Alma and ASpace Workflows

I’m looking for some workflow recommendations from institutions that use both Alma and ASpace in terms of effective ways to create and ingest data into both systems, specifically related to creating item records in Alma and recording barcodes in both systems. We have both legacy clean-up/rectification we will need to do between systems and also have the opportunity to plan for what the workflow might look like for the future.

We do not currently have the Alma Integrations plugin installed in ASpace and have not experimented with it to date. I’d love to learn more from those who have gone through some of these retrospective and data-reconciliation types of projects.

Further context: We recently migrated to Alma as part of a statewide consortium and are looking toward a future where all of our archival boxes are represented with item records and barcodes in that system. At present, however, most collections are not represented in that way and have - most typically - a single item record with an attached “fake” barcode (fake in that it does not exist in a physical form that is attached to the box; it is, however, a unique identifier and takes the standard barcode form).

In ASpace, we have box instances for many, but not all, archival collections, as we are finishing up a multi-year migration into that system. Virtually none of our records in this system have barcodes because that has not historically been a part of our collection management processes. We do have Alma MMS identifiers for many collections recorded in ASpace.

The more immediate need for us is on the Alma front, where the library's approach is increasingly to direct patrons to request individual boxes to closed “reading rooms” (libraries) for use and where the lack of item records for specific boxes (and bar codes) in Alma make that a bit difficult to message for users of our resources and require additional follow-up from a fulfillment perspective.

Hi Michelle,

 

We modified the NYU MARC XML plugin so that ASpace exports MARC XML records with item information in it, and then we ingest those records into Alma via an SFTP integration and import profile.

I’d be happy to talk to you about our process if you’d like.

Just an FYI to anyone that uses or forks this plugin, we just updated to aspace v4.1.1 and did not need to make any changes from v3.5.1, we make a release of the plugin for each version of aspace we use in production: https://github.com/NYULibraries/nyu_marcxml_export_plugin/releases
