Hello all! And especially the incoming Board of Directors for 2025 😊
As you may know, we try to meet as a full Board for in-person meetings several times a year. This greatly increases the amount of work and extended discussions we can generate. Very good value for the cost of everyone’s travel…
I’ve found that it is very useful to set these far enough in advance, both for scheduling and for travel costs – so I’d like to start getting the 2025 inperson meetings on the calendar now-ish. (Fwiw for me personally, flight costs tend to double around 2 months before travel, and incredibly hard to even find available flights 1 month before….)
We typically meet at both Global AppSec conferences, spending one or two days in a conference room with a tight agenda. (Plus there are other Board responsibilities during the event…). Additionally, the board has also been meeting in person for a 3-4 day Board Summit early in the year, to align work focus and agree on strategy and such.
As such, please make sure to put these on your calendar – and confirm you will be able to attend:
@Andrew van der Stock has proposed we meet for a two-day closed in person strategy Board meeting on Tuesday 27th - Wednesday 28th
There will also be a public Board meeting later on the 28th, before the networking events.
This means arriving on Sunday or Monday (depending on your jetlag recovery preferences) and leaving on Saturday 31st May.
No specific plans yet, but we will probably want to dedicate 2 days to this again if we can, so please do block out that week.
In addition – we should also start scheduling our In-Person Board Summit for Q1.
Question 1: Timing.
January is not really feasible, takes a while for the new board to find its footing and cant really plan an agenda before officers are voted in. So, February or March (or possibly early April, if we have to).
Please send me your preferences and/or constraints asap and I will try to propose some viable options with minimal friction.
Question 2: Location.
This year we met in JFK, since the majority of the Board was US-centric. Last year we met in Amsterdam…
Considering that this year the Board is more global, with 3 of us non-US region (UK, IL, IN) perhaps Europe would be a good option again.
Please send me your suggestions / preferences / limitations for city of choice.
Main considerations should be cost, visa accessibility (though I think most of us have access to most reasonable countries), direct flights, and minimized (or balanced) pain of travel. (Good food or alcohol should not be our primary driver, as much as some of us would like 😉 )

I'm not on the board next year, but my suggestions:
1. Meeting at the two Global Appsecs is good, maybe consider going to the third one in APAC, if it happens.
2. Meet in February to plan for the year, and combine it with a staff offsite. One thing that hindered us when we did the last one is there were staff that had answers, but were not readily available. I'm not suggesting everyone meet together all the time, the board can do its thing and the staff can do their thing, but some sessions can be combined to 1) help the board understand the staff positions, and 2) help the staff to understand what the board wants to achieve.
3. Location for the offsite will skew more to the US if you include the staff. I suggest either a US east coast city or Ireland/UK/Netherlands.

I will be there for the Barcelona event in May .
Nov should be good too but just too far away to commit fully .
For Q1 meeting, March is a good time but I can do April too . I have limited availability in February.
I would need a different visa for UK or Ireland but Netherlands works well for me or for that matter any Schengen country should do.
