TC virtual meeting discussion
How long should it be? 3h max. MK/DH: max 3 hour duration
DI: shorter side, virtual “town hall” meeting. Let’s do it independently of APT&M
DH: from APT&M committee say – go ahead independently. We have permission to use email list
When do we want the meeting? Probably not beginning of July because that’s too soon for us and everyone. At least two weeks notice, AJL: maybe end of July?
DI: MM has gone to a virtual format and this is first week of August (3-7th), so we don’t want to overlap with that.
Number of attendees? 180 unique people applied to APT&M
DI: If it’s too nerdy fewer people will come, if it’s more open, perhaps 50. Optimistically maybe 100?
MK: What’s the theme of the meeting, to the average user what do we want to achieve?
MK: flash talks get keep to time 5 mins.
AJL: could have pre-recorded talks – could speed things up
MK: don’t want to make a barrier for people, so don’t want people to have to do it. Recording the talks leaves a nice legacy. It adds a new twist to atom probe analysis and motivate the community.
DH: OK, so hybrid format but with the presenters present at the end of the talk.

Slightly longer (10+5 min) invited talks [3-4 of these]
Ask people from our software list for flash talks. Ask for “Software that helps the community”
(flash talks) [60 mins + 30 mins discussion]
5 mins flash talk, with 2 mins questions (from chat), if presenter is not present, have a 30s break to que up next talk.
At the end, have slot for further questions.
Time zones: US and EU. Going to be hard to fit in in the working day for everyone. Will probably be early morning West coast, and late afternoon early evening West EU. Could be a good option: Zoom for Business (up to 300 people and unlimited meetings).
