Second meeting time?

Hi folks,

I wanted to bring up the topic again to have a second batch working group meeting. I understand that there was one at the beginning, and it was not well attended. I know most folks joining are from the east coast (EST) so the meeting is 10am, and it looks like some on the West coast are OK getting up at 7am, but that's really too early for people that want to sleep normal hours or have families. I also understand there is a lot of participation from Asia.

I added this to the agenda tomorrow but Aldo mentioned there won't be time, so I'm bringing it up here. To be frank, I really want to fully participate in these meetings. I work on the HPC side in converged computing, and have a lot of ideas and (pending a CLA) technical contributions I can make. I cannot get up that early. I feel excluded. I suspect there are others in HPC (national labs or institutions) in California or tech in the Bay Area that feel the same, and they have fallen off. I suspect I'll fall off too if I can't more meaningfully engage.

Is this something the batch community can consider? If so, how do we figure out a time and coordinate the two meetings? I think it's fairly commonly done for distributed communities, albeit I haven't done it. As the batch community grows, it's unlikely there is one time that works for everyone, so I want to suggest we try for two. I'm curious what others think.

I agree, I'd love to participate more regularly but I'm on the west coast and a 7am meeting is brutally early. I would definitely be supportive of a second meeting time, hopefully there are enough people who feel the same way that we can make it happen. As you mentioned, though, I'm not sure how the coordination/logistics would work. Perhaps sharing meeting notes offline? I'm curious to hear others' thoughts on this.

This week we have a very packed agenda, to the point that it's unclear if we will even be able to finish the existing topics. Additionally, the people who might want the additional meeting most likely won't be able to attend. That's why I suggested that we discuss this in the mailing list instead.
At this point, I think it's pretty clear that there are enough people in East Asia and NA West Coast that it makes sense to add a second meeting back.

We also have a lot of leads and attendees from Europe, which would most likely be unable to attend the other meeting.

In any case, I would suggest as a next step that you start collecting some time slots suggestions. Feel free to use the tool of your preference.
However, one possible constraint is that at least 2 organizers should be able to attend. I think Abhishek and I are on the East Coast. The rest of the organizers are in Europe.

Once we have a candidate time slot, we need to decide whether to keep the same frequency of meeting once every other week or it should be increased to every week (with alternating time slots).

Yeah totally understand the packed agenda! I didn't mean to say that the thread was unreasonable, I agree with you that the mailing list might be a better venue to reach folks.

I can easily make a Doodle poll, and first it would be helpful if others on the list that are interested could also suggest blocks. 

I found the list of organizers, and I'm thinking that in order for this to be successful, we can't just add random folks based on time zone. A lot of batch is bringing in the latest updates from folks that work on core abstractions. We need someone present at each meeting, I think, that can minimally provide that expertise and share the same updates. There is good overlap in time with the East Coast, is it unreasonable to ask someone that works on batch stationed there (or Google in Mountain View) to attend? I could superficially offer to organize, but if all the core folks working on batch have declared the 10am meeting time their chosen one, I'm not sure how we could have equivalent, meaningful conversation. 

What do you think? Is there even one person from core that might be able to fill this role? We could even try for a smaller second meeting - e.g., the "main" one with presentations from folks working on related projects might be one week, and then the next week we have a 30 minute meeting with the earlier time slot, and review what was discussed in the previous meeting (and then have our own comments / agenda too). 

Let's keep the discussion rolling about this! I think we can find a way.

There are some notes in the description and I'll re-iterate here:
  • This is for a second meeting (not to replace the current) that is inclusive to more folks
  • The specific dates don't matter, consider the days of week and times only
  • Likely will be for off weeks to the current meeting
  • We are trying for a range that goes into Asia Pacific through the East Coast
  • Some slots are still too early or late for those zones, we will decide based on participation
Please share this with your various colleagues (possibly not on the list) that are working on workload managers, schedulers, and might want to have a voice in batch. I think we can likely have the poll open for a week.
