Dissenting Committee Member's Signature on ETD

Hello all,

 

I am hoping to get input about practices related to committee member signatures on ETDs.

 

In hard copy dissertations with signatures, a committee member’s dissenting opinion about the dissertation (i.e. the committee member voted not to approve the dissertation) is signaled by the absence of a signature on the signature page. We no longer require hard copy theses and dissertations.

 

In our repository, signatures do not appear on ETDs. There is simply a list of committee members, which provides no such signaling. A committee member who voted not to approve the dissertation may find it disturbing that their name remains on the document, as it provides (at the very least) tacit approval of the document.

 

We don’t like the idea of completely removing the mention of the dissenting committee member, and we think that (at least) we need to update our language to clarify that the dissertation was approved by the committee, which doesn’t necessarily mean that it was approved by each individual member.

 

Can you please share how your institution has approached this situation?

Hi Jen, at UT Austin, we haven’t run into this issue because we don’t accept a dissertation that hasn’t received unanimous approval of the committee. When the student schedules their defense, we generate a report of committee form, and all committee members must sign that form or we won’t accept the etd. If anyone on the committee doesn’t approve the dissertation, the committee must make a recommendation on whether or not the student will need to redefend after making revisions. But we will not allow the student to submit their dissertation to us until all committee members approve of it and sign off on that report of committee form.

We do not currently keep the signature page.  We are currently discussing this issue since I feel it is important to retain it.  While attending a USetdA conference, I found the other institutions I had spoken with did retain their signature page.  I am wondering though if you make it public or retain it separately.  I get concerned over identity theft by posting the signatures with the ETD in Open Access.

We don't publish a signature page for ETDs. We use a "Title Page Template When Committee Member Disapproves ETD,"

At UT, we do still have a page in the ETD with the listing of the committee members. We don’t publish it with scanned signatures, it’s just a listing of the committee members’ names. The Report of Committee form that the committee signs at/after the defense is the only “signature” page we collect now, and that page gets imaged to the student’s permanent record.

Hello Jen and Everyone,

 

At UCF, the final thesis/dissertation approval form is an internal form only. Once the form is submitted to our college, it gets scanned and saved in our document storage system. At that time, we mark the milestone for this requirement in the student’s official records as completed. The full committee is also listed in the student’s records.

 

Our institutional policies also state that only a majority of committee must approve a thesis or dissertation. This is for the benefit of the student in case there is an issue with a dissenting committee member (one person cannot prevent the student from graduating).

 

These forms are not displayed with the final ETD and only the advisor (committee chair) is listed in the institutional repository record, not the whole committee. We do not feel as though the form needs to be part of ETD package since ETDs are not accepted for cataloging in the repository without our validation.
