Hi Ed and Marci,
Here’s the process we’re using. Let me know if you have any questions.
Acquisitions/Cataloging
• We are not yet using EDI
• We order from B&T
• I have a MARC Profile set up in Title Source 360 for each fund - I set the specific itypes and collection codes for each cart we download. All the items in the cart get the location code of “On order” and the Not for Loan status is set to “Ordered.”
• When the orders arrive, we receive each of the titles. The location code remains as “On order.” The Not for Loan status automatically updates to “In processing.” This is done using the AcqItemSetSubfieldsWhenReceived system preference.
• The items then go to cataloging. The location code of “On order” is manually changed at this time to the specific shelving location, such as FN for New Fiction.
• The Not for Loan status is set to blank.
Just Arrived dropdown boxes
For the Just Arrived section, I did an Advanced Search for each of the categories I wanted to display, then copied the url and inserted it into the code.
This is the url for the New Romance location code.
https://catalog.bedfordlibrary.org/cgi-bin/koha/opac-search.pl?idx=kw&sort_by=acqdate_dsc&do=OK&limit=mc-loc%3AFRMN
Here is a snippet of the code that creates the Just Arrived dropdown box (our location codes are in all caps)
<h1>Just Arrived</h1>
<p><form name="searchform" method="get" action="/cgi-bin/koha/
opac-search.pl">
<input name="idx" value="kw" type="hidden">
<input name="sort_by" value="acqdate_dsc" type="hidden">
<input name="do" value="OK" type="hidden">
<select name="limit" onchange="this.form.submit()">
<option>-- Please choose --</option>
<option value="mc-loc:FN">New Fiction</option>
<option value="mc-loc:FINSN">New Inspirational Fiction</option>
<option value="mc-loc:FMN">New Mystery</option>
<option value="mc-loc:FRMN">New Romance</option>
</select>
</form>
</p>
On Order dropdown boxes
The process is similar here. I did an Advanced Search for different itypes then copied the url and inserted it into the code.
This is the url for the Books category which combines the itypes for Books and Bluebonnet Books.

New Books Process
• Instead of one shelving location of ‘New’ we have a corresponding ‘New’ location for every regular location. For example, we use FM for Mystery and FMN for New Mystery. We do this because our new materials are shelved in different parts of the building. Also, our fiction collections are shelved by genre and non-fiction has marketplace categories such as Home & Garden or Health & Fitness.
• Items on order all have the location code of ‘On order’ as set in our TS360 MARC profiles.
• During cataloging the location is manually changed to FMN.
• We manually affix a colored month dot which has the last two digits of the year written on it.
• Items then go to the shelf or fulfill holds.
• When items are ready to come off of ‘New’ library assistants who work in the sorter room manually change the location back to FM and remove the dot.

EXTERNAL SENDER
Piggy backing on Ed’s question – at what point in the receiving process is “just arrived” set? Is it when the items arrived from vendor, or is when the items are checked in from In Processing and routed to the shelves/holds?
Along the same lines, I am interested to know how Barbara, and others, manages the New book display process. Right now we have a location code NEW which is manually set by staff in Tech Services, and we use stickers with the month number written on the sticker (so we know when to pull them from NEW). I am seeking a way that is more automated on the front end. I know Round Rock uses an item type NEW and sets this within their vendor grids, and then affix the stickers in house. I’d love to hear how you all do it

I see that Bedford<
https://linkprotect.cudasvc.com/url?a=https%3a%2f%2fbedfordtx.bywatersolutions.com%2fcgi-bin%2fkoha%2fopac-main.pl&c=E,1,pUieIbxb6GJqjiLG_jKaAr5T-Lwr1zAV_vqKzcC7GHYCHYjmbf6mPRPNiGGWXRizcfL09JKsVOXMsOx8Di32dF5LSihtY66ETTGD4wQPbUvK-ZfMHVOC8DUS6-8N&typo=1> has links to "Just Arrived" and separate links for "On Order" items. I was wanting to do this so I dug around on Bedfords site and it appears that they are using a location code of "On order". Barbara, can you confirm this? If that is the case do you have that location code put in when items are ordered via EDI or do you manually add it? Secondly do you then have things set up so that once it arrives the location code is reset to its correct permanent location?
[image.png]
Is this functionality that others are interested in? If so maybe Barbara would share the code she has used with us?
