your site, as there are serious concerns regarding pending payments and verbal commitments made by your representatives.

Please find below a brief chronology of events for your reference:

Our engineer first visited the site in May 2024 for inspection, and we subsequently submitted the quotation as per site requirements.

We again visited in February 2025 on your request and submitted a revised quotation twice, based on feedback from your team.

After about a month, your team requested a report, which we promptly submitted.

In June 2025, we were asked to submit a separate quotation for batteries, which was duly provided.

After more than a year from our initial visit, we received the Purchase Order, and your team instructed us to start the work. Accordingly, we requested 100% advance payment.

The payment process took about two months, and the amount was finally cleared in August 2025.

Upon visiting the site to commence the work, we found that several parts were missing or corroded, even though they were in good condition during our February 2025 inspection. 

which your team got serviced from another vendor.

Hence, the liability for their condition rests with your team.

To address this, we submitted a quotation for the replacement parts amounting to ₹90,000. Despite this, based on the verbal assurance from Mr. Anil, we proceeded with the work, supplied and installed the spares, and completed the job.

However, despite multiple follow-ups and Mr. Anil’s earlier verbal commitment to release 50% payment for the extra parts, we have not received any PO or payment to date. Unfortunately, recent interactions with Mr. Anil and Mr. Ajaykumar have been unprofessional and discourteous, which we initially chose to ignore in the interest of maintaining a cordial relationship.

Our team made a sincere attempt today to resolve this matter amicably, but Mr. Anil refused to acknowledge prior discussions and instead threatened legal action. This situation has severely impacted our trust and working relationship, especially after we acted in good faith based on verbal commitments.

We therefore request your immediate intervention in this matter. Kindly issue the PO and process the payment for the additional work and spares supplied so that we can officially close this project without further delay.

We look forward to your cooperation and an early resolution.

lead ,request to arrange the  meeting of concerned sr from vendor and sub com. and produce all paper and detail of this issue to resolve immediately . Pl. note Apex does not take kindly to any vendor   hinting at qualifying counter action. 

The meeting should be planned in the next 10 days, preferably  after 730 pm  on weekdays or bet 1130 Am to 4pm on weekends . The time and date has to be  conveyed at least 24 hrs in advance.

With reference to the trail mail and following my site visit today to inspect the firefighting engine after repair (conducted with the vendor), we observed the following issue.

 

While the fire engine operates normally under load (on test line mode), after approximately 10 minutes of operation, the exhaust pipe becomes overheated, and smoke begins emitting from the exhaust pipe joint gasket.

 

I am requesting that you immediately investigate this matter to identify the root cause and implement corrective measures on a priority basis.

 

Ask to vendor, to provide an update on findings and proposed resolution timeline at your earliest convenience.

 

After rectification, kindly conduct a comprehensive load test for at least 30 minutes while monitoring all required operational parameters to ensure the issue has been fully resolved.

Greetings of the day.

As discussed over the phone , Aftercooler is not functional right now & same has been informed at your site from last 1.5- 2 months & quotation has also sent for the same on 06/05/2026. We run engine 10  to 15 mins ON -LOAD for several times in the presence of your team. But due to after cooler not functioning properly it causes overheating of engine after 10 to 12 mins .

Aftercooler needs to be replaced to run engine without fail.

Also please find the attached bill copy of pending payment from oct-2025 which was supposed to pay in cash after starting of fire engine  & agreed by your team  that time PM Mr. Anil.

Requesting you to make this payment as agreed.

We have completed whole overhauling work as per the quotations & PO  & run the engine successfully.

To avoid overheating issue please work on the quotation of aftercooler & refer attachment.
