Welcome to the Safe Sport OUSA google group. This group is a collaborative inbox, and its purpose is to manage communications with OUSA members and others who take the Safe Sport training, and also to receive communications relating to allegations of misconduct.

Our practice will be to keep messages in the group in case we want to review previous communications. Therefore, please do not delete topics, unless they are test topics.

However, with all those messages, how do we determine which messages have not yet been processed? We will do that as follows:

If a message is just an email telling users about their account being set up, then Lock Replies (under the Action menu), and hit “No Action Needed”. Explanation: “No Action Needed” will make allow filtering to ignore it, and “Lock Replies” means that if someone replies with their certificate, it will create a new topic, instead of adding it to this topic that has been marked “No Action Needed”. We will want to see that new topic!
When there are messages from others, you can assign them to somone on the team, or take them yourself. A good reason to assign them to yourself would be that you plan to handle that communication, but don’t have time to do it immediately.
If there is an important email that everyone should see, mark it with the tag “important” so everyone will be able to find it. This would be email other than processing certificates.
When a certificate is sent in, mark that message with the tag “certificate”, file the certificate in the Team Drive, and reply to the sender to thank them.
Once a thread has been completed, Lock Replies and set “No Action Needed”. This will hide the thread when you filter by Resolution Status “All Unresolved”, but will still allow new replies to come in, as a new topic.

To see only the unresolved topics, use the Filter, with Resolution Status “All Unresolved”.

To see only the topics assigned to you, use Assignment status “Assigned to me”.
