Accounts Receivable Roles - #3 vs. #31 - Suspension / Billing Frequency Docs

We ran into an issue where an individual with Role 31 could not create an Organization Accounting Default doc even though the Permission #248 seems to imply that they can.  Permission #248 only permits an edit of the Organization Accounting Default.  I understand that now and we can address.

 

Would someone be able to help me understand the two roles below and how they are being implemented.

 

Role      Namespace        Role Name                                                          Description

3              KFS-AR                 Manager                                                              Users that manage the KFS AR module. They receive Accounts Receivable transactional and maintenance documents for approval

31           KFS-SYS                Accounts Receivable Manager                    Users that manage the KFS-AR module. This role has no inherent permissions or responsibilities.

 

Suspension Category

The Suspension Category Document (SCAT) is not available through any role that I can tell.  Although it appears that it’s a document that can be maintained, the suspension categories must have been transferred to code and maintained there instead.

 

Billing Frequency:

Is there no option/document to create new billing frequencies?  Role #31 can edit, but cannot create new.

We have the 2 AR manager roles (3 and 31) implemented as a nested role (i.e., role 31 is assigned to role 3) and only have users listed under role 31.  So basically one group of people have the combined permissions and we treat it as one larger role.

In our pre-release of CGB, we were able to update the Suspension Categories but found that they are hard-coded in the code and they cannot be maintained anymore via the UI.  We would prefer to have them maintained by a document.  We haven't had to change the billing frequency since we went live, but I also see that it can only be edited and new values cannot be created.

I think the Org Accounting Default permission (OADF) is 369 not 248.  We have that permission assigned to AR Biller and AR Processor as well as the AR Manager roles.  They seem to be able to add/edit for their AR billing org.

Both suspension categories and billing frequencies would require code changes to add or remove values. This is why you cannot maintain suspension categories or add new billing frequencies from the app.

Thanks, Heather, for confirming both.

 

Is there a reason these aren’t managed by a maintenance table?  There’s no documentation in the user guide on the suspension code values.  We have them now because we dug into the code.

Janet - I do understand. It is kinda frustrating to not have access to the list of suspension categories without looking at the code. The reason we removed the maintenance table is because everything about it was readonly. Users should not be allowed to edit the existing values without making changes to the code.

That does seem like something that should be added to the user guide.
