Greetings,

I just wanted to see if any of you interested in the planning and execution of the ECSL 2020.

- I was able to attend this year ECSL in Guatemala with Mark, Alberto, and Melvyn, we had already said NO that we were not ready to host for 2020.
but the different group members from all over Central America agreed to help us with logistics, and any other type of assistance that we may require from them.
- the planning of the agenda of events will be planned by a committee that will have a member of each country and the member of Belize will be the one overseeing the development of it.
- Guatemala and El Salvador had said that they can support the Registration tools and printing of T-shirts and also assist with the website development.

- on our part, we just need to look at the logistics of the place to have the conference, accommodation, food, and transportation around Belize.

** they are willing to pay a bit more than the usual price cause as I told them that it's
pretty expensive for us.

-- Planning a three-day event with 1 day as a tour of Belize

- conference Start Thursday and to finish Friday evening (accommodation and food for Wednesday, Thursday and Friday, Saturday - morning  )
- Saturday trip to an island or a place that have beaches like Placencia, Hopkins .. ( also this is the next fee for those who want to go- they will pay for accommodation and food + transportation ), the reason is that they say that they have heard of the beautiful beaches we have and they would like to visit.(maybe we can find sponsors of find cheaper group packages)

- Departure Sunday afternoon, for those going to the trip and those not going departure Saturday afternoon

__ venue to be University of Belize Belmopan
__ Check with immigration and BTB to see if we can get the departure fee exempted or reduced.
__ security from Police
__ transportation maybe UB, BNE or Taiwan embassy or make and agreement with busito owners to reduce trip fees

** I have already talked with people from Belize Bank, BTL, BEL, and they say for us to send a letter requesting Sponsorship.

** also once we have members who are interested we will get back to the central American community with an update and who all will be overseeing the deferent committees.
- also, we will have to send a survey so as to have numbers that will help us with the logistics here in Belize.

Yes -  UB has an IT group/club doing school projects in Belmopan using open source.

I had a conversation with mr smith director cito the other day and he indicated that he is ok with being a speaker at ecsl for the introduction. he only asked that we send an official letter so he can try fit it in his schedule. in the event that he is unable we will make arrangements to have representation there.

- Airport tranfer -- not confirmed as yet can be organized if its a big group for a cheaper price to cover cost.

On the previous ECSL, I worked on budgeting and reserving: accom, food, xunan trip as well as tracking payments coming in.
If I can be of help with that portion of logistics once again please let me know.
I am sharing the budget sheet I used on the last ECSL. 
We each contributed $200 which went to help cover costs.  We also had sponsorship from BAHA, BELTRAIDE, GSCOM and Belize Bank.

Please note, I am being asked for dates from other members as they would like to book their flights.

just wanted to see if you all get it and who can help with the event.

just a quick update also --

I have asked the team from Guatemala to assist with the setup and run of the registration system that includes the website, but we will need to input/provide the information for it.
- the reason we are using the same registration system is cause for the past 6 years they have been using it and been collecting data, and the data of past participants are there also so making it easier to register.
- the payment I think we will need to do western union or open a Guatemalan account.
** - so we are still ON for the same charge 150US for registration or 175US? ??

also, they have offered to print the t-shirts if its too expensive here in Belize (same thing with purchase of giveaway or other material we need.)

Ok Guys,

1 ) The team from Guatemala has informed me that they have some money to donate for us. how much money they have I am not sure

. but they were also telling me that they will need hosting for the application so they suggested for us to give the go-ahead to use from the money for the hosting and they will set up and manage for us we just need one person to assist them in providing information.

also, they are saying they can use to print t-shirts how much of it I am not sure.

so through this email can we all agree for them to use part of the money they are donating for the hosting of the app, and can we get someone who can help with the application and website information (will be like location, pictures, about Belize, immigration info, hotel info, cost, ... )

2 ) can we all agree that 180US is a good charge for the registration? or we stay with the 200US or 150US?

so we can start sharing the info.

3) can someone go over the invitation letters for the C.A participants

some are requesting already for the end of the month.

4) as a token/gift I was thinking maybe we can get cheap water bottles from online and ship it to Belize, so we will not provide cups for the snack time or lunch (just a suggestion) what you all think.? (and we can ask BNE or other buisnesss to support the tokens.)

@ mark - do you need a letter from us?

Perdone que hasta ahora me pongo a escribirle pero tuve varios contratiempos, le queria comentar varios puntos en relación al ECSL para que los tomara en cuenta en relación a lo que yo me hice cargo y que deberiamos ver:
  • Si vel el https://ecsl2019.softwarelibre.ca/cms/inicio  ve que apunta al CMS, éste fue creado por Mario Gallegos de El Salvador, yo tengo acceso al mismo y por medio de él es que se genera el sitio web, con la agenda ya que alli se registran tanto los pagos, las propuestas de ponentes y esto alimenta el sitio web, no se como habia pensado trabajarlo pero es como se ha trabajado en los últmos años ya que aun alli ya está la base de datos de los asistentes anteriores por lo que no tienen que llenar la información otra vez, para alimentar dicho CMS se necesita bastante información, pues está todo lo relacionado al transporte (para que lo soliciten), alimentación especial (si se dá el caso), no sé quien es el encargado de logística, por que podria apoyarlos gestionando el CMS siempre con su apoyo o de la persona encargada de Belize. El paso a seguir sería hablar con Mario para que nos haga el del 2020 y asi empezar a alimentarlo para tenerlo listo para que puedan comenzar a preregistrarse,.
  • Por otra parte para  recibir el pago, yo creo que lo mejor seria crear esa cuenta en Banrural en Guatemala, el año pasado cada pais tenia uno o dos encargados de juntar el dinero y se hicieron los pagos en grupo (el CMS permite subir el depósito) por que vieron justamente como tenian que pagar el recargo según sea el caso; ahora si ya vieron alguna otra opción cuenteme. Si crean la cuenta, yo podria depositar alli el dinero que tengo del ECSL anterior
  • Además de eso, como yo tengo el dinero, se acuerda que habiamos visto de apoyarlos con la compra de playeras, y demas souvenirs, aca en Guatemala, si en la lista de SLCA usted lo inidica yo sé que hay varios que pueden apoyar en Guatemala y lo llevariamos de aca.
  • Cuenteme en que más necesitaria apoyo, para darle una mano.

Morning all,

To simplify things, it is best they host it as they are more familiar. I can see a lot of issues arising if we only provide them ftp access to a hosting space. Since they are donating, it makes sense for them to take some of it for hosting. Let's  not be stingy. 

Also, what is the purpose of including CITO in this? I've been thinking about it long before but haven't mentioned anything. It is doubtful that they will help us with funding. There isn't anything here that we can show case. Pretty much CITO buys software and are reluctant of using open source. The CIO on the other hand is a champion for FLOSS but not sure how his introductory speech would help us other than solidify our community presence.  We can however, show case them ideas which can be implemented. 

On another note, we all donated 200 BZE for 2013. Let's do the same this year. We have time and can save up. This is a suggestion. I am okay with registration being 180 USD taking into consideration that we may not get the immigration waver.

- according to them it will be publishing material, marketing and maybe someone top from the organizarion to be present during the ECSL.

- we will need to setup a small team so we can talk with them they will let us know the date and time .

Dear Team,
As you may be aware, we have been approached before COVID-19 by other countries regarding the possibility of hosting the ECSL for the year 2024.

Several countries are eagerly waiting for a response from our Belizean team to confirm whether we will take on the responsibility of hosting the ECSL it would not only be a great honor but also an excellent opportunity to showcase our capabilities to the local and international IT community.

However, it is essential to emphasize that hosting an event of this scale comes with a myriad of logistical challenges. We need to consider and coordinate every aspect, including the selection of a suitable venue, accommodation, catering, transportation, internet connectivity, security, and numerous other details. This is why I am reaching out to all of you to seek your input and confirm your support for this endeavor.

I kindly request that each of you take a moment to consider the implications, challenges, and opportunities associated with hosting ECSL 2024.

Please share your thoughts, concerns, and ideas regarding this potential venture. We need your valuable insights to make an informed choice.

To facilitate this discussion,  please indicate if yes we will want to host or no. (note if yes more than likely it will be around July next year, but a yes will mean you are willing to help organize it, of course, we will get support from other countries)

Time is of the essence, as our international counterparts are eagerly awaiting our response. Let's come together as a team to determine whether hosting ECSL 2024 is the right step for us and how we can make it a resounding success.

Yes we can host but Also i think we should have mini events leading up to it to raise awareness.

Ok guys so far we have 4 persons saying yes, yes that is a good idea to have an event.. agree 100%.

Maybe how robotics is a sport now in Belize why don't we organize for ecsl a central American robotic contest or tournament with the help of other countries!! Just saying
