Hi all,

As we discussed briefly in our Skype chat during our mentor check-in this morning, we have the privilege of sending two delegates to this years GSOC Mentor Summit which is a larger event this year because it's also serving as the 10 year reunion for GSOC.  Google will cover three nights stay for each delegate as well as up $2200 in total travel costs between the two delegates.

This year's summit/reunion will be from Oct 23 to Oct 26 (luckily it won't conflict with our global summit) in San Jose with visits to the Google HQ. 

To make it simpler, can you first let me know if you're not interested or available in attending the mentor summit - that will help me narrow the pool of candidates. From there, we can determine if 1) We'll randomly select the 2 delegates from those who are available or 2) Have a selection/voting process based on interest and overall contribution to the community as a mentor. I'm more for the 2nd approach but we can discuss that collectively as a group.

Try to give me a heads up about your interest before the weekend. Hotel rooms don't need to be booked till Sept 6 but we do need to know who we've chosen for our delegates by a sooner date in case someone is interested in apply for the lottery to attend the reunion as a guest.

Outside of our two delegates, Google is also allowing past GSOC participants to apply for a lottery to be one of 220 other guest invited to attend and paying on their own. Unfortunately the deadline for this lottery was June 16 (my bad for not explicitly reminding you about the ongoing thread on the GSOC mentors list). But you can still sign up to be on the waiting list by June 23rd if you're interested in attending the GSOC reunion but not selected as one of our two sponsored delegates.

Calling all 2014 GSoC mentors, org admins and enthusiasts-


The 10 year Google Summer of Code Reunion is coming!


When: 23-26 October, 2014

Where: San Jose Marriott and Hilton San Jose, CA, USA

Some brief background: The Google Summer of Code Mentor Summit is typically an unconference that brings together two delegates from each of the mentoring organizations that have participated in GSoC that year. The opportunity to meet face-to-face with other FOSS community members is a valuable experience. There will also be surprises, fun events, and a chance to visit the Google campus in Mountain View, CA. We are making the event especially awesome this year— it will be more than a mentor summit, it will be a GSoC Reunion! We are inviting participants (students, mentors and org admins) from other years to also attend the Reunion by entering a lottery, we expect up to 600 attendees at this year’s event.  More information will be sent later today describing how the lottery works. Stay tuned!


If you are a 2014 ORG ADMIN OR MENTOR please read on!

For your two 2014 delegates, Google will pay for a three-night hotel stay, transportation costs, conference facilities, and food for the weekend.


1) Your organization should have decided on two Delegates* to send to the Reunion. Any people who want to attend above and beyond the two Delegates from your org will need to enter themselves into the lottery.


2) Your two Delegates will need to book their hotel rooms at the San Jose Marriott. We will be providing two “promo codes” to your org admins that your attendees must use when registering for a hotel room this year. These codes are being sent to your org admins, along with contact information about booking, in a separate email in a few minutes. If you do not use the promo codes provided to your org admins for hotel booking you will be charged for your entire stay. The hotel registration deadline is 6 September.


3) Please fill out the Reunion Registration form for Delegates as soon as you have confirmed your hotel room.


4) We include the reimbursement for travel to the Reunion and the mentor stipends in one PO to your organization. Please see the payment info page for more detail on this. These POs will be issued to your org soon after it has made the payment request.  


5) Flights should be purchased once you have a confirmed PO. All orgs pay for plane tickets ahead of time and then request reimbursement via invoice against the PO once you have receipts for the flights.


6) Please check out the Reunion website. Look around the rest of the site - it has lots of useful information for you about the event and what to expect. More information will be added by 1 September.


7) In the unlikely event that your organization does not plan to attend the Reunion at all, please fill out this form to let me know. Please only fill this out if you are not sending *any* delegates to the Reunion.


8) Please remember that any organization that misses two or more evaluation deadlines may not attend the Reunion. If you book travel and then get uninvited from the Reunion after either the midterm or the final evaluations you will not be reimbursed for travel costs and your hotel stays will be cancelled. So don't miss those evaluations or you jeopardize missing this special event!


*A "delegate" is defined as a student, mentor, or org admin who has participated in any instance of the GSoC program from 2005 - 2014. We're sorry, but we can't accommodate other people from your community as delegates. If a student, mentor, or org admin would like to attend above and beyond your two delegates, he/she will need to pay their own way and fill out the lottery form for participants from previous years. If selected in the lottery, this person will receive more details on registering for their room, etc. Also, please note that we will not accept any mentors who miss an evaluation deadline in this year's program.
