NOTE to Chief Referees: In an effort to open the lines of communication as well as avoid past last minute scrambles, when we make an assignment, we are going to send an email to each of the Race Directors to let them know that their crews have been assigned and that you are the CR. We will, of course, CC you on the email with the intent that you will soon make contact with them to start the conversation, even if it is still weeks/months away.
We also recommend that you make initial contact with your crew via direct email as soon as you get the assignment. We all know that the email from the Assignment Tool can sometimes have delivery issues :-).
Helpful Tip/Warning to CRs about emailing your crew:
When composing the email, you only have about 5 minutes to complete it and then it will timeout when you click Send, losing what you typed. We recommend you create a basic welcome info email and send it off. Once you get it yourself, get the contact info from it and then compose your own separate email from yourself to your crew.
It is also recommended that you request they respond that they got it as it could end up in junk folders and they might not see it. If you don't get response in a reasonable time, contact them directly to make sure they resolve the email issue. This can avoid situations where crew members are unaware of your instructions come race day.
For Non-CRs:
It is recommended that you check the Assignment Tool regularly to see if you have been assigned to any event, in case you don't get the automated email. If you are assigned, it should show you on the right side of the homepage when you login. Or, you can see everyone's assignments by going to Races -> View Assignments and moving through the grid to find all events/crews that have been assigned.
