Today the Outreach Committee requested that I list the places where I post descriptions of upcoming MakeHaven Events. They are:

Meetup

Facebook

Chatham Square Neighborhood Newsletter

New Haven Independent

Civic Lift.

Civic Lift is a digital platform which has a Community Hub which is shared by several organizations including InfoNew Haven and the Arts Council. Previously I used to post events separately on the InfoNewHaven newsletter and the Arts Council newsletter, but now they both use CivicLift. I still log on to the Arts Council website to post the events, just as I did before the change, and the events appear on both sites.

I previously copied the following information from the Civic Lift site:

We’ll help spread the word!

CivicLift will share your event with the websites below (though each site's manager will decide whether to include it on their calendar).

I also recall seeing a couple other sites listed after making the above copy but today was unable to locate any other list of sites with which CivicLift shares our events.

As to how to be authorized to post on these sites, most of them require an “event organizer” to be listed for MakeHaven. Currently, the event organizer for all of them is myself.Kate Cebik trained me on my Outreach duties in February of 2020 and arranged for me to be the event organizer for Meetup, Facebook, Arts Council and InfoNew Haven. At that time I was already posting MakeHaven events on the Chatham Square Neighborhood Newsletter at the request of the editor of that newsletter, Lee Cruz, who is a friend of mine. The most recent addition to my postings is the New Haven Independent, at the request of another friend of mine, Kevin McCarthy. I have contact information for the individuals handling my postings on some of the sites.

I list all MakeHaven Events on the “BB-Outreach / MH Outreach Posted” portion of MakeHaven’s Google Drive Spreadsheet and annotate whether or not each event is posted on each of the listed sites. J.R. and I created the “MH Outreach Posted” spreadsheet together and I am the only person who posts on the “MH Outreach Posted” spreadsheet.  Other people post in other portions of the site and anyone posting or making changes on the site needs to be authorized, but I think that interested members of the Outreach Committee are most likely able and allowed to look at it, view only, so I’ll put the link here. (Just in case there is no block to making any sort of change or entry on my spreadsheet, or any other spreadsheet, please don’t!!).  I have listed 1,119 events so far, most of which I have posted in 5 places. Here is the link to the site:

I currently have no need for assistance with posting events on the 5 sites where I currently post, but I do agree that there should be a person who could also fulfill this function in case I ever need to give up the Outreach Facilitator position or to take a break for an extended period. If anyone wants further information on this I would be happy to sit down with them in person and show them the MakeHaven Outreach folder on my computer and all its subfolders. Before it becomes necessary at some future time I fully expect and hope to train someone on all the fine points of posting each individual site. Each site has its own peculiarities! If someone wants to post MakeHaven events on additional sites they would need to become the Event Organizer for that site and just follow the template that the site provides. Usually there is a place on the template called “Description.” That is where I paste my own template that I have created for the event. For the event template, I cut and paste the description from the MakeHaven website and add the following paragraph given to me by Kate Cebik:

You must click below and REGISTER to attend at:

(full link to page)

Scroll to the bottom of the page and complete the information under Register (gray box) and hit submit. You will receive an acknowledgement by email.  Questions? Email in...@makehaven.org

I replace “full link to page” with the link to the event description on the MakeHaven Website. I also make sure the name of instructor and the Workshop Ticket Fee are shown.

I have a template for each of the periodically repeating events already on my computer, so all I have to do is review the event description to check for changes and change the link. These templates may be useful to a future replacement (or temporary substitute) but I would like to meet with that person individually before sharing my templates or further Outreach materials.

That is all I can think of to report to the Outreach Committee about the process for posting events. There is a lot more that I could explain at length to a person who will actually be posting events. Kate Cebik trained me and was posting MakeHaven events prior to my becoming Outreach Facilitator, so she would be the best person to train a replacement if I unexpectedly become incapacitated before I can train anyone!!

I documented Brenda's procedures in (I think) 2024. They used to be in Google drive, but either the file has been removed, or I've lost access. Even though things have changed, that doc should be a good starting point.
