  • Attendees: Cory, Robin, Danielle, Rosemarie, Ro, Eddie, Rachel
  • Robin to call Monica about package that's been in the package room for a while
  • New owner meeting Thursday 6/18
    • Paperwork should be in office today
  • House rules updates – will share tomorrow (done)
  • Interview process
    • Added fine values that they sign (updated house rules in general)
    • First offense: $50, Second offense: $100, Third offense: $150
    • Create minutes for interview with people present, time in, time out, what’s discussed

  • Elevator repairs
    • Grease leaking in the elevator because bolt came loose behind the cable
    • Fan needs to be changed – they were supposed to come back Monday to change it - Cory to follow up
  • Mice remediation status
    • Found more holes to plug, haven’t heard anything since
  • Office leak update
    • Cory to double check status – should have been taken care of
  • Francesca violation
    • Exterminator – Friday – bill to her
      • Inspection after
    • Cory to follow up on lien
  • Tripiccione violation
    • Tried to do work on his own in the bathroom – bringing in Jorge
    • Didn’t let us know they were doing windows and that it was Saturday before 9am
  • Pool
    • Sand in the umbrella bases – Cory to ask Gil to add some
  • House Rules – updated - Should these be sent out to all residents next week?
    • BBQ rules clarified
      • Listed out unit numbers
    • Align pool rules with house rules and re-send out
    • Pool rules: Add that people need to close umbrellas before they leave
      • Put more signs around
      • Laminated notices in area that say “Please close umbrella after use”
      • Tell those working the pool as well
    • Should we also include moving, construction, etc. in the house rules? Yes

  • Rec room ceiling
    • Went into Carol’s apartment
    • Pan under kitchen sink – clearly the leak is
    • She needs to get a plumber in to fix it
      • If she doesn’t do it, we’re going to do it and bill her
    • Cory to confirm if she would get billed for ceiling fix
  • Party in the rec room – 6/20
    • Cory to follow up about it
  • Concrete at main entrance
    • Drywell – can be done first – next week coming in Tues / Wed
    • Start work 7/15 - confirm 
      • Will take 2-3 days
    • Give people notice next week
  • Foldable ramp – have 6 ft, Cory was saying we might need a 12 ft one ($550)
    • Options for ramp in garage
    • Cory to take pictures and do some research
  • Balance Billing
    • PSEG done
    • National Grid – meter issues, other options?
      • Still having meter issues – put in one for residential house, but there’s special service that handles it – call them all the time and try to get them out there
        • Eddie to share contact
      • Still collecting prices from other places
  • Original loan transfer from Kathleen to current board member
    • Kathleen can't come off loan, but can add other authorized users
    • Write a letter signed by the board that she has no responsibility
    • Danielle, Cory and Rachel find a time week of 6/29 to go to the bank (afternoon)
  • Erica – 7A
    • Spoke to Anthony
    • Asbestos was in plaster walls
      • Built up to code with plaster walls, so there was no structural defect
    • Difference of $3,500. We're going to offer her half ($1,750)
      • Make it clear that we're not responsible, but trying to work with her and show goodwill 
    • Cory to send draft by end of week
  • Laundry
    • Machines cannot be configured differently
    • CSC to come and update machines to $1 for 15 min and 30 cents for additional 5 min ($1.90 for 30 min) 
      • Cory to follow up
    • Once it's done, send out communication
    • Got $2,500 reconstruction check
  • If multiple people are doing work on the weekend, do they all have to give $100 to Gil?
    • Each unit should give him $100 regardless of how many units are doing work on the weekend
  • Elevator pads – clean them or get new ones?
    • Each pad is like $250 - $350 = $1,000 - $1,200
    • Option to leave the control panel one off
    • Seamstress to do it? Cory / Robin to get quotes and options (measurements, etc.)
  • Water hose in garage was not replaced completely
    • Nozzle was replaced, hose wheel is broken – Gil getting it
  • Motorcycle in spot 58
    • No issue with motorcycle cover
    • No issue with car + bike in one spot
    • The motorcycle is using an extension cord and that cannot be there. CPA to issue a letter
  • Asbestos removal from inside walls - who is responsible for that? Cory to ask the lawyers.
    • Asbestos removal is unit owner responsibility – wall / support of walls
  • Camera in garage - blind spot near garbage area and Ro's spot
    • Can we rearrange the cameras for coverage or add one?
    • Quote for another camera in the garage – likely $750ish
      • Run the cable through the rafters to the office
    • Not just in the garage to cover blind spots but also other areas of the building where it's not covered at all - i.e. the laundry room, library, elevator, pool, and possibly the stairwells
      • Depending on how far from office you are – probably $300 - $800 per camera (likely get a deal on more cameras)
    • No access to Gil at this time
  • Library update:
    • Option to get key fob access to library
      • Not a big deal, wiring and running cables
      • Ensure intercom system can handle it
      • Plate on door frame – change that
      • Can set timer as well
    • Add more fob access around the building?
    • Come up with House Rules for the Library/Community Room - maybe something like the pool where they can only have up to 2 guests per unit and it's closed after 10pm. I'm thinking in case people are in there late so that they don't disturb Gil or the upstairs neighbor.
    • Order 'Property Greentree' stickers to place on the items in the library
  • Painting touch ups on doors and hallways (Gil)
    • Cory to follow up
    • If people are doing work and the doors get messed up, who’s responsible
    • If people are planning to do work, wait to paint those
  • ESA paperwork
    • Most ESA letters don’t have an expiration date
    • Licenses do expire – stay on top of it if possible
    • Federally, HUD limited ESAs, NY has not adopted it
  • No board office hours at this time
  • 570 parking in our garage
    • Seems to be an agreement between residents, so no action
  • Sauna sinks (keep on the list)
  • New employee joined CPA – Rob
  • Q3 Newsletter - Rachel to complete by end of June to send out. I'll send it for review soon.
  • Board roles are dictated by bylaws – must have at least 4: President, VP, Treasurer, Secretary
    • Elected to the board, not a role
  • Birthdays:

  • Building Storage room
    • A lot of junk and space – need to clean out and organize
    • Maybe move some of the stuff in the sauna in there

    • Files in bankers boxes – label and put them aside
    • Order chronologically

Hi all!

Following up on these items:

    • Is there anything we can do to make the front entrance closest to Broadway more accessible?
  • Office leak - confirm it was taken care of?
  • Post updated pool rules around and also add dedicated "Please close umbrellas" signs

I spoke to the manager there today, she said she was on vacation so it wasn't handled properly. She is on it and will get this taken care of for us tomorrow.

  • May General Meeting notes - can the anonymized notes be sent out? (Noted in other email) We sent the minutes to Kathleen. We did not send them out to everyone, but we certainly can send those out along with the updated house rules to everyone. I just won't be able to get those out until Monday as we are a little short staffed this week.  
  • Front walkway
    • When will the drywell be installed? Spoke to him Tuesday and he is going to do the drywell Monday or Tuesday next week. 
    • Did we confirm that we can start work on Wed 7/15? (Eddie, confirming this still works for you)
      • Will take 2-3 days
      • Need communication to go out to all residents - Spoke to them again this morning to reconfirm and we are good for 7/15-7/17, we anticipate 2 days still but will notify everyone it will be 3 days as a buffer. We will send that notice out this afternoon. 
    • Is there anything we can do to make the front entrance closest to Broadway more accessible? I will have Gil let the mailman, ups man fed ex man know and will let residents know to try to update their delivery instructions for those days. Gil is going to have to be present as much as possible those days to direct people. It is up to you guys if you would like to leave the broadway door open from 8-5 those two days and put signs in direct5ing people to the lobby for deliveries and things. 
  • Office leak - confirm it was taken care of? The leak itself was corrected for now, but the valves in that apartment is deteriorated. The unitowner is away but does plan on renovating their bathroom towards the end of July. They are on vacation now until right after July 4. It should not leak anymore but I suggest not fixing the ceiling until their renovations are completed. 
  • Post updated pool rules around and also add dedicated "Please close umbrellas" signs - updated rules and specific signs regarding the umbrellas were posted. 
  • Rec room ceiling
    • Fix leak then fix ceiling - We spoke to the resident there and she told us to take care of it. She gave us the ok verbally but we have been waiting for an email from her authorizing it. we spoke to her again today about sending that email but she said she will send us that email. I am going to give jorge the go ahead to fix that. 
  • Spot 58 in garage
    • Letter to resident to remove extension cord - We left him a message Monday and since we did not hear we will be issing him a letter and give him until next Friday to make sure it is corrected. 
  • Francesca updates
    • Is the lien in place? We received an email on Friday from Anthony Cummings who was the attorney at Certilman Balin we were dealing that he was leaving and moving to another firm. We asked who our point of contact should be there now and they said they are in the process of assigning his clients to other attorneys. We did file the lien with Anthony on April 20  but I am waiting on a new contact to speak to make sure everything is in place and was filed properly. It seems like this was not a planned move for them and they are scrambling a little there. 
    • Did the exterminator get in? Can we schedule another inspection? The exterminator was supposed to go Friday morning. Francesca did not let them in. We did get word she was cleaning out her unit friday. We are working to coordinate with the exterminator still to get him in there and we will be billing her for the service call from Friday as well as any charges from them going forward. We suggest another fine to her of $250 for not allowing the exterminator in. 
  • Hose wheel replacement in the garage - was this done? Gil ordered it but hasn't installed it yet. He said he will do it this afternoon or tomorrow morning.

Thanks for the updates!
  • I don't think the May General Meeting notes need to go out to everyone, just anyone who requests it. (Anyone else can weigh in if they feel differently).
  • Sounds good re: sending updated House Rules out on Monday.
  • I don't think the front Broadway entrance should be left open when the work is being done, but we should definitely detail that in the notice that's sent as well as have signs directing people. If it's an issue, we can revisit.
  • Agreed on waiting to fix the office ceiling post work being done, glad that's on the docket. We can revisit when the work is done.
  • Agreed on getting written permission for the apartment above the rec room.
  • Quite an update about our lawyer. Definitely need to make sure we have good coverage there.
  • Agreed we should fine Francesca another $250 for not allowing the exterminator in.

We just heard back from the guy in spot 58 after following up with him. He had unplugged it when he got out last message, but he did not remove the cord yet as it is zip-tied up. He will do that within the next day or 2.  He was very understanding about it. He says he spoke to Kathleen regarding it about 2 years ago to ask for her permission which is why he put it up there in the first place.
