What do you all do as a best practice when a student drops to a different FTE?  Do you transfer out of school and re-enroll? Is there a way to make an FTE change without changing historical data?
We had a student who was full-time during the count and then dropped mid-year. During the audit, the info pulled (like schedule and attendance) showed that the student was listed as full-time FTE, but their schedule and attendance produced was only the one class they were still in. Because of this the auditors are questioning. For changes like this, do you transfer and then re-enroll? What is your best practice?

You’ll need to unenroll/re-enroll when their FTE changes in a way that affects attendance (check your attendance conversions). Presumably this is related to your high school, where your FTEs on the School Enrollment page correspond to the number of classes they’re enrolled in - but which are actually configured in such a way that you’re doing 1 or 0.5 day attendance for a range of periods they attend. (School Management -> Attendance -> Attendance Conversions).

If what you’re concerned about is the Fall OASIS FTE (on the Compliance pages), you can show your auditors the student’s Courses and Programs -> Course Registration screen, which will show the entry/exit dates for each course enrollment, justifying why you coded them under a certain FTE during the Count Period.

Thanks Kyle! You are always such a great help! This was from last year, would you recommend going back and changing the data so it is accurate into the future?

Correcting the Attendance Conversions? That’s always helpful.

Changing the FTE on the compliance page? Not helpful as you need to start using that override field for this year’s Fall OASIS if you have students that are less than full time.
