Public view Collection Organization & Container Inventory not working

Hi ArchivesSpace users, 

I'm in the process of developing a workflow using the Load via Spreadsheet feature in a hosted instance of Archivesspace, but am currently stumped by an unexpected behavior upon import. 

The Top Containers within the collection were created for the specified Resource, but they do not appear in the system as Instances of it. Additionally, in the the public view of the Resource the Collection Organization & Container Inventory elements of the blue pill are not enabled and the Series/Sub-series of the collection do not appear in a sidebar pane as they would in a manually-created Resource. I'm wondering if this is related to the Top Containers not loading as Instances of the Resource upon import of the spreadsheet? For the Collection Organization & Container Inventory elements to appear, would I have to manually create the Top Containers as Instances of the Resource, and then link Archival Objects to them in the spreadsheet via a barcode? 

If anyone could advise me about what may be going on here and how to have these important navigational elements enabled when using Load via Spreadsheet, I would appreciate it immensely.

Nora,

 

Based on your message I have only a tip on your troubleshooting, which is to only trust what you see on the staff side. Does the staff view of this Resource look the way you’re expecting, and it’s only the PUI that is problematic ? Or are both views showing unexpected results?

If it’s only the PUI that is not as expected, then the issue is likely indexing-related, and either waiting (letting Aspace catch up to you) or re-indexing (a request to your system administrator) would be your next troubleshooting step.

If the staff side is also not showing what you expect, then you have more troubleshooting to do, which admittedly I cannot determine. I just want to suggest the first questions above to help you rule out indexing as your issue.

Hi Nora,

 

I would go into Background Jobs and check the spreadsheet import for any upload errors, which you can see by clicking View for the job and looking at the Log on the bottom. That will tell you if there were certain lines in the spreadsheet that were incomplete or had input hat was incompatible for the column’s cells, which may be the case with the top containers, as an error with them would result in the top container not being created or linked.

 

Besides what Valerie advised about waiting it out and indexing, if you can still see the Series/Sub-series on the SUI, but not on the PUI, it could also be that everything is simply unpublished from the backend. If the Publish column in the spreadsheet was left empty for every row, it would upload all of the content as unpublished, since the Publish column defaults to False if left blank.

 

And if all of the children items of the resource record are unpublished, as in everything except the notes and metadata at the resource record level, then the collection PUI will not display anything in Collection Organization via the blue tab or on the right, as it’s essentially as though there’s nothing in the collection public-wise. And if the top containers did not link, there would be no associated containers, so the Container Inventory tab would also not work as it has nothing to display.

 

So I’d start with examining the spreadsheet itself and its import job log, if the information is still there in the SUI. If it’s not, it may be the spreadsheet file is corrupted somehow or it’s a separate, bigger issue.
