Hello all, we have finished our meeting at have elected a new board of directors (by acclamation):

Skullspace AGM 2026

  • Quorum satisfied

  • Meeting called to order at 6PM

  • First order… postpone the meeting for 30 minutes until 6:30PM

  • Edwin Yearly Report Hangout

    • Some storage area needs to be improved unless we want to break our backs
    • Latch got removed from fire escape and put back
    • Any projects / anyone, that you’ve been working on?
      • John has a friend who wants to do VJ stuff - this friend is going to be told to go on discord and come on Wednesday evening
      • Server rack for babies! Raspberry PIs and such - we want to build little sleds for them etc.
    • Events
      • Edwin has updated the runbook for our dance events and welcomes anyone to also review it and update it
      • We had an event, first Fridays feb 6,
        • femme first Fridays with femme dis, $900 profit, almost sold out the even
        • almost hit our capacity limit
        • some changes happened with permitting to get a special events permit to rezone and a temporary occupancy permit,
        • we’ll have to do that again for the next event,
        • Everett to update the event runbook to get those permits etc.
        • How can we get the occupancy changed permanently? Everett is heading up that project
        • Justin is a new security dude / front of house staff who worked the doors for $25/h
      • March 6 is our next event, all vinyl
        • We have some handbills to handout to people
        • Handballs are $10 off at the door (i.e. $30 at the door discounted to $20)
      • PSA drama, hopefully they are going to come again
      • By Jade’s estimation has done $2500 in profits across 4 events 🙏
    • Buying out Audio Equipment from Dave Estabrook (LSDave)
      • There is a proposal to buy out some of the equipment
      • Tops, cable, amp, many other things
      • Reminder to people, please label your things that are left in care of skull
      • $200/event (or month, whichever is more frequent) until $2000 is paid out and then we’ll get the equipment
      • There is general agreement amongst the membership present to proceed with the purchase of the equipment, to authorise the board to proceed with it
    • Hax 7.0
      • Michael K is our new lead on it
      • A new date will be picked today by Michael K and Mark J
      • The proposed Agenda for hax 7.0 and such to be discussed later tonight

  • Last call for nominees at 6:35PM done and closed
  • We will now have a mock election: clown, pirates, and ninjas and you can only vote for one. Ask MJ for a ballot after the AGM. Stef moves that we add vikings. No.
  • Year in review by Edwin
    • Many dance events (don’t know how many)
    • Huge thanks for runbook yay, thanks Jade, Mark
    • Yay for Everett and Zorian for a heroic amount of work getting it done
    • Big thanks for LSDave for the equipment etc. also DJ’ing several times
    • Doors by Jordan, Rebecca, Jon… many other people
    • $2500 in profits from dance events
    • Skullspace had a negative reputation and now it’s changed for the better
      • Don’t know one source, but there are a number of positive experiences we’ve provided that have pleased people, kudos
    • PSA, project safe audience, has come a few times but flaked out last time
    • Kim (Devloo) (friend of Edwin) has been doing our finances…
      • We have a backup in Google Drive from Quickbooks (desktop)
    • Stolen XDJ-RR has been recovered and we paid out $1600 to RBCC (Ralph Brown Community Centre) to purchase it from RBCC and satisfy the rental agreement
      • Proceeds to pay for a new ladder to replace the NSFW ladder
    • We have a bamboo labs P1S 3d printer now! Our old 3d printer is sad and terrible
      • Bought for $550
    • We have created a whole new room in the space to lock things in!
      • We can put things in there, like DJ equipment,
      • we are adding cameras inside
      • Will be accessed by a key fob, to be determined
    • We have two high end projectors now from LSDave
      • Idea to move the 2nd projector in the front to lounge
    • Sound system for bluetooth speaker has been set up for the front room, use it, enjoy it
      • Don’t max out the volume. Your phone and the control panel maxing out is fine.
      • Please don’t go through the control software.
    • We have a drainage problem with waste pipes in our space
      • Why hasn’t this been raised to the landlord..? No idea…
    • Boardgames have moved from Lounge to the front
    • A new sit-stand desk, we’re at 3 now (only 1 that is electronic, the other two are manual Ikea desks from 2019/2020)
    • New N64 rom cart donated by Jade
    • New gamecube rom cart donated by Edwin, needs to be soldered or something to the gamecube to jailbreak it etc, ask Edwin how to do it
    • We have a laser cutter and we do not have ventilation for it
      • It’s on a cart and you can roll it to the window
    • Everett and Zorian have updated a POS system with Stripe and a physical Stripe device, we have a heads up display which reflects the accurate items for sale and their prices
    • We have a script that generates a shopping list for our events i.e. what mix we need
    • Unexpected change of directors: Amanda T left and Everett B took over her spot, thank you Amanda T for your service
    • Massive coffee machine has been removed, huzzah, thank you Rob for taking it
    • Amazing dance floor Lighting changes from Gabe C over the year for our events, thank you!!!
      • There are lights hooked up to a remotes throughout the space to turn them on / off - see Jade for how to turn them on/of or manage them
    • New processes:
      • Purge pile (table of doom version 1.337) now exists, there’s a discord channel for anyone who wants to claim it, it’s documented on a peg board in the space and in the discord channel. This all sounds very familiar to me as the table of doom…
    • We are working to purchase the building that we are in
      • Michael K chairing it up who is regaining energy for this initiative
      • Edwin, Michael K putting in $$$
      • Other tenants in the building want to buy-in as shareholders / co-op people
        • Peter, folks on the 4th floor
      • Willow Salix would like more information on this
    • Hax 6.0
      • Public engagement was lacking i.e. not enough attendees from the public
    • DJ Jam Nights / Flowjam / Algorave (for 3 weeks) are happening every Wednesday evening from 7PM until late (10PM-1AM)

    • MUUG had their annual potluck here
    • Movie nights by Thor!
      • 23 hours of Christmas movies among other topics
      • Military robots, super folks, weird music bios, sports by accident (happy Gilmore etc.), politically activities, super spy things made 30 years into movies, snooping on the neighbours, hitting the slopes, and film-noir-ish
      • Thank you Thor for all of the effort in organising them, kudos
      • We stream them (skullspace.fullspeed.tv) also check out #movie-night for the next event (on discord)
    • Every Sunday there are two different video-game tournament days
      • Tipi and Dakota running separate events on alternating Sundays
      • Edwin to follow up with Dakota and Tipi about ensuring that the event is on the calendar
      • Jade wants to capture more events on our Instagram (like these events)
  • By-law proposals… we did not receive any
    • Jade thinks we should discuss the by-law changes soon/today so we can propose and submit notices for by-laws
      • Change by-law for students membership ($20/m) to also include people on EIA/economically distressed
      • Probably doesn’t need a by-law change as it seems to be a policy rather than a by-law
    • Bylaw about 'Expenses over $1000' needs board approval
        1. Ask is it $1000 for an individual expense or an entire event…
        1. Often times we have a member fronting the expenses, we would like to formalise this process?
      • There is nothing in the by-laws about buying things for the space - Jade would like a policy or by-law that outlines the expense reimbursement process
      • Would like to implement a maximum $50 (or more/less) reimbursement for petty-cash expenses like paper towels, coffee, space expenses, etc. where the member would be reimbursed for these expenses as a matter of policy
      • We used to have petty-cash, let’s bring it back
    • Jade suggesting a new Task force for reviewing rules and policies
      • Edwin volunteering to update the Wiki / Website
      • Suggestion by Mark to have a unified by-law and rules/policies PDF with the rules and

    • We are at a net worth of $12,400
    • We are at $8850 in cash in our bank
    • What is the missing $3000?
      • Accounts receivable from members
    • We are not recording a lot of assets like the XDJ-XZ ($3k?) as an asset and its subsequent amortisation
    • Jade asking for donation (income category) figures… Michael K to provide it to Jade after meeting

    • We are at 51 full members and 4 students, totally 55 members
    • Need to shake down more members for their past dues

Notice is hereby given that the SkullSpace Annual General Meeting[1] has been called for Tuesday February 24, 2026 at 6:00 PM CST, to be held at SkullSpace on the 2nd floor of 374 Donald St. We'll order some pizza, too, so come on down.

Please read the Bylaws if you have any questions relating to the election, or process for bylaw amendments [2]. Members in good standing are eligible to vote, either in person, or by proxy, on any bylaw proposals, and in the election of a new board of directors. Bylaw proposals must be submitted to the board no later than midday February 3rd. They will be published in accordance with our bylaws 21 days prior to the vote.

Members in good standing who live in Manitoba have up until the meeting itself to submit their name to run in the board election. The SkullSpace board is made of up to 5 members, elected by the membership.

Please let us know if you'd like to run for the board this year. Ideally we could have everyone introduce themselves before the day arrives.
