Manually adding people to races in a series?

Asking this here in case others have wondered too…

I have a series of four races, and several people have signed up for one or two and later asked if they could be added to those they didn’t previously sign up for. Is there any way for me as the admin to add them to other races in the series without having to copy and paste all their information manually? (And would that even work?)

If there isn’t, I could imagine the series registration showing all the races in the series, with checkboxes indicating which races the runner is registered for, so selecting or deselecting a checkbox would add or remove the runner from that race.

PS: I know the name formats change from #1 to the rest; that’s intentional for the moment since I’ll be assigning bibs alphabetically for the first race and then changing the name format to First Last for better results; the rest of the races then have to match.

Follow these steps:

Navigate to the reg admin page where the participant has registered
Click on the column header dropdown that shows “Edit” by default
Select “Copy” from the dropdown
Select the registration to copy the participant to

Cool, thanks! I had never noticed that Edit/Move/Copy menu before.

One slight quirk—although I copied them into another race in the series successfully, the series registration still sees them as being in only the initially selected ones. I don’t think this will matter at all, but it wasn’t what I expected.

That is by design.  The series admin page knows only about participants who signed up through the series reg page.

Rather than you taking on the burden of copying participants to other races, why not reply to the request to by sending them the series reg page link - and ask the participant to register for the race they missed selecting on 1st attempt?  That will then give you a complete record through the series reg page of who has registered for which race.

If they don’t have a Webscorer account, will that work, or will they end up with two registrations?

It’s usually only a few, so I figured changing it myself was the easiest thing. In this case, I mostly want to get them into Race #1 so they get a bib number assigned with everyone else (we reuse them for all four races) to reduce the number of people who need to be assigned a bib in the middle of the series.

I could force everyone to sign up for all four races, but then I would have to delete the races from the series as their dates pass, which seems like it would confuse the series results.

It will work with or without a Webscorer account.  Having an account just makes the reg quicker as most fields are auto-filled.  If you plan to do a results series, you should require an account so that the participant names are spelled consistently from race to race (if they sign up separately for each race) - which will reduce potential name editing work for you.  The results series is not connected with the reg series (or registrations) in any way, it’s all based on posted results.

If the participant attempts to register again for the same race, they will get an error that someone has already registered under the same name.  

Regarding the returning racer bib list, will you be assigning new bib numbers on race #1?  If so, you’ll want to clear the last year’s list at https://www.webscorer.com/members/racerbibs - participants for race #2-5 are getting their bibs assigned from that list presently,

Once you’ve cleared the returning racer bib list and reset bibs for races #2-5, you’ll want to add the returning racer bib list to race #1 as that’s how the manually assigned bibs on race #1 get added to the returning racer bib list.

After race #1 is over, you’d reassign bibs to those already registered for races #2-5 from the returning racer bib list.

Good to know about not needing an account. This series is pretty informal, so I hesitate to require an account—we get pushback on that. But I haven’t had trouble with people changing things as they click through the different races, luckily.

Thanks for the nudge about resetting bibs. I’d forgotten to reset the returning racers list when setting up the series this year. I’ve cleared the bibs for the subsequent races, and once I assign the manual bibs for Race #1, I’ll import that into the Returning Race Bib List so it can populate all the others.
