Top Container question for single-folder collections

Hello!

We have discovered about 25 single-folder legacy collections in our holdings, where each folder/collection is housed in its own narrow doc box and each has their own Resource. 

My plan is to physically put all of these single-folder collections into one shared record center carton and then create a Top container independent of any Resource, so that I may simply change the Instance information in each of these single-folder collection Resources from their own narrow doc box to the shared records center carton.

Is this possible? In other words, is it possible to create a Top Container independent of a Resource? I really just want to avoid having to create a "meta collection", or at least to avoid having to change the Identifier for each of these collections.

Hi Sam,

As long as the resource records are all in the same repository, you can do that.  It's one of the great aspects of the ArchivesSpace container module.

Once you've created the top container via the container instance in the first resource record, you can find it by using the Browse option in container instances in the other resource records.  Note that when you browse, it will default your search to your current resource record, so you'll have to clear that search.

We use unique identifiers for our shared boxes (e.g., SSC Shared 10), but you can also differentiate by barcode.

Hi all,
I am having a similar problem. We have a box where single folder collections are housed, they are all within the same repository. The box has a barcode. Up until a few weeks ago I could link the barcode to any new single folder collections added to the box. Starting, I believe, in December I could no longer link a barcode that already has a collection linked to it. If I try to search for the box within the Instances - Top Container field I get no results. If I try to create an instance with the same barcode I get an error stating that a barcode must be unique. Kind of stuck. Any help would be greatly appreciated.

Hi Zachary,

You need to use the Browse function, rather than typing into the container field.

The typeahead for that field only searches within your current resource.
