OWASP Board at AppSec DC 2025

Hi all!

 

I know we are a few months out, but always best to book travel far enough away before prices soar….

 

So, are we planning on having in-person meetings again at AppSec DC in November? (I think it’s a good idea).

If so, should we plan for 1, 2, or 3 days?

 

Personally, I would like to book my travel at least 3-4 months in advance, it could be a couple thousand dollars difference for my flight…

I’m fully supportive of an in-person meeting, especially since we have key strategy items to close out. At the same time, I’m a bit hesitant about traveling to the US. Would it make sense to consider two half-day virtual sessions as an alternative?

That said, I’m open to whatever we collectively decide works best.

My travel to DC is already booked (I am always booking early to save the Foundation money -  got a bargain flight deal from London) . I have no restrictions in travelling to the USA. 
I suggest we keep to the standard 2-day Board strategy meeting (Tuesday-Wednesday) with Wednesday Public Board meeting and the Leaders meeting on Thursday. 
For Board members having issues travelling to the USA we will do Zoom just like we had Andrew virtually joining us in Amsterdam.
Ashwini  - note that 9am in DC will be 6:30pm in India so if you are unable to travel we might indeed switch to having 3 half-days instead of two full days?

Diego - what about you - do you have any issues travelling to the USA?

Hello all, 

The meeting space is very limited in DC.  While I am trying to obtain more space from the venue we seem to be at the mercy of a larger conference releasing some meeting space. 

If you would like to explore a 3-day meeting, we may need to move the board meeting out of a meeting room and into a large guest room suite.  Please let me know if you have any objections to this. Their suites are very nice.

I am not opposed to the suite, regardless of length. Don’t think we need a huge room, and especially if we wont be full complement.

Might be more effective, and possibly cost efficient?

(if it helps, I am willing to use the suite instead of a regular guestroom, lol 😜)

Hi Board,

If registration numbers are low for AppSec DC, it probably doesn't make sense for all of us to travel to avoid costs. I am worried to the extent that I've agreed with Lauren to look into hybrid options for the conference to ensure that we can ensure that folks from outside the US can participate if they are worried about getting through the border, or have work related professional development caps. 

I will book an airline ticket soon (and certainly no later than 90 days out), but it will be refundable to ensure that if registrations are low, I can back out without cost to OWASP. I am more than happy to do a virtual Board meeting. 

Like Ashwini, I am hesitant to travel to the US at the moment, but in my case, it's simply because my H1-B visa expires during the conference, and I don't want to be turned away because of that confusion, especially as I will be travelling on an ESTA waiver and on a new passport that doesn't have the old visa in it. 

Lastly, I plan on setting up an early Q1 2026 Board meeting for Amsterdam as soon as we know the composition of the 2026 Board and their availability to travel. If there's a virtual/in-person meeting or no meeting at all, I don't think it will be the end of the world, because it won't be too long for the new Board to convene. As AppSec DC is less than a week after the declaration of winners for the 2026 Board, we will unlikely have any new Board members at the DC meeting in person, so we would likely need to do a hybrid meeting anyway. 

We're looking at a late January / early February for an in-person Board strategic meeting, which is barely two to three months away. From an operational expense point of view, it might make more sense to ensure that we have a virtual/hybrid meeting in DC, and an entirely in-person Board meeting in the very early new year for the 2026 Board.
