Dear Apex Committee Members,

I am writing on behalf of the Core Snooker Group, to highlight a critical concern regarding the current state of the snooker facility and to recommend essential improvements for the benefit of all residents.

Over the past several months, we have consistently observed issues affecting both the quality and safety of the snooker experience (photos attached). These include:

  • Dented and worn-out snooker balls that are no longer playable at an acceptable standard.

  • Broken or warped cue sticks and support sticks.

  • Table alignment being adjusted by a carpenter rather than certified professionals, resulting in inconsistent play conditions, balls jumping out of the table which puts the possibility of breaking of ball/ glass material within area.

  • Uneven lighting on the table and cushion wear that requires immediate attention.

With these challenges in mind, we propose the following actions for your consideration:

1. Upgrade the current snooker setup:

Replace the balls, cue sticks, support sticks, and table cushions; adjust the lighting and ensure professional table balancing; and install cue-stick holders on the walls to improve organisation and maintain equipment quality.

2. Evaluate the installation of an additional premium snooker table:

Installation of premium snooker table that would operate on a subscription basis for interested players, while the existing (or upgraded) table continues to serve as a common facility for all residents. This model will allow us to support both casual users and serious players.

3. Reassess the layout of the T5 games area:

We recommend exploring the option of exchanging the current carrom space with the snooker table area at T5 Game area to ensure that both games have adequate room for comfortable and safe play.

We believe these steps will significantly elevate the resident experience and strengthen the utility of our society’s sports facilities. 

Given that the snooker table is actively used by both regular players and non-players across all towers, timely intervention from the apex committee is essential to ensure a high-quality and sustainable playing environment.

We request the committee to kindly review these recommendations and guide us on the next steps. The Core Snooker Group is fully prepared to support further discussions, assist with evaluations, and coordinate with vendors when required.

After evaluating 4 vendors, the core team has shortlisted 2 professional vendors. Their quotations are attached for your review. 

 

For your quick view - We have also prepared a comparative assessment outlining the must-have and good-to-have repair parameters. The team recommends proceeding with the must-have parameters to ensure proper and professional restoration.

 

Based on experience and responsiveness, the team recommends Shriram & Sons who has prior experience with the installation and servicing of the snooker table at CB in 2018, and has demonstrated faster response compared to other vendor.

 

We request your approval of the proposed budget to enable us to proceed with the repair at the earliest. (These rates are non-negotiated, and handed over to you for your best judgement)

The snooker repairs have been budgeted for. I request the PM to put up the proposal (based on parameters mentioned) on Operating Apex for approval and execution.

Ofcourse the Apex is already copied on this thread but sometimes the WA format ends up having faster response.

Following up with heads up: Pls note that the quotation validity is limited to 20 days (or max 30 days). Timely approval is requested to avoid any revision in cost or reprocessing etc.

Additionally, a vacuum cleaner request has come from the Facility team for regular clean up of tables which needs to be kindly considered before sanctioning the amount.

We are still awaiting Apex Committee approval for the snooker table repair despite multiple follow-ups, submission of comparative quotes, & alignment efforts to bridge communication between Akash and the operations team.

Meanwhile, the table’s condition continues to deteriorate, and it is now increasingly difficult to play it in its current state.

May I request your expedited and decisive approval on this matter? (Esp when other playing facilities like TT table, crickets etc are getting upgrades faster). 

We have shared all necessary inputs and would appreciate closure at the earliest to prevent further decline.

yr. communication regarding snooker table repairs and other accessorise 
are received .
 I have personally also discussed the issues Apex has to sort out to make a facility long term durable and available to maximum
enthusiast.
There is no need to worry if a quote expires.
We will investigate the best source and solution  AND  put to rhe regular players for their input.
the major thought of 
solution runs as follows

1.investigating  the 
best vendor for the job.
1. considering the  acquiring a additional smaller pool table. 
2.puting cccam at pool to check misuse and wrong etiquette in snooker room.
3. putting strict check on access and booking 
by users.
4. snooker  equipments are easily damaged is bigginers without super vision use it. 
5. the FY has just set in
 we have to incorporate this in budget. 
inlight of above youare requested to bear with the time it takes to execute.
the TT room up grade  has also been  WIP
for quite some time.

The APSC can implement any SOP recommendations from the player pool. I request the following

1) SOP draft of the rules you like to propose in a well formatted document for considerstion.

2) CCTV was already installed as per earlier plan, I am surprised its not here especially cause the snooker room was identified as a grey area for some not suitable activities in the past when the installations were proposed

3) Procurement of the worn down assets, change in cover with costing has to be circulated by the JLL team to the Apex for approval. Please send it immediately for the same. 

It is the nature of how things work that follow up is required - Murtuza and Vivek did it for Gym, Abhyudaya and I for TT, Darshan for Turf, Nandu for Baddy, Mr. Aga & Jay for Swimming pool,  Mahatab for Library. 

I request a champion to "adopt" the Snooker room's well being as well so things can move faster

Thank you, sir, for your much-needed intervention. I truly appreciate your personal effort in going beyond expectations and considering an additional table.

Just sharing a small perspective:

A) A pool table is smaller (7–9 ft) and suited for casual, quicker play, whereas a snooker table is larger (11–12 ft) and more technical, which aligns better with the core group’s requirement, as you are aware.

B) For control, it may help if the system is process-driven rather than person-driven—like a simple subscription model, booking-based access, or a nominal prepaid charge per game for non-subscribers.

We will await your guidance and next steps.

Just a quick note from all of us in the snooker group to say we are fully in support of adding a new snooker table on the 21st floor of Tower 5. This reflects the concurrence of nearly 15 regular players, including you 🙂.

We did internal survey, that most mid-tier clubs in fort/ Colaba region have approx 5000 members, carries at least 3 snooker and 2 pool tables, in comparison to that having 2 tables for a 1000+ CB member society does feel a bit fair demand.

So yes, we are completely aligned with your proposal. Thanks for taking the lead… really looking forward to the new table soon. 

Also happy to go with a subscription or ‘pay-and-play’ model for new 12*6 snooker table in order to maintain quality of playing, as suggested.

The current table was repaired at cost of Rs.75-80,000 lrêss than 2 yrs ago.  to save further undisciplined use  of the pool table, I am  proposing  an additional snooker table to be put in the board game room .   Apx budget o fRs. 50 000 for repairs and 1,50,000 for new pool table. 35,000 for partition separation in the boardroom.  I will share the same details.   The sports sub com and Apex  will be presented and if required the support from all towers players will be registered.  This is coming at a time when almost all amenities are in need of major overhaul so the budget will have to be properly projected and upgrade can be taken up. The proposal for additional space need to be explained  and justified  and then only the proposal can move forward. the measurement re arrngement without  reducing other board table  is to be explained by drawing  all this is taking little time as we have a new CAM PM  and lot of other issues are being addressed  .
 I hope this will  convince you to wait for some time to shape up the things.

I feel the additional snooker table if put on proposal should be at the viewing gallery of the Baddy court and not games room.

This is purely because, the current games room hosts a lot of small kids and the entrance to that zone will mean less than ideal zone for serious snooker players both in terms of concentrartion and more importantly in terms of compliance. 

The current issue is with respect to bringing it up to speed to a playable level vs recommending new additions which were not part of the original plan (and space) although there is no strong opposition against it if appropriate space is allocated which does not come with her practical limitiations.

I would like to once again follow up on the pending request for repair/ replacement of the Snooker table, which has remained unresolved since November (6+months)

Over the past several months, our team has proactively supported the process by arranging quotations, evaluating replacement options, and exploring repair possibilities. Unfortunately, despite numerous discussions / email exchanges, there has been no closure/ visible progress.

The table’s condition has now deteriorated further and is adversely impacting the quality of play. It is concerning that after 6 months of continuous follow-up, the issue remains where it started.

May I request your intervention to help bring this matter to closure at the earliest. A clear update on the decision and expected timeline would be highly appreciated.

Quite painful to see why this approval process has not come to Apex Committee yet.

It is really shocking to see this lack of action despite repeated follow up. Is it not enough that Apex and Mancom members are doing interviews, vendor due diligence, financial recon? What can we expect from you? 

Ajit, If I may request, to take matters in our own hands, please send one excel sheet with full cost and paste the details in a copy pastable format on this thread. I will post on Apex WA group and get the approval + execution. If any Apex members have questions or concerns, you can resolve that directly so this is not delayed further.

Please restrict this to only the New Table and Equipment. Any changes in SOP etc. will have to be tabled with APSC copied on this email but pls keep that independent.

Reiterating the table issues that have answered in the past/ available in the thread of this email. (Again in the benefit/ quick view for all. 

Also, from core players we profusely propose Option 2, S1 premium table with heater, tournament clothe and NRC cushions (3.80 lacs quote) for sheer durability and quality of table and play for years to come, considering the humid weather of Mumbai city. 

Snooker participation within the community has grown significantly. With over 1,000 apartments, a single table is no longer sufficient to meet demand, particularly during peak evening hours. The proposed purchase is a one-time capital investment that will serve a large resident base and provide long-term value to the community.

Pls see answers below. 

Can't repair the current table? 
The table underwent major repairs last year at a cost of approx INR 45K. Based on the latest vendor assessment (quotation shared on 29 Jan by us), further repairs would require an additional investment of over INR 75K.

However, both vendor evaluation/ feedback from experienced players indicate that the table’s key components like….the slate bed, side frames, cushions, and pockets have significantly deteriorated and are beyond effective restoration. Any further repairs are likely to provide only temporary improvement, with recurring maintenance costs and limited enhancement in playing quality, making them a poor long-term investment.

what is issue with the table? 

The table has multiple structural and playability concerns/ issues, including:

  • Damaged and weakened side frames and cushion assemblies, resulting in poor ball response.
  • Uneven slate bed causing inconsistent ball roll and accuracy issues.
  • Worn-out and torn cloth affecting gameplay quality.
  • Damaged and misaligned pockets.
  • Overall deterioration impacting consistency, precision, and player experience.
Vendor assessments and player feedback confirm that the slate, cushions, cloth, and associated components have reached the end of their serviceable life, limiting the effectiveness of any repair work.

Is there any buy-back or resale value for the current table?

Given the table’s age and condition, its resale value is expected to be minimal. We will request the selected supplier to assess any potential buy-back, salvage, or disposal value.

Our preferred approach is to retain the existing table for recreational play while installing a new table for serious and competitive players.

We shall further discuss with the vendor to do small possible repairs in the current table while installing the new one (like pockets/ alignment of slide panels and cushions etc).

I have spoken with the gentleman Mr. Ajit who has taken all the trouble to coordinate the quotation for this sourcing. His point of view is to strictly go for 4.15lcs, i.e. option 2 (3.8lcs +0.35lcs), the reason being the moisture retention that takes place due to Mumbai's humid weather.
He clearly stated in the first email that Option 2 was the recommendation by the serious snooker players.
I spoke to him on call just now and took the details as to why we have to go for Option 2. The reasoning is that the cloth which covers the marble base is prone to fungus accumulation, especially in Mumbai's weather conditions. Since he is avid snooker player his points of view should hold weightage to our decisison making 

He had taken quotation for tables upto 10lcs but he put forth only these two quotes. He has explained it to my satisfaction to the advantages of the higher version.

I request the Apex and Apex Sports to take a relook and go the higher version of the Snooker table

Now that  Apex approval is  in place. do consider  the the place for the new equipment, the SOP  for proper use and 
additional supervisory staff needed as recurring  additional expense.  The tech. retail of the equipment  may be checked rather than depending on brand or reviews. repair of the existing table not detailed enough as only  top turf is mentioned.  Not adding one more cook to the soup kitchen,  only a  concern of a rightful regular user.

           Regarding the old table, we discussed two possible options:
  1. Let the old table be placed in the Carrom/Cards section of the games room for amateur players.
  2. Buyback by the vendor

    We must decide on the above
     the before the new table procurement or the vendor will be off the hook for a BUYBACK later. 

    Since the T5 Chairman is also a professional player, all of you should 
    immediately decide on the best option. Because if we deicide to go with Option 1, then we need Apex approval for the old table's relocation. If Apex approves Option 1, we are sorted.(Here we can ask the vendor to uninstall and reinstall the table in the new location). 

    If Option 1 is not approved, Option 2 kicks in, which must happen before we release the payment to the vendor.

Can V have a proper understanding wrt the new snooker table - and system cost - not only capex but Opex also - comprehensive approval should be taken before putting any new thing.

As Apex v budgeted for 4.15 lakh for snooker table. Is there any other cost associated with the placement of the same ? What I gather from the mail floating is there would be such costs - who would be able to give a comprehensive view on the same?

Hi Everyone

This was my feedback to the group that we should focus on getting the new table in place at the right location as soon as possible, and then worry about what has to be done with the old one if it is, in any ways, not functional. It is so bad and unusable, I don't know why we are even keeping it anywhere, and the viewing area can be used for a single pool table, as was the plan even last year.

I have already given this feedback to Ajit - every time we add a new variable to the equation, your core objective of getting a fully working functional table keeps getting pushed in the mountain of decisions and approvals. It is my sincere recommendation that we arrange for the new table to be replaced, especially because it was this group's feedback that the old table was beyond repair and not in a condition that is usable. The idea should be to find a second hand buyer to dispose of it rather than occupying other space for two snooker tables.

I would highly recommend that we look out for an option for a pool table and foosball table. Because of a lack of anyone taking the lead on it, it had never materialized. Whoever wants to take up that lead, I think there is already provision made for a foosball table and a pool table to be put at the viewing gallery. As far as the OPEX, the balls can be handed over on presentation of the club card at the clubhouse itself and returned after usage with booking on mygate. We would also need to add a CCTV camera at the viewing gallery to ensure there is no abuse. 

There has also been a long-standing wish of several apex members to utilize some of the rather expansive spaces in some of the podium areas, which were currently used for dumping. These can be converted into a card room area, where a snooker table of this size can also be easily fit in. In case we still want to retain this second-hand used snooker table.

Whoever is interested in that, please raise your hand, because while there are so called 18 Apex members, there are only a few who are actively involved in taking leads on any projects, we are really short of hands on deck and some of us are involved in way too many things.

We can't be at every place for all the initiatives. This group has multiple people copied, so people need to put up their hands and take a lead on the project. 

@khilan shah I remember you had proposed the pool table at APSC. Maybe it's a good time to take a lead on that and run it through and through till execution so that we can have the foosball table and the pool table part added to the viewing gallery. I think it would be a great addition that the community will certainly appreciate.

On the part of the empty space at the podium floors, JLL team is well aware of the open space. I am copying Dipesh here as well who can show you this space. Anyone willing to take a lead on its reconstruction and make it into a usable common area amenity would be most welcome to take it up so that we can have the work done in parallel and present it for approval at the APSC. I can say that, from the discussion we've had in the past, there is already, in principle, approval that this real estate should be better utilized for the community. 

Now the question is, is anyone willing to raise their hand and take on this project? It comes down to that.

I remember proposing a new pool table while T2 approved a new snooker table

I do not mind taking that project up seperately and not mix it up with the current approval for the snooker table.

The current qs is pertaining to the additional opex for the new snooker table if we use the viewing gallery for the same, this has come up because our secretary was informed that new table will be put up in the viewing gallery and that this team has approved the additional OPEX attached to it.

Hence I wrote to get the clarification on the same.

I think your email makes it clear, the new snooker table will be replaced and be installed in the games room where the old table currently is.

Viewing gallery to be used better for a pool table + foos ball table etc would be a seperate project and all elements of Capex and OPEX cost would be considered while presenting the proposal to the APSC and then APEX.

Thank you for your input.

I would like to clarify that the approved new snooker table is a Championship-Size Table (12 ft × 6 ft), which was the unanimous preference of the snooker-playing community around 18-20 regular players (few copied in a separate email trail and shall share the list soon).

Based on the dimension-based assessment conducted jointly by the vendor and experienced snooker enthusiasts, the Championship-Size Table cannot be accommodated in the existing Snooker Room while maintaining the minimum playing-area requirements necessary for proper gameplay.

Further, in Murtuza's presence today, we re-demonstrated how the CURRENT TABLE 10 ft × 5 ft table itself faces playing limitations, particularly for width-based shots (photo attached). This reinforces the assessment that a larger championship-size table cannot be optimally accommodated in the CURRENT SNOOKER ROOM, as we all together signed off.

Accordingly, the technical & practical recommendation is as follows:

1.     Retain the existing snooker table in its current location.


2.     Continue using the existing table for recreational, beginner, and academy-level play


3.     Undertake feasible minor repairs through the vendor, wherever possible, at no additional cost vs immediately disposing/selling.


4.     Given the current utilization of approx.12/Hrs/Day across towers, immediate disposal/ selling/ replacement of the existing table is neither practical nor beneficial. Retaining both tables will significantly improve accessibility and reduce waiting time for residents.


5.     Separately, we fully support Khilan & Jaineel’s taking the lead on a dedicated Pool Table and Foosball project. A pool table can be readily procured through the existing vendor (Sharma Billiards Shop  Sharma Billiards Shop  ) at an estimated cost of approximately INR 1.75 lakh++ GST & transportation (CAPEX). Foosball table costing to be shared in a day or two.


6.     From a space-planning perspective, both Pool and Foosball tables can be accommodated in the current Carrom area and, subject to future decisions regarding the existing snooker table (dispose/sell), may subsequently be relocated to the current Snooker Room (where it is feasible to accommodate pool table W4.5 x L-9.5). This proposal should be evaluated independently with its own OPEX assessment and should not be linked to the current Championship-Size Snooker Table project.


7.     Install the new Championship-Size Table in the Viewing Gallery, which is the only assessed location capable of accommodating the table and its required playing area while preserving existing recreational facilities. The suitability of alternative locations, including the current Snooker Room and Carrom Room, has already been addressed in the FAQ communication shared earlier.


8.     While the Viewing Gallery has certain limitations, such as lower ceiling height and the requirement for continuous air-conditioning, it remains the most practical and technically feasible option among all locations evaluated.

Had a discussion with Snooker players Ajit & others yesterday. The following are my observations:

Advantages/Disadvantages of Snooker Table in the viewing gallery:
  1. The Viewing gallery is a secluded place and in my view not suitable for children's safety if they play there alone. 
  2.  Taking point no.2 into consideration we need someone to staff that area for pool/foosball. This will add to our manpower employed.
  3. The current place for the snooker table as seen in the picture in the above email, does not give players enough room to take a shot. A pool table, which is about 75% of this size, can be comfortably accommodated there instead. 
  4. The downside is that accommodating both the pool table and foosball in the current snooker room area will be tight. Foosball will also make this place a little noisy.


    Effect on our Opex:
  1. The Opex, w.r.t. the electricity remains unchanged because the air conditioners must remain on regardless of whether the pool/foosball table is in the Viewing gallery or the snooker table is placed there. 
  2. If pool/foosball table is placed in the viewing gallery then we need a staff member present full time if children use that area, affecting our Opex. 


These are my observations and I leave it up to the Apex members to weigh the pros and cons and make the decision that is best for everyone in the long run. The commercials were already shared in the preceding email by the Snooker players.

Dear Apex team,

Further to our internal meeting yesterday, we met Mr. Nitesh Sharma, the exclusive dealer and distributor of Sharma Billiards Accessories for Maharashtra and Gujarat, today at his Kalyan warehouse to evaluate the proposals for:

1.     Supply of a Championship-Size Snooker Table.

2.     Replacement/disposal of the existing snooker table.

3.     Procurement of a new Pool Table and Foosball Table (Quote attached).

Below is a summary of our discussions and the agreed outcomes.

1.     Champion Level Snooker Table (Sharma S1 Premium)

·       Our internal decision

o   CAPEX approved: INR 4.15 Lacs/-

o   The price includes the table, all accessories, and the specifications mentioned in the previously shared S1 quotation.

·       Discussion with the vendor

o   The dealer has confirmed immediate delivery upon receipt of the Purchase Order (PO), with the same configuration, quality, and specifications as quoted.

2.     Replacement of Existing Pool Table – Disposal / Buyback

·       Our internal decision

o   Explore the options of selling, buyback, disposal, or donation of the existing table, as the objective is not to maintain two snooker tables in the long term.

·       Discussion with the vendor

o   The dealer has agreed to assist in selling the existing table and will make efforts to identify a buyer within 90 days.

o   Based on their experience and after reviewing the video of our existing table (which is not of a specific branded make), there is no assurance of its resale value. However, they will make every effort to secure the best possible price, which is expected to be around INR 10,000/- or slightly higher, subject to buyer availability.

3.     New Pool Table

·       Our internal decision

o   Procure a new Pool Table for recreational use.

·       Discussion with the vendor

o   The dealer can supply a 9 ft × 4.5 ft Box Pool Table, which is the preferred choice for clubs and residential societies.

o   The quoted price is INR 1.90 Lacs, inclusive of all standard accessories, as detailed in the attached quotation (Refer item #3).

o   The Purchase Order for the new Pool Table will be issued only after a buyer for the existing snooker table has been identified.

4.     Foosball table

·       Our internal decision

o   Procure a new Foosball Table for recreational use.

·       Discussion with the vendor

o   The dealer can supply 3 different types of Foosball tables (the quote with pictures are attached). Knowing our society Item #2 is suggested by the dealer, as a choice. .

o   The Purchase Order for the Foos-Pool Table will be issued only after a buyer for the existing snooker table has been identified.

o   Based on the earlier dimension-based assessment, the vendor has confirmed that both the new Pool Table (9 ft × 4.5 ft) and the Foosball Table (142.5*75.5*86 cms) can be comfortably accommodated in the existing Snooker Room.

5.     Additional Negotiation – Complimentary 18-Month AMC

·       We successfully negotiated an 18-month complimentary Annual Maintenance Contract (AMC), which includes three service visits during the AMC period.

·       Each service visit will cover:

o   Dismantling and reassembly of the table (if required)

o   Cushion tightening

o   Cloth tightening

o   Alignment and levelling corrections

o   Rectification of any playing surface misalignment

·       An additional benefit under the AMC is that if the cloth requires replacement (typically after about one year of usage), only the cost of the cloth will be chargeable. Labour charges for installation and fitting will be covered under the AMC. However, if any repair requires replacement of materials or spare parts, the material cost will be charged separately.

Evaluation of Equipment

·       We inspected the quality of the balls and other accessories (photos attached), and all items met our expectations.

·       We also played on one of the dealer's Sharma S1 Premium Championship Tables, and the overall playing experience was satisfactory.

·       For the Pool Table, although multiple quality options are available, our assessment is that the Box Pool Table offers the best balance of build quality, durability, and playing experience. Compared with locally manufactured Indian pool tables priced below INR 1 Lacs it provides a significantly superior playing experience and is better suited for club and society usage

As Apex approval for the viewing gallery has now been received, pls get the space vacated so that the table installation can proceed.

The following items are pending from your end:

  1. Pls share APEX approval for the Pool Table and Foosball Table (quotes have already been shared). The installation will be carried out in the current snooker room.
  2. Pls share the OPEX cost comparison analysis of Viewing gallery for everyone’s review.

The OPEX has been benchmarked against other indoor recreational facilities within the CB and is comparatively lower, amounting to approximately INR 657 per family per year, based on an estimated usage of 12 hours per day.

We are pleased to inform you that the Purchase Order (PO) for the new championship-size snooker table has already been shared with the vendor. A copy of the email communication is attached for your reference.
As we proceed with the installation, we will initiate the process of clearing the Viewing Gallery and preparing the space for installation. The preparatory activities will include inspection of the air conditioning system, verification of the CCTV setup, thorough cleaning of the area, and activation of the booking facility through MyGate.
Additionally, during the upcoming meeting, we will review the quotations received for the Pool Table (INR 1.80 lakh) and the Foosball Table (INR 22,000) for further discussion and approval.

T5 is okay with the following proposal.

1) New snooker table in viewing gallery 

2) Procurement of a pool table for existing snooker room. Will leave foosball out for now (dont know space constraints)

3) SOP for usage of both entails proper request of cues and balls from desk and return

4) 18+ only and no need for extra manned staff (Can be collected at clubhouse reception) 

5) Old snooker table to be sold (Ajit to focus and support in this) to realize payment towards diacount in procurement of pool table

It would help if Apex members give their approval on this thread and we can close. APSC members expected to coordinate with their mancoms for final approval of all of the above points discussed at APSC for final conclusion.
